Overview
To provide general administration and office management support and assistance to the Provincial Office. This position reports to the Provincial Electoral Officer (PEO).
Responsibilities/Duties
Set up travel, accommodation, meetings, speaking engagements and other appointments; facilitate events and conferences logistical arrangements; organise catering and refreshments; manage the day-to-day office support operations; order stationary; liaison with staff, suppliers and stakeholders for quotations, placing and expediting orders for supplies; screen phone calls, open and sort mail, and summarise reports and memos; receive visitors; take minutes; maintain files and records for the PEO and Manager; set up and manage both electronic and paper filing systems; prepare, format and catalogue information for internal and external distribution; write letters and memos, compile data for reports, create computerised presentations, write reports, transcribe dictation, edit, proof-read, and transmit text, data, and graphics; complete governance reporting for PEO and Manager; provide detailed data analysis support and reports; maintain confidentiality and exercise discretion at all times;
Requirements
The successful candidate must be in possession of a Bachelors' Degree or three year National Diploma with at least 2 years relevant working experience; knowledge of the Electoral Commission and election related matters will be advantageous; liaise with stakeholders; respond to financial queries; good office administration skills; good verbal and written communication skills; good organizing skills and basic computer literacy; project management experience will be advantageous; a valid driver's license and must be prepared to travel extensively.
