MICE SALES MANAGER X2

KEY PERFORMANCE AREAS
MICE Sales Activities
- Oversee and support the programmes undertaken by the SANCB sales team, including:
- Source, research, qualify and convert leads into secured business for the destination.
- Partake in sales engagements with clients to convert leads into bidding opportunities.
- Manage and coordinate the end-to-end bidding process to secure business events for the destination, including lobbying and bid promotion activities.
- Manage the administrative processes of the bid support programme, including the evaluation, scoring, motivations and issuing support letters for bids.
- Manage all sales leads, accounts, contact and event profiles on the SANCB’s CRM system to ensure accurate tracking and reporting.
- Provide business partnering services to South African Tourism’s country offices, hubs, and Provincial Convention Bureaus to ensure sales activities are structured and coordinated.
- Conduct research into key industries and sectors to generate sales leads and insights that inform the bidding processes for international meetings, incentives, conventions and exhibitions.
- Develop relationships with international exhibition organisers and promote opportunities for exhibitions to be hosted in South Africa.
- Meet sales targets in accordance with SANCB goals and objectives.
Lead Generation
- Generate and qualify sales leads from tradeshows and sales promotions activities.
- Follow up on all sales lead using the CRM system to monitor & report on progress.
- Maintain accurate database records and follow-up procedures.
- Achieve and grow sales targets through bid submissions.
- Contribute to the attainment of the overall sales targets in accordance with SANCB goals and objectives.
MICE Activities
- Plan and conduct sales activities, including promotions, tradeshow arrangements and bid presentations.
- As required by the GM: Sales, provide assistance and input into the sales plan for the SANCB.
- Generate a draft budget for annual sales activities, including all logistical considerations.
- Monitor sales performance and prepare regular sales reports as required.
- Gather and record market intelligence and competitive information appropriate to specific bids.
- Keep up to date with South Africa’s Business Events products and services through industry product presentations, sites, research and meetings.
- Provide support for other Business Events related activities as directed by the SANCB strategy and business plan.
- Oversee and manage the International Hosted Buyer Programme for Meetings Africa and related sales activities.
Stakeholder Engagement and Communication
- Engage with business unit heads to provide an advisory MICE Sales role and guidance on strategic SANCB management processes.
- Establish and maintain relationships with key stakeholders to promote the South African brand through collaboration and partnerships with business heads, trade and broader industry/sector players.
Participate as an active member of the SA Tourism management team
- Prepare monthly performance and insights reports and make presentations as required.
- Actively participate in management meetings, committees and relevant governance structures.
- Positively support the implementation of all management decisions.
MINIMUM REQUIREMENTS:
- A Bachelor’s Degree in Sales and Marketing/Travel and Tourism/Business management or equivalent.
- Minimum 5 years in Sales and Marketing experience, including proven experience in successfully planning and executing strategic sales and bidding projects.
- Knowledge of the business events industry and understanding the SA Tourism mandate will be an added advantage.
- Experience in government operations is required.

