Duties and responsibilities:
• Administration
o Oversee all administrative and operational functions and procedures in the sub division.
o Annual review of policy and additional regulations pertaining to the placement of prospective students and renewal of current students in all accommodation categories.
o Implementation of the UFS policy pertaining to diversity within residences.
o Manage and coordinate all procedures with regard to placements and cancellation of accommodation.
o Manage and coordinate the offer process leading up to the arrival of first-time entering students.
o Manage in conjunction with residence heads continuous occupancy records to ensure accurate reporting and occupancy statistics (including reporting to HESA via DIRAP).
o Manage the communication process towards residence heads with regards to room occupancy records and calculation of first-year placement capacity.
o Oversee room transfer process.
o Manage accommodation arrangements applicable to international visiting academics, postdoctoral, PhD and Magister students.
o Manage placement of Masters, PhD and Postdoctoral students as well as high-profile research visitors (i.e. Senior Research Professors and Extraordinary Professors) and family accommodation units. This include after hour service delivery and support whether it may be of maintenance, access or any other nature.
o Coordinate the annual process of temporary off-campus accommodation.
o Manage and oversee the office and process with regards to accreditation off-campus accommodation in order to increase the number of accredited beds.
o Through the Off-Campus Accommodation Office, ensure off-campus service providers comply with the norms and standards required for accreditation purposes.
o Review annually the Off-Campus Accreditation Policy, Placement Policy and the Renewal Policy for on-campus accommodation. •
o Represent Housing and Residence Affairs (HRA) with the Director at the Registration Committee.
o Secretariat of the Accommodation Bursary Committee, Residence Leadership Bursary and the Placement Advisory Committee.
o Act as data set steward on all datasets within RMS/Mercury software.
o Prepare reports on Accommodation Administration (quarterly, semester, and annual) for submission to the Senior Director.
• Human Resources:
o Manage the leave cycle in the sub-division.
o Coordinate the effective functioning of Residence Assistants (Ras) at senior residences, including semester meetings and training.
o Ensure effective mentorship with regards to the Intern within Accommodation Administration.
o Promote an independent work environment wherein fellow staff members can express innovative thinking in the process of problem-solving.
• Financial Management:
o Oversee the preparation process of mass billing of all residential students annually during February in conjunction with the Assistant Director: Financial Manager HRA.
o Oversee control with regard to payment of deposits, accommodation prepayment and payments for senior accommodation categories.
• Training and development:
o Identify continuous training opportunities for Accommodation Administration staff to utilise Mercury software optimally.
o Continuous alignment of office procedures with Mercury functionality.
o Training of student-assistants to assist HRA during the annual Registration Process.
o Appointment and training of residence assistants within the senior residences’ environment.
Inherent requirements:
• Bachelor’s degree or an advanced diploma/BTech degree/postgraduate certificate on NQF Level 7.
• Minimum of four (4) years relevant management experience in a higher education housing environment.
• Valid driver's licence.
Recommendations:

Duties and responsibilities:
• Financial Management:
o Manage, calculate and upload the accommodation fees in accordance with the percentage increase approved by the UFS Council.
o Manage the process of mass billing of all residential students annually during February.
o Manage the transfer and uploading of billing/charges related data files from Mercury system to PeopleSoft.
o Oversee the annual reconciliation process of accommodation charges on student accounts of all three campuses.
o Reconcile income and occupancy.
o Manage and control salary expenses.
o Approve ad-hoc salary claims.
o Provide feedback to Residence Heads regarding the internal auditing of the residences' financial documents.
o Calculate the remuneration of Residence Committee members, including Day Residences.
o Obtain and discuss sub-divisions' budgets with relevant heads of sub-divisions.
o Table the draft budgets of sub-divisions to the Director for approval.
o Draft overall annual budget and concept budget for the following year in conjunction with the Deputy Director: Finance for all campuses and submit to Director for approval.
o Manage and oversee all cost centres of Housing and Residence Affairs (HRA).
o Prepare journals when necessary.
o Ensure that donations are transferred from the cost centre to residence's bank accounts.
o Calculate amount of campus levy per residence to be transferred from cost centres to the residence's bank accounts.
o Review water and electricity readings for discrepancies.
o Request overdraft facilities at the end of the year for all three campuses.
• Human Resources:
o Compile adverts for vacant posts.
o Submit forms for advertisement and appointments to the Director, Executive Director and HR Department.
o Ex-officio member of all HRA shortlisting panels and interviews.
o Serve as liaison with HR Business Partner.
o Submit appointments of RC Members/Ad Hoc Staff for submission to HOD.
o Keep a record of the leave of staff members.
• 3rd Income Stream:
o Oversee catering services at dining halls.
o Oversee income of Dining Halls.
o Conduct meetings with the Manager: Dining@Kovsies.
o Oversee all the planning and logistic arrangements of conferences which is held during the UFS's holiday period.
o Oversee the reconciliation of conference accounts.
• General Administration:
o Request item types to be created for residences.
o Signing authority up to R100 000 of quotations, requisitions, and purchase orders.
o Approve electronic tax invoices received from UFS Finance Department.
o Manage and control telephone accounts of department.
o Oversee the HRA vehicle fleet.
o Attend meetings on financial matters.
o Coordinate all financial communication of HRA to staff, Residence Heads and Residence Committee (RC) members.
o Assist with telephone and email enquiries from students and parents on financial issues regarding residence fees.
o Keep record of computer equipment in offices.
o Assist the Director as risk champion to update the Risk Register.
o Attend POPIA meetings with the Director.
o Provide benchmarking information regarding accommodation fees to the Deputy Director: Tuition Fees.
o Prepare reports (quarterly, semester, and annual) on department finances for submission to the Director.
• Training and Development:
o Provide training to sub-division heads on compiling their budgets.
o Provide financial training to newly elected RC Finance Members and Residence Heads.
o Review the Financial Manual of Residences in collaboration with the Assistant Director: Residence Life & Student Communities.
o Provide training to Student Assistants in HRA finance (Residence) office.

