Job Title: Executive PA to the CEO
Reporting to: Chief Executive Officer
Brief Outline of Duties:
To provide executive assistance to the Chief Executive Officer in the execution of the entities mandate through its strategic and operational plan in its day to day operations. Assuming the task of a coordinator between the organisation (TIKZN) and the Office of the CEO, as well as stakeholders both locally and internationally.
KEY PERFORMANCE AREAS (Among others)
1. Diary Management
2. CEO’s Itinerary Management
3. MANCO Secretariat
4. Office Administration
5. Travel and Accommodation
6. Support Company Secretary for Board preparations
KEY ACTIVITIES
• Setting up appointments for and with the CEO.
• Screen people who wish to meet with the CEO and establish the purpose of the meeting.
• Ensure the CEO attends or is available for meetings.
• Update the CEO schedule and arrange and priorities the events.
• Ensuring accuracy in the diary entries and that the diary is up to date.
• Setting up and co-ordination of meetings both locally and internally.
• Make necessary arrangements with the Travel Agent for flights, accommodation and car hire for both National and International missions.
• Provide secretariat services at all key meetings, Technical Assistance Fund, BEE Financial Assistance staff meetings, Exco meetings and MANCO meetings.
JOB SPECIFICATION
Educational and / or Technical Competencies:
Matric Certificate
Secretarial diploma or equivalent thereof from an accredited institution.
Computer Literacy
Experience:
Five years’ experience as a Personal Assistant within an executive environment, both at the Private and Public sector.

• Strong communication (written and verbal) and interpersonal skills.
• Ability to work independently as well as a team player.
• Strong organisational, report writing and minute taking skills.
• Effective time management skills.
• High level of professionalism and confidentiality.
• Sense of urgency and positive attitude towards work.
• Organisational and Planning Skills
• Computer Literate at an advance level
• Good Office etiquette