SALES OFFICER X2

KEY PERFORMANCE AREAS
Sales Coordination
- Provide support to the MICE Manager(s) on all sales activities and programs.
- Provide support with bidding processes, including, but not limited to; Preparation of bid documents and proposals.
- Obtaining government and industry support letters
- Preparation of sales presentation & promotional materials
- Coordination of bid promotional activities and meetings.
- Distribution of bid documents/proposals and bid support materials.
Bid Support Programme Administrative Support
- Provide administrative support for the bid support programme
- Assist with administrative and procurement duties for bids that received support through the bid support programme.
- Assist with the tracking, monitoring and reporting of the bids that received support through the bid support programme.
- Provide support to the MICE Sales Manager(s) with applications for the bid support programme, including all administrative duties linked to the programme’s policy and framework
Lead Generation
- Assist with generating and qualifying leads from trade shows and sales activities.
- Follow up on all sales leads and bids using the CRM system to monitor & report on progress.
- Maintain an accurate database and records of all sales leads, including follow-up procedures.
- Contribute to the attainment of the overall sales targets in accordance with SANCB goals and objectives.
- Arrange and coordinate sales promotions such as sales calls, tradeshow sales appointments, sales missions and client networking engagements.
- Respond efficiently to and resolve all general sales enquiries.
- Arrange and coordinate client site inspections and familiarisations in liaison with country offices, industry partners, clients and convention bureaus.
- Execute the bid project plans according to the bid strategy developed by the bid committee.
- Execute all administrative duties related to the bid agreements with clients.
- Actively contribute to and assist with regular sales reports.
- Prepare handover reports to the Coordinator: Support Services for the execution of Delegate Boosting and On-Site Event Services.
- Keep abreast with South Africa’s MICE products and services through industry product presentations, site visits, primary and secondary research, and industry meetings.
- Provide support for all MICE-related activities as requested by MICE Manager(s).
- Assist with the hosted buyer recruitment process for Meetings Africa, including the logistical arrangements for the show’s buyer programme.
Client and Stakeholder Relationships
- Assist with developing relationships with decision-makers to promote opportunities for association and corporate meetings and conferences, including incentive travel and trade exhibitions in South Africa.
- Assist with developing relationships with key accounts (decision-makers) for bidding purposes.
- Assist the MICE Sales Manager(s) with the planning and execution of in-market sales activities, including promotions, tradeshow arrangements, bid presentations, and hosting of client dinners.
- Assist with coordinating activities between the SANCB’s sales team and the provincial and city Convention Bureaus on sales and bidding-related matters.
- Provide assistance with capacity-building initiatives for the SA business events industry.
- Assist tradeshow partners and the SANCB sales team with the diary system requirements for trade and sales platforms in conjunction with the exhibition execution team.
- Keep up to date with South Africa’s Business Events, products, and services through industry product presentations, site inspections, research and meetings.
MINIMUM REQUIREMENTS:
- Tertiary Qualifications: Diploma/Bachelor’s Degree in Sales and Marketing, preferably specialising in the MICE, Tourism and/or Hospitality industry.
- Minimum 2 years’ experience in a sales or business development support role within the MICE industry.
- Knowledge and expertise within the MICE (Meetings, Incentives, Conferences and Exhibitions) industry and understanding of the SANCB mandate will be an added advantage.

MANAGEMENT ACCOUNTANT

PURPOSE OF THE JOB
Responsible for the organisation's management accountancy function coordination. Planning, monitoring, and reporting on financial activities of the organisation to support informed decision-making by staff and management
KEY OUTPUTS
Budget Preparation and Monitoring
• Support the Manager: Budget and Reporting to develop business unit budgets, annual budgets, and long-term financial plans based on the organizational goals and objectives.
• Conduct regular forecasting to update budget projections based on actual performance and expected developments within the sector
• Monitor budgetary performance regularly, comparing actual results against budgeted figures.
• Investigate variances, identify the causes, and work with business units to implement corrective actions where necessary.
• Provide financial management support to the users in respect of planning, budgeting, reporting, relevant legislation, policies, processes, and the implementation thereof.
• Maintain the integrity of the financial systems at all times.
• Consolidate budget section of business plans for the organisation to be included in Annual Strategic Plan
• Update 5-year strategic plan in line with MTEF
• Load budgets that are 100% in balance in the finance system before 01 April of every financial year
• Ensure transactions are allocated to correct accounts and discuss any deviations with management
• Ensure approved budget re-allocations are processed in the finance system immediately after approval per DOA
Recording and Reporting
• Prepare monthly and quarterly management reports as required and make recommendations to address significant variances.
• Provide financial information for the Management Information Packs.
• Compile reports required for In-Year and Year-End reporting (Estimates of National Expenditure, Medium Term Expenditure Framework, National Treasury Financial Statements Template)
• Preparation of all reports for stakeholders (National Treasury, Department of Tourism, South African Reserve Bank etc.)
• Assist with the preparation of the Annual Financial Statements and supporting working papers in line with Generally Recognised Accounting Practice standards (GRAP).
Month-end processes
• Ensure monthly deadlines are met at all times.
• Prepare and perform month-end and year-end opening and closing procedures in the financial system.
• Ensure that transactions identified as exceptions are distributed to the correct users and addressed.
• Run a monthly salaries journal and post it for allocation to the right cost centres.
• Prepare Balance Sheet and Payroll accounts reconciliation and address reconciling items on a monthly basis.
• Make sure that all balance sheet accounts are revalued at month-end rates before closing periods.
• Provide Requisitioners with list of POs not received before closing Oracle so they can receive and recognise valid expenses in the GL.
• Review and post journals daily.
Risk Management
• Maintain financial systems in order to provide appropriate levels of security and controls.
• Ensure compliance with SAT policies and procedures.
• Assist with audit queries and follow up on audit findings and corrective measures in areas of responsibility.
Compliance and Monitoring
• Monitor adherence to budgetary guidelines and policies.
• Identify areas of concern or potential cost savings and report to management
• Support audits and compliance reviews related to the budgeting and reporting processes.
QUALIFICATIONS AND EXPERIENCE
Professional Certification and Membership
- Professional certification as a Chartered Accountant with the South African Institute of Chartered Accountants (SAICA) or Chartered Institute of Management Accountants (CIMA) will be an added advantage.

