Qualifications and Experience:
• Bachelor’s Degree/National Diploma in Auditing (or equivalent Qualification)
• Registration with the Institute of Internal Auditors will be an added advantage.
• A minimum of 3 years’ experience in conducting internal audits.
• Knowledge of the Public Finance Management Act.
• Understand the Institute of Internal Auditors (IIA) standards and implementation guides as proven experience in their application.
• Knowledge and understanding of risk management and corporate governance practices.
• Proven experience in the application of the internal audit methodology.

Key Responsibilities and Duties:
• Assist in planning audit projects in accordance with internal audit methodology.
• Evaluate client responses to draft internal audit findings and make the necessary adjustments.
• Perform internal audit reviews i.e. financial, operational, performance and compliance processes to evaluate the adequacy and effectiveness and efficiency of management internal controls to minimise risks.
• Identify and assess risks within the PPSA to inform internal audit plan and scope of audits.
• Ensure that internal audits comply with the Standard for the Professional Practice of Internal Auditors.
• Prepare detailed reports on audit findings, including recommendations for improvements and corrective actions.
• Engage with auditees during the audits to obtain buy-in and facilitate the implementation of audit recommendations.
• Coordinate the exit meeting with clients. Conduct follow-ups.
• Contribute to the development of the internal audit policies and plans.
• Collaborate with other assurance providers to minimise duplications and improve good governance within the PPSA

Note: All appointments will be made in terms of the Public Protector Act and a 12-month probation period which may be extended to 18 months will be applicable. ​PERSONAL ASSISTANT TO DEPUTY PUBLIC PROTECTOR

Location: Head Office, Pretoria

Basic Salary: R468 459.00.00 – R551 823.00 Plus Benefits
Fixed-term contract linked to the term of the Deputy Public Protector.
 
Role Overview:
Reporting to the Deputy Public Protector, the incumbent will provide high-level executive, administrative, and operational support to ensure the efficient and effective functioning of the Office of the Deputy Public Protector (DPP). The role serves as a central coordination point for communication, diary management, travel logistics, records management, and stakeholder engagement within and outside the organisation.
The incumbent is responsible for managing the DPP’s schedule, coordinating meetings and official engagements, handling correspondence, and ensuring timely follow-up on decisions and submissions. The Personal Assistant also oversees administrative processes related to finance, travel, assets, and facilities within the Office of the DPP, while maintaining strict confidentiality and professionalism at all times.
 
Qualifications and Experience:
Bachelor’s Degree or National Diploma in Public Administration/Public Management/Office Management/Secretarial/Management Assistance or NQF level 6 /7 in Administration related qualification • A minimum of three (3) years’ experience in rendering administrative or secretarial support and logistical arrangements service is required. Must have experience of working in a legal environment • Experience in public sector environment is preferred • Must be computer literate • Experience in dealing with state/formal functions / visit is preferred • A valid driver’s licence is essential

Key Responsibilities and Duties:
 
Administration and Secretarial Duties
• Receive and make telephone calls on behalf of the Public Protector (DPP)
• Effectively manage the diary and all activities in the office of the DPP
• Arrange travel and accommodation, manage cancellation of bookings and complete GRN’s forms and submit the signed GRN form to SCM for travel at least 2 days after travelling.
• Arrange petty cash and submit petty cash receipts within 48 hours of spending to Finance
• Prepare travel and subsistence claims
• Arrange and coordinate meetings, workshops and other forums, transcribe proceedings and ensure that accurate minutes are timely prepared and signed, with decision registers and follow up on resolutions
• Receive written correspondences and direct them to the relevant offices and follow up on responses
• Prepare submissions, letters, memos and reports on behalf of the DPP Receive and control of visitors and staff to the DPP’s Office
• Develop, implement and maintain a records management and registry system in the DPP’s office
• Daily reconciling all submissions transmitted to the DPP
• Responsible for typing, copying and faxing of documents
• Manage general finances, assets and facilities for the DPP
• Develop, implement and monitor Standard Operating Procedures (SOP’s) in the DPP’s office
• Assist the DPP with any other matter as required/instructed
 
Stakeholder Management
 
Communication Management
• Act as a liaison between the DPP and stakeholders (executives, employees, clients, government officials, media, etc.).
• Ensure clear, timely, and appropriate communication on behalf of the DPP.
• Draft and relay messages that reflect the DPPs tone and priorities.
 
Relationship Building
• Help maintain and strengthen relationships with key stakeholders by managing interactions, follow-ups, and engagement.
• Keep track of stakeholder preferences, interests, and past interactions for personalized communication.
• Support networking efforts by coordinating events, meetings, and correspondence.
• Monitor stakeholder sentiments and flag potential risks or issues to the DPP.
 
Meeting and Event Coordination
• Arrange and prepare for meetings with key stakeholders, including logistics, agenda setting, and documentation.
• Ensure stakeholder meetings are productive by organizing necessary materials and follow-up actions.
• Represent the DPP’s office professionally when dealing with stakeholders in their absence.
 
Confidentiality and Trust
• Handle sensitive information and interactions with discretion and integrity.
• Foster trust between the DPP’s office and stakeholders by maintaining professionalism and reliability.