Description
The University of the Free State (UFS) invites applications from suitably qualified candidates for a postdoctoral fellowship in the Department of Mathematics, Natural Sciences and Technology Education on the Bloemfontein Campus, specifically in science education research, led by Prof Maria Tsakeni.
Candidates with a doctoral degree in Science Education, preferably with expertise in innovative instructional strategies and curriculum innovations implementation in science classrooms are encouraged to apply. Candidates with proven research expertise in the design, collection, and analysis of quantitative data and mixed-research data will have an added advantage. Candidates with expertise in the application of the Statistical Package for the Social Sciences (SPSS) are preferred. The successful candidate will be required to conduct innovative research and obtain evidence-based empirical data on curriculum innovations and innovative instructional strategies including the use of educational technologies in schools and preservice teacher preparation. Experience in postgraduate supervision will be an added advantage.
The fellowship is available for a period of one year, renewable for up to three years, subject to satisfactory performance.
Duties and responsibilities:
• Conduct innovative research and obtain evidence-based empirical data on the innovative instructional strategies and curriculum innovations in science education.
• Author/co-author at least three (3) publication outputs per year in the form of DHET-accredited scholarly journal articles or books/chapters in books. The renewal of the fellowship beyond the first year depends on satisfactory performance and the submission of an annual progress report.
• Initiate projects and seek funding for them.
• Register and reside as a postdoctoral research fellow at the UFS and participate in relevant activities of the School of Postgraduate Studies and the Directorate of Research.
Eligibility Criteria:
• Open to all South African and foreign nationals for full-time research at the University of the Free State, Bloemfontein Campus.
• Graduated with a PhD degree in a relevant discipline within the past five years.
• Successful applicants may not hold full-time salaried employment during the fellowship.
• Successful applicants must be able to relocate to the UFS for the duration of the fellowship. This is a residential fellowship: the successful applicant is required to spend 85% of her/his postdoctoral period at the UFS.
Value of the fellowship:
• R 240,000 annual fellowship.
• R 30,000 additional research expenses fund.

Duties and responsibilities:
• Oversee the scheduling and functioning of all undergraduate and postgraduate clinical learning in the skills- and simulation laboratories.
• Arrange simulation-based education and debriefing orientation sessions as required.
• Collaboration with lecturing staff, design and develop simulation-based scenarios (the person must be experienced in simulation to this work apart from assistance from lecturers).
• Assist lecturing staff to execute simulation learning and other clinical learning opportunities.
• Maintain and operate the simulation laboratory, including troubleshooting and

• Supervise students during learning sessions and maintain safe practices by abiding by all established policies and procedures for the skills- and simulation laboratories.
• Contribute to the evaluation of students during skills and simulation activities as well as on other occasions by request.
• Assist in the coordination of the annual simulation short learning programme (SimSLP) for health practitioners, working collaboratively with a team that includes staff from SHoRS and academic staff’s skills unit to plan and organise the event. (the person must be experienced in simulation to this work apart from assistance from lecturers).
• Oversee the management of equipment and inventory in the skills and simulation laboratories.
• Ensure that all equipment is properly maintained and functioning.
• Address minor equipment issues in collaboration with the ICT team and report major malfunctions or breakages to the relevant stakeholder (the person must be trained in debriefing to be able to fulfil this duty).
• Prepare the skills- and the simulation laboratories for scheduled learning activities – these include mannikin and equipment set-up and cleaning up afterwards.
• Request quotations, order stock and consumables according to needs.
• Manage voice recordings and video footage in a strictly confidential manner.
• Integrate research and best practices into simulation-based education.