FINANCIAL REPORTING AND BUDGETING MANAGER
The following vacancy exists for a Financial Reporting and Budgeting Manager in the Finance Business Unit, reporting to the General Manager: Financial Management at Head Office in Sandton. If you possess the required skills and experience, we invite you to apply.
PURPOSE OF THE JOB
To manage the organisation’s budget, overseeing budget execution and reporting across the organisation through monitoring expenditure and ensuring compliance on budget execution and reporting.
KEY OUTPUTS
Financial Budget Planning and Management
• Compile and submit the operational and capital budget to the Board for approval for the following financial year.
• Educate SA Tourism departments on budget related processes in order to enforce and/or facilitate adherence to procedures and processes.
• Monitor operating expenditure for the entire organisation to ensure that it does not exceed the budget.
Audit Process
• Ensure safe keeping of financial related information for a clean audit.
• Provide any required assistance during internal and/or external audit exercises that are conducted in the organisation.
• Analyse and interpret audit findings and investigations reports.
• Tracking and resolving all Audit queries reported on the Audit Register.
• Determine levels of interventions required to curb non-conformance and compliance with laid down procedures.
Reporting
• Overseeing the submission of the monthly management reports on operational expenditure to the Business Unit Leads.
• Compile and submit monthly and quarterly finance management reports as well ad hoc reports to submit to the GM Finance.
• Prepare and ensure the annual financial statements (AFS) are submitted by deadline to the Auditor General. (Caseware and Treasury template).
• Engage with relevant SAT departments in order to follow up any issues that arise on reporting.
Monitoring Payments
• Reporting on significant payments for all offices
• Monitor payments, ensuring that they are in line with the cash flow approved by the CFO of SA Tourism.
• Ensure that the SA Tourism’s operating subsidy is paid by the set deadline in terms of the contract.
Audit Management
• Receive co-ordinate and action audit requests.
• Create and monitor Audit Requests Register.
• Co-ordinate submission and return of audit documentation.
• Co-ordinate movement of documentation internally.
• Provide required information to support audit teams both internal and external in order to receive clean audit findings.
• Compilation of monthly and quarterly year-end audit files.
• Assist with both internal and external audit responses.
• Liaise with relevant stakeholders regarding audit queries
• Oversight of all audit (IT, internal and external)
Record Keeping
• Archiving of financial information.
• Liaise with audit teams for the return of documents.
Expenditure Management
• Develop, implement and monitor internal financial controls.
• Monitor spend analysis in terms of approved budgets and appointment values of contracts and follow up and recommend on problem areas.
• Ensure adequate cash flow management for all payments.
• Identify and report on fruitless and wasteful expenditure.
• Review monthly bank and asset reconciliations.
Risk Management
• SA Tourism Bank signatory including approving beneficiaries
• Ensure that unauthorised, irregular, or fruitless and wasteful expenditure is detected, processed, recorded, and reported in a timely manner
• Regular reporting to GM: Financial Management on unauthorised, irregular, fruitless and wasteful expenditure.
Business Unit Resource Management
• Monitor the execution of the business unit operational plan against set targets and KPIs.
• Conduct budgetary planning for the business unit/team and account for spend on internal initiatives.
• Ensure sufficient capacity and information is provided to staff within the business unit to achieve set performance objectives.
• Manage the performance of employees in accordance with the organisational policy.

- Strong expertise in statutory reporting, management reporting, budgeting, and forecasting
- Strong proficiency in Microsoft Excel is essential.
- Excellent numeracy and analytical skills.
- Accountable and handle figures with integrity.
Professional Certification and Membership
