Manager: Secretariat Services
Introduction
The position of the CSLC Manager: Secretariat Services is vacant. The CSLC Manager: Secretariat Services reports directly to the Senior Manager: Governance and Secretariat and forms part of the Company Secretariat and Legal Counsel division. The position is based at Head Office in Pretoria.
The remuneration package for this position is R 1 456 304 per annum, negotiable based on qualifications and experience.

Duties & Responsibilities
The CSLC Manager: Secretariat Services will be required to provide support to the Senior Manager: Governance and Secretariats through the implementation of the following Key Performance Areas (KPAs):
· Allocate and coordinate Secretariat Administrator to avoid duplication, specifically in agendas, Ensure all board and committee submissions undergo mandatory quality checks, including alignment to approved templates, KPAs, KPIs and resolutions
· Perform final quality assurance on all Board and Committee documentation prior to submission or distribution.
· Secretariat Administrator: administrative coordination, publications and circulars, SharePoint and records management.
· Serve as the primary operational interface between the executive environment, Board and secretariat staff ito. Records Management
· Manage the end-to-end governance cycle for BOT and Committee meetings in line with approved policies, year planners and SOPs
· Compliance Checklists development
· Ensure Board and Committee members receive accurate, complete, and timely information.
· Electronic Archiving and Oversee consolidation and maintenance of the Board and Committee Action Register.
· Manage Quality Assurance where required
· Training Needs Analysis (Schedule development and Coordination / Implementation)
· Manage performance, workload distribution and development of Secretariat staff.
· Coach team members on governance and secretariat standards, document quality and professional judgement.
Desired Experience & Qualification
Qualification requirements are:
· Degree or Diploma in Law, Governance, Company Secretariat or related field
· CGISA / ICSA or equivalent professional certification
· Management Development Programme (MDP) will be advantageous
· Minimum 5 years’ relevant work experience in a corporate governance or board secretariat environment
· Advanced knowledge of King V, MSA and Governance practices is an advantage.
· Proven experience in supervising governance workflows and staff
· Strong analytical, document review and quality assurance skills
· Experience in the medical schemes or public sector environment
Behavioural Competencies
· Have excellent written and verbal communication and interpersonal skills
· Have the ability to work well as part of a team.
· Be computer literate on an advanced level.
· Have a diligent work ethic with attention to detail
· Self-motivated and proactive
· Have Strong negotiation skills.
· Ability to give advice and engage with various stakeholders.
Desirable
· Have an understanding of the medical schemes industry

· Review of Charters, TOR, Committee Work Plans, and CGAC Operating Model and management of compliance matrix
· Establish and enforce a single, standardised workflow for agenda Quality Assurance
· Development, minute taking and action tracking and decision logs/Resolution including relevant registers
· Review first drafts of Agendas, minutes, action lists and Governance submissions before onward circulation
· King V and Relevant Legislation Compliance and Reporting
· Specialist in Governance technical content, compliance checks, analytical input and decision logs.
· Ensure action items are aligned with the originating resolutions, KPIs, and KPA
· Binding and safekeeping of relevant records,
· Workshop Management (Needs Analysis and Coordination / Implementation)
· Ensure the development of the Action List and the Resolutions Register
· Follow up on overdue actions with responsible executives and divisions and report exceptions to the Senior Manager
· Manage performance, workload distribution and development of Governance staff.
