Applications are invited from qualified and experienced candidates for the above-stated permanent position in the Department of Research and Innovation at the University of Fort Hare (UFH). The main purpose of the position is to coordinate capturing and screening research outputs for submission to the Department of Higher Education and Training (DHET), process page fee payments, ensure compliance with DHET research output rules and policies, ensure compliance with relevant university policies & procedures, calculate research units, facilitating research outputs audits, disseminate information regarding DHET rules and the university research incentive grants policy. In addition, the position will facilitate the disbursement of research output subsidy funds to the research cost centres of awardees
 
MINIMUM REQUIREMENTS:
  • Honours degree
  • At least 4 years of relevant work experience
  • Experience in the process of applying DHET rules, monitoring research incentives, and financial accounting for awarded grants is essential
  • In-depth knowledge of DHET rules and processes relating to incentive grants and page fees
 
DUTIES & RESPONSIBILITIES INCLUDE:
  • Coordinating and screening research outputs for submission to the Department of Higher Education and Training (DHET)
  • Facilitating the annual capturing of research outputs on the online system for all Faculties, Research Institutes, Research Centres, Research Chairs, Research Niche Areas, and other UFH research entities.
  • Verifying adherence to standards & rules
  • Circulating & coordinating research outputs for amendment/compliance with standards
  • Updating details on the online research outputs capturing systems
  • Facilitating Research Outputs Audits
  • Verifying units per submitted research output based on the number of authors and their institutional affiliations.
  • Contacting researchers and requesting all the information required by the auditors
  • Providing information and documentation requested by auditor
  • Disseminating information regarding DHET rules, grant policy
  • Disseminating adverts and calls for submissions
  • Disseminating updated DHET list of accredited journals
  • Disseminating DHET and the university's research-related policies
  • Facilitating policy awareness workshops for researchers and postgraduate students
  • Disbursing research output subsidy funds to research cost centres of the awarded researchers
  • Preparing incentive loading forms for submission to line manager for approval
  • Facilitating opening research accounts for newly awarded researchers
  • Preparing student incentive loading forms submission to line manager for approval
  • Liaising with Finance Department to drive transfer of funds and payment of requisitions
  • Monitoring cost centre allocations to ensure accuracy and prompt disbursement of research incentive funds
  • Report on research units metrics
  • Drawing up reports on the number of publication units produced by each researcher
  • Drawing up reports on the number of publication units produced by each Faculty, Research Institute, Research Centres, Research Chairs, Research Niche Areas, and other UFH structures.
  • Drawing up reports on amount of incentive funds awarded per Faculty

The University of Fort Hare (UFH) invites applications from suitably qualified and experienced candidates for the position of Officer: Technology Transfer and Contracts. The main purpose of the position is to facilitate commercialisation of intellectual property emanating from research conducted at UFH through activities that include protecting intellectual property, writing licensing agreements and fostering relationships with researchers, funding organisations, industry partners and other relevant stakeholders.
 
MINIMUM REQUIREMENTS:
  • An LLB degree or Honours degree in a relevant field
  • A minimum of 3 years’ experience in one or more of the following areas:
    • Technology transfer
    • Intellectual property management and/or intellectual property law
    • Contract negotiation/drafting
    • Commercialisation of technologies
  • At least 2 years’ experience in administration, preferably within a university, institution of higher learning or research institution
 
ADDED ADVANTAGES AND PREFERENCES:
  • Admission as an Attorney or Advocate
  • Working knowledge of South African IPR laws and contract law
  • Familiarity with public research and higher education environments 
 
DUTIES & RESPONSIBILITIES INCLUDE:
  • Manage the identification, evaluation, and protection of university-owned IP
  • Draft and negotiate contracts and agreements, including licensing and MoUs
  • Facilitate the commercialization of technologies through strategic partnerships
  • Ensure legal compliance and support risk mitigation measures in contracts and IP operations
  • Liaise with stakeholders including university researchers, legal experts, and external funders (e.g., TIA, NIPMO, CSIR):
  • Maintain accurate documentation and reporting on contract lifecycles and IP matters
  • Conduct awareness sessions and training workshops on IP and contract compliance
 
COMPETENCIES:
  • In-depth understanding of IP legal framework/laws , particularly in the South African context

  • Experience with legal and patent databases (e.g., CIPC, WIPO, Espacenet, Google Patents) for IP searches and monitoring.
  • Competence in digital document management platforms (e.g., SharePoint, OneDrive) for secure storage and collaboration.
  • Ability to use email and calendar management tools (e.g., Outlook) for scheduling and communications.
  • Experience with digital signatures (e.g., DocuSign, Adobe Sign) for secure contract execution.
  • Basic project management software skills (e.g., MS Project, Trello, Asana) for managing multiple initiatives.

