Job Description
We have an opportunity for a Shared Services Officer to join our Shared Services team. The role provides efficient and responsive administrative support across facilities and general administration, procurement and finance administration, records management and registry services, corporate travel desk administration, asset administration, and COID administration and compliance. The successful candidate will contribute to service excellence by ensuring that these support services are coordinated professionally, comply with approved policies and procedures, and meet the needs of internal and external stakeholders.
This post will report to the Team Leader: Shared Services.
- KRA 1: Reception, General Administration, Procurement and Finance Administration (15%)
- Provide professional reception and office administration support, including enquiries, visitors, access cards, smart lockers and general administrative controls.
- Support procurement and finance administration, including requisitions, purchase order follow-ups, invoices, vendor liaison, record keeping and escalation of delays.
- KRA 2: Records Management and Registry Services (25%)
- Coordinate records and registry services, including document receipt, tracking, filing, storage, distribution and disposal.
- Support records governance through policy and file plan implementation, Records Committee administration, audit readiness, staff guidance and corrective actions.
- KRA 3: Corporate Travel Desk Administration (20%)
- Coordinate travel and accommodation requests, bookings, confirmations, supplier communication and stakeholder updates.
- Ensure travel desk compliance with approved travel, SCM and finance processes, including quotations, approvals, payments and records.
- KRA 4: Facilities and Asset Management (30%)
- Coordinate facilities support, maintenance requests, walkthrough inspections, repair follow-ups and key control administration.
- Maintain asset records and support asset verification, discrepancy follow-up and compliance with asset management procedures.
- KRA 5: COID Administration and Compliance (10%)
- Administer COID incident reporting and claims, including documentation checks, submissions, claim monitoring and stakeholder updates.
- Maintain complete COID records and support compliance, audit readiness and coordination with OHS and Facilities teams.
MINIMUM REQUIREMENTS:
Qualifications and Experience
- Grade 12/National Senior Certificate with relevant administrative experience in office administration, shared services, reception, records, travel, procurement, finance or related support services.
- At least two years’ experience within a customer/service environment (sales, finance, reception etc.)
- Advantageous: experience in finance procurement processes, records administration and basic office maintenance and basic health and safety compliance.
- Valid Code 8 driver’s license
- No criminal record
Physical and other requirements
- Able to communicate in English appropriately and clearly, both verbally and in writing with telephone callers, office visitors and co-workers
- High tolerance with engaging staff i.e.: complaints and escalations.
- Sit at an office desk for extended periods of time and able to walk stairs within the building.
- Tolerate dust and fumes from general cleaning and maintenance procedures.

Job Description
CapeNature seeks to appoint a dedicated conservationist who will contribute meaningfully to the conservation of biodiversity through protected area management with a strong emphasis on the marine environment. The successful candidate will also support terrestrial conservation efforts in line with CapeNature’s integrated catchment management approach. Key responsibilities include compliance monitoring and law enforcement, eco-tourism, environmental education, stakeholder engagement, and contributing to integrated catchment management to help achieve the vision and goals of the Protected Area Complex.
The position will report to the Conservation Officer on Reserve, Kogelberg Nature Reserve Complex
RESPONSIBILITIES:
Enhance biodiversity resilience through targeted ecosystem conservation, restoration initiatives and effective protected area management.
- Ecological tasks: Carry out ecological projects as per the Protected Area Ecological Matrix and any other biodiversity conservation related tasks as required for the effective management of the Protected Area (Betty’s Bay MPA/ Stony Point Penguin colony)
- Alien invasive species management: Carry out alien invasive species management in Kogelberg Complex
- Heritage tasks: Carry out identified functions related to historical, cultural, archaeological and palaeontological asset management in the Protected Area
Assist with protected area conservation in ways that address biodiversity loss in key biodiversity areas.
- Planning: Take part in and contribute to the planning processes for the Protected Area
- Quality control: Undertake quality control of integrated annual operations plan projects and/or other projects in field.
- Reporting: Prepare reports and carry out reporting on activities as required.
- Maintenance: Carry out infrastructure, vehicle, vessel and equipment maintenance functions as required for the Protected Area
- Partnerships and collaborative activities: Perform functions as required for collaborative activities throughout the Landscape (MOA/U support and/or compliance).
Contribute to conservation in promoting the biodiversity economy and enhancing biodiversity access and sustainable use.
- Job creation: Support the implementation of targeted biodiversity economic activities to promote job creation, work opportunities, and livelihood support.
- Access: Manage access to the Protected Area for recreational, educational, training, research, traditional, cultural and spiritual purposes; manage volunteers and citizen scientists.
- Eco-tourism and visitor liaison: Support eco-tourism and visitor liaison activities as and when required for the Protected Area
Contribute to conservation action to advocate for a nature positive future through behavioural change and voluntary compliance.
- Environmental awareness: Carry out environmental awareness activities.
- Capacity building: Carry out capacity building activities.
- Compliance monitoring and law enforcement: Carry out compliance monitoring and law enforcement activities as per integrated workplans, compliance plans, joint operations plans, as well as any other proactive and reactive actions necessary for the effective management of the Protected Area and participate in combined operations including Phakisa operations.
Take accountability for performance, governance, risk management and equality in the workplace.
- Health and safety: Participate in Occupational Health and Safety (OHS) assessments and OHS toolbox talks and provide input for Hazard Identification and Risk Assessments (HIRA); Ensure compliance with all Health and Safety standards and requirements.
- Incident preparedness and response, e.g. fires, disasters (e.g. floods, oil spill, vessel grounding), disease outbreaks, marine wildlife strandings, and search and rescues: Carry out firefighting, disaster management, incident response and rescue operations as required for the Protected Area
- Administration: Carry out necessary administrative tasks.
- Training: Undergo relevant training as and when required.
- Supervision: Undertake supervision of Conservation Assistants, contract staff, students and volunteers.
MINIMUM REQUIREMENTS:
Qualifications and Experience
- Grade 12
- At least 2 years’ experience with an emphasis on estuary, coastal and the marine environment.
- A valid driver’s license with at least three years’ driving experience.
- A working knowledge of enforcement operations, specifically the National Environmental Management: Integrated Coastal Management Act and the Marine Living Resources Act.
- Computer literacy (MS Word, MS Excel, MS PowerPoint, GIS).
- Knowledge and experience in ecological monitoring and law enforcement.
- Knowledge and experience in firefighting and incident response.
- Bilingualism in two of the three official languages of the Western Cape.
- No criminal record.
Competencies
- Willingness to work weekend shifts and irregular hours.
- Physical ability to perform Field Ranger duties, including the ability to swim.
- Strong analytical, strategic and creative problem-solving skills.

