ADMINISTRATOR: RISK (X2)
Paterson Grade: B5
Remuneration: R 288, 051.92 CTC (plus a possible 20% performance bonus).
The Mining Qualifications Authority (MQA) is a Sector Education and Training Authority (SETA) operating under the Department of Higher Education and Training (DHET).
The MQA is mandated by the Skills Development Act (SDA) 97 of 1998 to drive skills development within the mining and minerals sector (MMS). Its scope covers a diverse range of sub-sectors, including Coal Mining, Gold Mining, Platinum Group Metals (PGM) Mining, Diamond Mining, other mining commodities, Cement, Lime, Aggregates, and Sand, as well as services related to the mining industry, Diamond Processing, and Jewellery Manufacturing.
The MQA requires the services of a competent individual to fill the above-mentioned position.
ROLE PURPOSE:
Provides support to the business units with regards to management of Risk, Fraud, Auditing and Compliance in the implementation of appropriate supporting methodologies and frameworks, policies and processes relating to the MQA.
These positions report to the Senior Manager: Risk and Compliance.
KEY PERFORMANCE AREAS:
Financial Management: • Support budgeting and record keeping procedures • Ensure Supply Chain management process is followed when making the necessary requisitions, travel arrangements, including flights, accommodation, hire cars, etc. for the unit • Assist with submission of specification of required goods • Assist in reduction of wasteful expenditure by assisting the Senior Manager in ensuring that all minor work done by sub-contractors is executed • Assist in tracking all costs in line with budget and report any items of over expenditure.
Internal Business Processes: • Implementation of risk management standards and best practices.
Customer Focus: • Implement Stakeholder Engagement
Risk Management: • Assist in the implementation and maintenance of risk strategies and risk policies • Assist in the Co-ordination and manage the policy attestation requirements for all risk policies and report the results to management • Assist in developing, implementing and maintaining standardised templates for all risk activities • Ensure that the risk processes are applied uniformly across the MQA and report deviations to the Officer: Risk and Compliance • Provide administrative support for compilation of risk and compliance documents to be reported to governance structures • Arrange risk assessment meetings and facilitate the quarterly review of MQA risk registers
Compliance: • Assist in maintaining a “Compliance Calendar” indicating the expected timelines of compliance related processes and the anticipated submission date of evidence output • Be aware of the governance control processes and role segregation requirements in area of accountability • Assist in ensuring that completed work adheres to relevant policies, procedures, governance and legislative requirements and report on deviations and discrepancies • Assist with the preparation of reports with recommendations on compliance activities • Assist with conducting compliance reviews to legislative requirements • Assist in ensuring implementation of internal controls for compliance purposes • Assist with the implementation of new legislative procedures within the organisation
Stakeholder Engagement: • Contribute to the maintenance of stakeholder / customer relationships

Qualifications:
- A National Senior Certificate (NSC) or National Certificate: Vocational (NCV) (NQF 4)
- A National Diploma (NQF 6) preferred in Auditing, Accounting, Business Management / Administration, Public Management or Commerce.
- A Bachelor’s Degree (NQF 7) in the above-mentioned fields will be advantageous.
- Minimum 2 years administrative experience, preferably in a Risk related field.

ROLE PURPOSE:
To assist with clerical and administrative duties in the provision of monitoring and evaluation responsibilities, risk management and organisational compliance.
These positions report to the Manager: Monitoring and Evaluation
KEY PERFORMANCE AREAS:
Implementation: • Assist in the implementation of monitoring and evaluation in line with schedule of reporting schedules, data sources and data collection mechanisms (validation) • Required to perform site visits.
Reporting: • Assist the Senior Administrator Monitoring & Evaluation (M&E) to roll out M & E across the organisation and generate reports from site visits • Liaise with Internal and External Auditors to assist with Audit queries.
Stakeholder Relationships: • Contribute to the maintenance of stakeholder / customer relationships.
Team Effectiveness: • Contribute to the M& E team effectiveness • Travel coordination and any functions within the ambit of the Risk, Monitoring & Evaluation unit.
Quality Standardisation: • Implement the alignment of all work process to the required quality standards.
Continuous Improvement: • Assist in the identification of continual improvement strategies.
Quality Management & Process Improvement: • Action agreed quality initiatives ensuring that they are aligned to business unit/ tasks / processes / systems • Assist in managing the execution of all agreed projects and adhere to project requirements.

ROLE PURPOSE:
To maintain and administer the Quality Management System (ISO 9001:2015) and other integrated systems to ensure the seamless operation of organisational quality assurance processes.
This position reports to the Manager: ISO
KEY PERFORMANCE AREAS:
General Administration: • Sound effective and efficient administration of all records and information to enable easy accessibility, accuracy, and comprehensiveness of information • Timely, efficiently and effectively administer and maintain the QMS and other integrated systems ensuring adherence to QMS standards • Prepare and draft minutes, reports, briefs, presentations, and written communication for review • Managing and maintaining electronic and hardcopy filing system • Coordinating and organise all relevant ISO meetings • Booking and travel arrangements for the ISO team • Maintaining an optimum level of stationary • Proper record-keeping on SharePoint, including basic procurement processing, payment request processing, and travel bookings • Coordinate, organise and administer QMS activities, including meetings, minutes, and attendance registers • Administer and process all requisitions and invoices for the department, using the required SCM and Finance department processes and systems • Assist with the weekly updating of the relevant project administrative system • Continuously track, monitor and measure individual performance against set standards and performance targets • Professional representation of the MQA ensuring all behaviours and conduct are aligned with MQA values • Assist across business units and functions with ad hoc requests to support each other in ensuring delivery • Effectively plan, coordinate, manage and execute ad hoc projects and a full range of personal assistance
Standards Administration: • Maintain digital internal quality registers to ensure up-to-date and accurate quality register • Provide quality support, guidance and information on request from departments, management and employees • Analyse complaints, compliments, and suggestions and draft a report on a quarterly basis detailing trends and improvement opportunities for the MQA • Upon receiving audit assessments, action internal and external nonconformances registers, monitor corrective actions and mitigating strategies, actions and initiatives are implemented • Administer, develop, improve, and maintain ISO 9001:2015 certification • Administer the budget, including re-allocations, and handle invoices against set QMS budget • Schedule QMS awareness sessions and ensure attendance registers are maintained • Provide support for the implementation of systems, processes, policies, and procedures to achieve strategic goals • Support the development and administration of stakeholder corrective and preventative action (CAPA) and internal non-conformance • Stay informed about the latest ISO 9001:2015 job-related information by identifying study opportunities, attending short courses and workshops, reading, visiting websites, and engaging with peers to broaden knowledge • Adhere to all organisational policies and procedures
Communication: • Assist in enhancing communication and information dissemination internally and externally • Administer and disseminate quality related matters/queries across the organisation to ensure all departments and employees are informed
Filing: • Electronically filling and hard copy filing • Control and maintain an effective document filing and retrieval system • Review the filing system continuously and update as required • Update file contents
