CHIEF ADMINISTRATION CLERK (SALARY LEVEL 7)

JOB REQUIREMENTS
- An undergraduate qualification in Administration/Business Management/Management Assistant or equivalent
- At least 12 months’ secretarial and/or administrative experience
Candidates must possess the following skills:
- Good interpersonal and communication skills
- Ability to interact with people with a wide variety of backgrounds and levels
- Management and problem solving skills
- Planning, administrative and organisational skills
- The ability to work under pressure
- The candidate must also be able to write reports, the ability to work with an electronic diary, and experience in managing a filing system
- The candidate must be computer literate, especially in the Microsoft suit of packages

- Knowledge of the CET Act, Act 16 0f 2006, is essential
DUTIES
- Managing and co-ordinating administrative support functions pertaining to the College Council
- Effective communication between internal and external stakeholders of the College
- Track and maintain records of all financial transactions pertaining to Council members
- Manage all logistical arrangements for the Office of the Council Secretariat
- Prepare supporting documentation for Council meetings
- Assist with preparing agendas and minutes/reports for Council meetings
- Assist with Council subcommittees’ administration, as and when requested

Requirements:
- A qualification at NQF level 6 or 7 in Auditing, Finance and or Risk Management with Internal Auditing as a major subject.
- 2 – 3 years’ relevant experience in Internal Auditing environment.
- Knowledge of Theory and Practice of Internal Audit, Knowledge and application of applicable legislative requirements, Standards for professional Practice of Internal Auditors.
- Computer skills, Problem solving skills, Interpersonal Relations, Writing and Verbal Communication, Analytical thinking and Report Writing.
- IIASA membership will serve as an advantage.
- A valid driver’s license will be added advantage.
Duties:
- Execute of allocated projects in terms of the annual internal audit plan.
- Set up an entry meeting to discuss the scope of the audit.
- Document clear and concise system description with the client.
- Develop audit programme.
- Perform audit tests as per audit programme reviewed by the audit supervisor.
- Document test results on working papers.
- Ensure that all work is conducted in line with the IIA standards and Code of Ethics.
- Document audit findings as per audit procedures.
- Compile audit report for each engagement.
- Monitor progress on the implementation of agreed upon action plans.
- Perform follow up audits.
- Prepare the audit files for all the allocated projects completed/ensure completeness of the file.

Job Specification:
- Achieve overall campus targets for WPBL/WBE and SMME.
- Liaison with SETAs for application and management of Discretionary Grants projects.

- Reporting on WPBL/WBE/SMME activities at campus level.

Job requirements
- N6 Certificate in Management Assistant ; L4 Certificate in Office Administration or Information Technology and Computer Science or equivalent qualification.
- Experience in the Conduct and Management of Assessment and Examination,
- Valid driver’s license will be an added advantage.
Duties and Responsibilities:
Management of Question Papers:
- Delivery of consignment at Delivery Point, Opening Bags and Boxes, Handover Process to Examination Centers, Return of Answer Scripts, Daily Reports to DHET.
- Control and Receive of scripts (script registers), Record any discrepancies during the receiving of scripts (discrepancy form), pack scripts in accordance to the official address list. Distribute scripts to marking centers through courier services.
- Supervise the Examination Assistants and Report to the Delivery Point Manager. Takes full control and accountability in the absence of the Delivery Point Manager.

Job Description
- Add new material to file records, and create new records as necessary.

- Manage filing room and ensure all files are correctly filed.

Main function
- Oversee the development of division in the college
- Supporting College and rendering professional assistance in capacity building related to learning, teaching and assessment of division subjects in all levels
- Co-ordination of Curriculum and Assessment structures for your division
- Co-ordination of the development of learning materials, development of Performance Assessment Tasks and Assessment Tasks
Main duties
Serve in the campus management
- The overall management of the division which includes the implementation of the National Policy on the Conduct, Administration and Management of Assessment of Report 191.
- Guide, support, monitor and assess the performance of lecturing staff
- Manage the work distribution and timetables for the division
- Ensure quality education in the field and adherence to college and Subject policies
- Manage examination related matters
- Assist with the financial planning and control of the division

Requirements:
A recognised undergraduate qualification/Bachelor’s degree (NQF level 7) or equivalent qualification in Human Resource Training and Development specialising in staff training and development. The applicant must have 3-5 years’ experience in the area human development and. A post-graduate Degree/qualification and/or experience in the Post Schooling Education and Training sector will be an added advantage. A valid driver` licence. To work effectively with colleagues, trainees and managers. Must have good interpersonal skills. Must have a strong analytical, management and decision-making skills to assess training needs and recommend appropriate solutions. Proven computer literacy, including advanced MS Word, MS Excel and MS PowerPoint. Proven report writing and presentation skills. The ability to set an example to other employees by demonstrating a commitment to personal development.
