SALARY: R17 541.86- R23 088.42 PER MONTH BASIC SALARY EXCLUDING BENEFITS
JOB PURPOSE
Perform a variety of office support for a specified unit/department. Schedule and take minutes in all bid related meetings, and assist in the appointment of the various committees.
DUTIES AND RESPONSIBILITIES
Take minutes in all bid committees meetings i.e. BSC, BEC and BAC. Ensure proper filing for all tenders/bids documentation. Ensure Compilation. Co-ordination and Distribution of bid reports. Provide a complete administrative support before, during and after bid meetings. Ensure all minutes are accordingly signed and within reasonable time. Ensure the meeting rooms are booked and in good standard for all meetings. Procurement of various goods and services in terms of MFMA Act, PPPFA Act, BBBEE Act and other National Treasury Regulations. Assist with implementation of SCM Policy and strategy at operational level. Deal with day-to-day operations of SCM activities. Compilation of bid documents, RFP's and tender adverts. Conducts tender openings: and record bids and proposals received in terms of prescribed procedures. Preparation of award letters and supplier correspondence. Process procurement transactions on JDE Oracle, Processing of supplier invoices for payment. Compilation of bid status report and monthly BEE spend and monitoring procurement report. Assist with Maintaining SCM Risk Register and implement risk mitigation plans when executing SCM transactions. Assist with compliance to MFMA and all other statutory requirements for SCM. Management of the supplier database liaises with key stakeholders in the value chain. Effective filing and record keeping of important BID documents. Perform miscellaneous job-related duties as assigned.
QUALIFICATIONS AND EXPERIENCE
• Matric / Grade 12
• National Diploma in Supply Chain Management / Finance or National Diploma in Secretarial or Office Admin
• 2-3 years' experience in a supply chain management secretarial role.
TECHNICAL SKILLS
• Qualification with advanced skills in Microsoft packages, (Microsoft Word, Excel and PowerPoint), with
• Strong comprehension of government and municipal supply chain regulations.
• Practical experience in implementing National Treasury SCM Framework.
• Ability to develop and deliver presentations.
N.B. Ability to communicate in English is key for this role as it involves writing reports and minutes.