Job Description
CapeNature seeks to appoint a dynamic individual to provide a professional Conservation Planning and GIS support service. The Conservation Planner Technologist forms part of the Biodiversity Intelligence team and will be primarily focussed on the revision and development of the Western Cape Biodiversity Spatial Plan, whilst also providing GIS support to the Biodiversity Capabilities Directorate.
The purpose of the Conservation Planner Technologist post is to aid in the revision of the Western Cape Biodiversity Spatial Plan; generate and manage science-based knowledge; contribute to planning and data management; generate efficiencies through the creation, maintenance and reporting on spatial datasets; develop and maintain collaborations and partnerships to augment capacity and capability to deliver an advanced GIS-based conservation service; and to contribute to the development of human and knowledge capital towards achieving the strategic objectives of CapeNature.
RESPONSIBILITIES:
KRA 1: Manage, develop and integrate knowledge, planning, and monitoring systems.
- Update and refine the spatial informants required to inform the five-yearly revision of the Western Cape Biodiversity Spatial Plan.
- Provide competent, advanced technical support to the GIS/spatial data and information management service.
- Contribute revision and updating of the spatial informants associated with the revision of the five-yearly Western Cape Protected Areas Expansion Strategy.
- Contribute to the work required to publish a five-yearly Western Cape State of Biodiversity Report and an annual Western Cape State of Conservation Reports.
KRA 2: Manage, develop and integrate legislation, policies, strategies and systems.
- Best available science embedded into policies, procedures, protocols, strategies and plans, including:
- Western Cape Biodiversity Legislation
- CapeNature Policies.
- Biodiversity Governance Position Statements.
- Ensure current and accurate Biodiversity Spatial Planning information informs Biodiversity and Environmental Legislation.
KRA 3: Generate impact through the enablement, development and integration of leading-edge technologies, practice, policy, science, and innovation.
- Assist with the implementation of an effective web-based integrated conservation and biodiversity data management system and secure management, sharing of, and access to biodiversity data and information with and from strategic partners, biodiversity research entities and other biodiversity institutions (locally, nationally, and globally) for CapeNature.
- Contribute to leading edge, professional, formal scientific research (internally and externally), scientific and technical reports, memoranda, assessments and publications, peer reviewed scientific publications, presentations and reports, and presentations at appropriate National / International Biodiversity Conservation Conferences to advance the practice of biodiversity conservation.
- Contribute to biodiversity conservation mainstreaming products interventions and engagements
KRA 4: Manage, engage and collaborate with strategic partners and fora.
- Represent CapeNature’s mandate and interests on Committees, Forums, Working Groups and Meetings deemed relevant.
KRA 5: Manage, develop and deploy biodiversity capability and capacity.
- Provide scientific and technical decision support to internal and external stakeholders.
- Contribute to and deliver stakeholder capacity building and awareness about healthy natural ecosystems, habitats and landscapes, and ecosystem services.
- Mainstream optimal procedures, practices and processes for effective biodiversity monitoring and surveillance.
- Contribute to the updating of Standard Operating Protocols and Guidelines.
MINIMUM REQUIREMENTS:
- A Natural Science degree in the field of Geomatics, Environmental Management, Conservation Science, Ecological Science, Biological Science or Zoological Science (NQF 7);
- Geomatics Technologist certification (Candidate or higher) with South African Geomatics Council.
- Three years (3) post qualification experience in an environmental GISc or conservation planning.
- Have good working knowledge of Spatial Analyst or equivalent (Grid or Raster formats). Applicants are required to upload an example of a completed project using these tools.

COMPETENCIES
- Excellent Geographical Information Systems knowledge and expertise including demonstrable working knowledge of ArcGIS and/or Quantum GIS (QGIS) software. Applicants are required to upload an example of a completed project or product in which they contributed.
- Demonstrable knowledge of digitising and data manipulation and curation procedures for GIS.
- Knowledge of the principles, techniques and applications of GIS spatial database management and quality control for data.
