Job Title : Stock Controller
Peromnes Grade: Subject to Finalisation of Job Evaluation
Position Status: Permanent
Location: Pretoria
Reporting Line: Manager: Facilities Management

Overall Job Purpose: To maintain an efficient and hygienic stores system within the Council for Geoscience (CGS) Canteen operations. The incumbent will perform all tasks/ activities associated with the receiving and receipting goods in order to ensure that the goods are received, stored, issued and secured at all times to the CGS standards.
 
 
KEY RESPONSIBILITIES:
  •  Responsible for performing accurate, timeous stock counts to ensure that all stock items are accurately stored and easily identified
  • Responsible for ensuring that accurate records of all stock counting, stock adjustments, stock management and related transactions are obtained, captured and filed
  • Responsible for ensuring that stock ordered is received, checked and documented
  • Capture finished products daily and reconcile physical stock movement within the system
  • Receive and check goods against invoices for quantity, quality and temperature
  • Take appropriate action in respect of discrepancies in terms of goods receipt
  • Maintain appropriate levels of cleanliness of the refrigerators and freezers
  • Ensure that all items are stored correctly, in terms of temperature, humidity and shelf life and that no food items are stored on the floor
  • Deal with issues/returns of goods to authorized persons in accordance with CGS procedures
  • Complete the correct documentation pertaining to receiving and issuing goods in timeous manner
  • Responsible to verify all goods arrived as per the agreed purchase, delivery note and agreed quantities has been received
  • Refuse acceptance of damaged, incorrect and unacceptable items
  • Identify and report any slow moving item to supervisor to avoid over purchasing
  • Maintain clear and organized records to ensure all invoices and records are filed properly
  • Conduct stock-taking stock on a weekly basis, using appropriate documentation
  • Ensure the timeous and correct completion of all administration in respect of deliveries
  • Complete all documentation and take the necessary action in cases of non-delivery, substandard deliveries or over pricing
  • Ensure that all issues are made against requisitions and that no items leave the storeroom without the appropriate documentation or signature
  • Ensure maximum security of all storeroom areas, that no unauthorised person enters the stores or is issued with a key allowing access
  • Inform management and follow agreed procedures in the case of spoilage or damage of any item
  • Order goods and supplies to ensure that maximum/minimum stock levels are maintained
  • Liaise with supervisor on the ordering of goods which fall outside the agreed financial parameters
  • Order all items through approved suppliers only, obtaining permission for ordering any items which are only available through an alternate source
  • Report and take action where appropriate, on any complaints, accident, theft, loss, damage, fire, or unfit food
  • Monitor daily food temperatures, food samples, freezer & fridge and food delivery records
  • Ensure that high standards of sanitation, cleanliness and safety are maintained throughout the canteen areas at all times.
  • Ensure that correct protective personal equipment is in place and used at all times
  • Ensure compliance with the Occupational Health and Safety Act, and regulations relating to the canteen operations.
  • Safeguard stock at hand and face value documents against theft, misuse and loss.

 
KEY PERSONAL ATTRIBUTES AND REQUIRED SKILLS:
  • Knowledge of ordering and stock taking or inventory management
  • Understanding of proper use of major kitchen equipment
  • Commitment to quality service and food knowledge
  • Understanding and implementation of hygiene and safety standards
  • Full understanding and knowledge of food safety law
 
QUALIFICATIONS AND EXPERIENCE:
  • Grade 12 and computer literacy
  • 2 Years relevant experience as a stock controller in food industry.

  • Report writing skills
  • Computer skills including Ms Office suite particularly Word & Excel.
  • Ability to work well under pressure.
