The position of Governance Specialist is vacant. The Governance Specialist will report directly to the Senior Manager Governance and Secretariat and forms part of the Company Secretary & Legal Counsel Division. The position is based at Head Office in Pretoria.
The total remuneration package for this position negotiable based on qualifications and experience.
 
The Governance Specialist will be required to assist and support the Senior Manager Governance and Secretariat through the implementation of the following Key Performance Areas (KPAs):
  • Execute the corporate governance structure and decision-making framework ensuring all necessary information is provide to senior manager: Governance & Secretariat Services in a timely manner to ensure they can discharge their statutory functions effectively.
  • Provide professional administration services (including prepare agenda, reports, action list, minutes, arrange meeting, strong administration, diary management and IT skills, liaise with senior managers on relevant issues including checklists etc.). To ensure compliance with the rules and regulations, procedures and practises and the production and quality of governance products
  • Assist in supporting the board of trustees and the committee of the board by maintaining efficient secretariat services in accordance with the approved GEMS Governance Policy and Procedure.
  • Undertake appropriate post-meeting action to ensure implementation of decisions arising from meetings and ensure an appropriate forward plan for the work of the CSLC division.
  • Support and assist in maintaining an effective scrutiny function in terms of compliance checklist, claims and expenses.
  • Provide general administrative support to ensure proper operation of the secretariat division including the Board Portal Maintenance.
  • Maintain the board and committee year planner and manage the secretariat and events calendar in accordance with the GEMS Governance policy and standard operating procedure.
  • Ensure that all secretariat records and documentations are maintained and filed. Develop and implement an integrated marketing and communication strategy to support the Scheme business objectives.
 
Qualification requirements are:
  • Three-year Degree/diploma in Secretariat studies or equivalent
  • Certified chartered Secretary will be advantageous
  • 3 to 5 years work experience in a legal, corporate governance and/in or compliance environment
  • Experience in successfully managing medium to large projects
  • Proven written and communication/ interpersonal skills
  • Proven good minutes taking (strong transcription and shorthand skill)
  • Strong administration background
  • Analytical and monitoring skills
  • Attention to details
  • Ability to identify risks and challenges
  • Ability to give direction and engage with various stakeholders
  • High level of administration and office management skills High level of computer literacy
  • Evidence of a sound grasp of diary management
  • Experience of effectively managing and preparing board packs Able to work on own initiative
  • Excellent communication skills, verbal and written
  • Experience of working with senior managers and executives
  • Evidence of developing successful relations with both internal and external stakeholders
  • Experience of handling sensitive situations/ confidential material.
