Role Outline
Responsible for the delivery of HR services, products and systems. Work in liaison with business partners, managers and employees as well as external organizations as required. Focused on improving service delivery quality by streamlining processes and services whilst achieving a cost-effective position.
Key Tasks
- Work time data collection: attendance, absence, holidays, overtime, night hours, bonus.
- Onboarding for new employees on HR processes.
- First point of contact for employee inquiries.
- Hiring process documentation and preparation of data for contracts.
- Transmission of documents to managers (new employees + changes).
- Ensure incoming inquiries are answered professionally and efficiently.
- Identify and verify that employees are entitled to receive requested information.
- Perform customer‑related data gathering.
- Maintain data accuracy.
- Deliver accurate customer answers.
- Provide friendly, efficient, and effective service to customers.
- Escalate/redirect inquiries when required.
- Accurately document inquiries.
- Support and guide employees and managers on self‑service HR transactions.
- Create tickets and enter data into appropriate systems (e.g., Case Management system).
- Deliver clear, concise, and timely communication.
- Execute HR internal controls.
Customer
· Provide HR process advice to employees and managers.
Stakeholder
- Provide first‑line advice and support on HR policies and processes for local employees and managers.
- Communicate effectively with external providers (e.g., payroll, health & safety provider, medical care).
- Cooperate closely with Business HR / Resourcing specialists regarding new employees joining the business.
- Support Business HR on activities related to contract changes and termination administration.
- Coordinate with Centres of Excellence to administer HR solutions (e.g., training coordination, compensation and benefits administration, reporting and analysis).
Process
- Provide day‑to‑day administrative support focused on set standards and instructions.
- Perform tasks/interactions that address immediate issues (daily, weekly, or monthly reports/deadlines).
- Handle transactional tasks (e.g., data entry, chasing data, ensuring accuracy, running reports).
- Provide support, supervision, and direction where needed.
- Understand and apply key HR concepts, methods, tools, metrics, and standards.
- Use HR systems (e.g., PeopleSoft) and vendor/supplier systems (e.g., Kenexa for recruitment).
- Support and interact with business partners, managers, and employees on procedures and individual cases (e.g., HR administration and calculations).
- Provide advice and support in coordination with MSS/ESS.

Qualifications & Experience
Education:
- Graduate degree qualification (desirable).
- HR Certification (desirable).
Experience:
- 1-2 years previous experience in administration or entry level HR role.
- Proficient software skills (MS Word, MS Excel etc).
- Knowledge of labour law (desirable)

Dangerous Goods & Safety Compliance
- Enforce Dangerous Goods compliance under the IMDG Code and IMO / SOLAS
- Ensure DG declarations, documentation and processes are correct, complete, and auditable.
- Coordinate DG audits and corrective actions.
Security Filings & Trade Compliance Oversight
- Ensure compliance with applicable security filing regimes, including ISF, AMS, ENS and ICS2
- Enforce timeliness, accuracy and evidence retention
FMC / OSRA Governance and Enforcement
- Act as the regional enforcement authority for FMC / OSRA compliance covering:
- OTI / NVOCC / Freight Forwarder roles
- NRA / NSA discipline and acceptance
- Tariff and rate governance
- OSRA‑compliant billing and D&D transparency
- Ensure that non‑compliant activity is prevented upstream, not corrected after the fact.
- Maintain the Regional Delegation of Authority (DoA) Matrix for all FMC‑relevant activities
- Ensure the DoA is explicit, role‑based and enforced operationally and systemically
- Resolve conflicts where commercial pressure conflicts with regulatory compliance obligations.
FMC / OSRA Control Effectiveness
- Ensure preventive and detective controls are operating effectively across the Region, including:
- Rate‑source lock
- NRA acceptance capture
- D&D invoice compliance checks
- Evidence integrity and retention
- Drive remediation where controls are bypassed, inconsistently applied, or ineffective.
- Ensure regional execution complements global control design and testing
Audit Readiness & Evidence Pack Management
- Own regional audit readiness for internal mock audits, global assurance testing, FTA’s and external audits from regulators including but not limited to BEIC / FMC audits
- Coordinate compilation of complete, indexed evidence packs across all countries in-region.
- Ensure evidence packs meet regulatory requirements, retention timelines and global controls & assurance standards
Monitoring, Testing & Coordination
- Coordinate regional execution of monitoring and testing activities led by Global Controls & Assurance.
- Support shipment‑level audits and deep dives by ensuring availability of files and data, providing regional context and driving immediate containment actions where required
Corrective & Preventive Action (CAPA) Governance
- Ensure all MAJOR and CRITICAL findings in the Region have documented root cause analysis, assigned accountable owners and evidence‑based closure
- Track recurrence and drive preventive actions.
- Escalate systemic or repeated failures promptly.
Training, Awareness and Capability Building
- Enforce mandatory training and certification for all in‑scope roles.
- Ensure 100% FMC certification before access to U.S.‑trade execution (training-based system access gating).
- Ensure 100% DG certification before access DG shipment execution (training-based system access gating).
- Ensure training content reflect real audit findings, regional risk patterns and enforcement exposure
- Maintain LMS completion data for gating and audit evidence.
Agent & Third‑Party Compliance
- Enforce agent compliance standards, including FMC registration / eligibility verification, periodic attestations and risk‑based sampling of agent‑handled files
- Suspend or restrict agent activity where compliance risk exists
Operating Model & Cadence
- Daily “red queue” review (blocked bookings/invoices, missing NRA acceptance, missing D&D fields, etc)
- Weekly regional compliance audits/sampling, capturing of top exceptions (Pareto), identification of repeat causes and assignment of CAPA owners and due dates
- Monthly Regional Assurance Review and reporting including sampling results, CAPA status and compliance training completions status
- Monthly consolidated regional reporting inputs to global Board pack

Job Purpose
SHEQ
- Execute health, safety, quality and environment plans and processes to provide employees with a safe and healthy work environment.

Responsible for identification and proactive management of risks. This includes the implementation of risk avoidance measures designed to effectively manage loss creating situations on site. Implementation of group policies and procedures relating to Security, Health and Safety maintenance. Timeous completion and submission of Risk Management reports. Consult with all stakeholders to ensure active participation in all Risk Management processes and achievement thereof. Completion of all investigations in accordance with Group Risk Management Standards. Ensuring prompt reporting of insurance claims. Adequate and effective systems are implemented to ensure compliance with the relevant laws, regulations and as well as policies and SOPs. Ensuring Site Management addresses all risks highlighted in audit reports and self-assessments. Management and the maintenance of MHE equipment.
Key Responsibilities
- Maintain Minimum Safety Standards (MSS) at 100%.
- Manage and maintain ISO 14001, ISO 45001 & ISO 22001 standards, ISO 13485 and regulatory requirements associated with the QMS.
- Establish Safety Committees and arrange compliance meetings.
- Implement and maintain all Quality Management-related standards (ISO 9001, Good Warehousing Practices).
- Implement and maintain all Quality required documents (Quality Manual, SOP's, WI'S, Forms etc) in compliance with Good Warehousing Practices.
- Lead and maintain all CAPA, Change Control, Supplier Management and Training Programmes ensuring it is following GWP.

- Collect details of location/country safety incidents and report them using the approved platform (LOGICS) or via the local LOGICS user within 48hrs.