The Senior Administrator position provides administrative support to the Director of Research and Innovation. The support covers a wide range of administrative tasks that include managing incoming documents, emails and phone calls, scheduling meetings, writing minutes of meetings, making travel arrangements, making accommodation bookings, processing procurement requisitions, compiling information for institutional reports, organizing institutional events and coordinating activities or projects undertaken by the Director’s Office. The position also provides central administrative support for Research Ethics activities.
 
MINIMUM REQUIREMENTS:
  • Undergraduate degree in a relevant field
  • At least 2 years’ experience in administration in a Higher Education environment, preferably in a research office.
  • At least 1 year experience in the process of Research Ethics clearance of research projects in a Higher Education environment.
 
ADDED ADVANTAGES AND PREFERENCES:
  • Experience in compiling content for institutional annual reports
  • Familiarity with logistical preparations for hosting large research colloquia and conferences.

  • Drafting motivation letters for payments for services or products
  • Processing quotations, invoices and requisitions for payments
  • Organising quarterly departmental staff workshop
  • Drafting programmes for departmental workshops or events
  • Coordinating logistical arrangements for the annual UFH Research Week of Excellence
  • Coordinating logistical arrangements for DRI events (e.g. launching of new programmes, research entities or online processes)
  • Compiling information and statistics for the annual UFH Research Report
  • Coordinating process of taking photographs of authors of articles and research facilities for the UFH Research Report.
  • Writing minutes of meetings
  • Providing central administrative support for UFH Research Ethics activities
  • Providing central support for the online Research Ethics application system
  • Ensuring that RECs submit mandatory annual reports to the National Health Research Ethics Council (NHREC).
  • Coordinating meetings for the Director and for the Department

We are inviting applications for the position of Specialist: Postdoctoral Fellowships Programme within the Department of Postgraduate Studies and Postdoctoral Fellowships. The incumbent will be responsible for the coordination and administration of applications for various funding channels for eligible postdoctoral fellows. The Specialist will serve as a primary point of contact for postdoctoral candidates throughout their application process, for appointments to join UFH, funding application processes and monitoring their academic and professional journeys as postdoctoral fellows. The ideal candidate should possess in-depth knowledge of various postdoctoral funding sources.
            
MINIMUM REQUIREMENTS:
  • An Honours Degree; a Master’s Degree will be considered an added advantage.
  • A minimum of three (3) years of experience in administering postdoctoral or research fellows.
  • A strong knowledge of institutional and external funding policies and procedures.
  • Excellent written and oral communication skills, with attention to detail. 
 
KEY ROLES & RESPONSIBILITIES INCLUDE:
 
Application Coordination:
  • Overseeing the postdoctoral fellowship funding applications, ensuring timely and accurate submissions.
  • Maintaining a comprehensive and centralized database to monitor applications, statuses, tracking progress and outcomes.
Funder Liaison:
  • Serve as the primary point of contact between the institution and various postdoctoral funding agencies.
  • Establish and maintain relationships with alumni, government, industry stakeholders, and international funding bodies to facilitate collaboration and support.
Advisory Role:
  • Provide expert advice and guidance to postdoctoral fellows on funding opportunities, application processes, and eligibility criteria.
  • Assist postdoctoral fellows in preparing application materials, including project proposals and budgets.
  • Ensure all applications comply with institutional policies and funder requirements.
Workshops and Training:
  • Organize and conduct workshops to educate potential applicants about funding opportunities and application best practices.
  • Promote the Postdoctoral Fellowships Programme through outreach activities at conferences, workshops, and academic events.
Monitoring and Evaluation:
  • Track the success rates of funding applications and compile reports on outcomes and trends.
  • Assess the effectiveness of the fellowship program and recommend improvements based on data analysis

To effectively implement the University’s Research and Innovation Strategy, the Director requires dedicated administrative support to manage complex strategic and operational functions. A Senior Administrator ensures continuity, institutional memory, and efficient coordination across faculties, departments, and external partners. Their operational and administrative expertise will enable the Director and the Department of Postgraduate Studies and Postdoctoral Fellowships to function optimally and maintain high service standards with optimal controls. With growing postgraduate student numbers and postdoctoral fellows, the workload demands a skilled professional who can manage systems, timelines, and stakeholder engagement.
 
Minimum Requirements:
  • Undergraduate qualification (NQF level 7).
  • 3 years’ experience in Office Management and Administration Support, preferably at a senior level.
  • 3 Years’ experience at a Higher Education Institution.
 
Responsibilities Include:
  • Office Administration, including, Secretarial role to the Director
  • Management of the office and diary of the Director, bearing in mind the complexity of managing the Director’s activities across campuses.
  • Records keeping for audit, asset management and resource control purposes
  • Financial administration for operational budgeting and spending
  • Compiling information for ongoing reporting
  • Provides an effective interface between the Director’s office and all levels of the University community.
  • Event coordination and management, including administration of the relevant meetings (agenda compilation, minutes and reports)
  • Implement administrative functions of stakeholders, including HODs and faculties related to the Director
  • Communication with internal and external stakeholders
  • Travel management, including bookings for local and international trips for the department
