Creditors Supervisor (C5)
(Position based in Pretoria, NPC)
Reports to: Manager: Finance
Summation
Direct the processing of invoices and payments and also manage expense accounts and budget reports. Moreover, he/she will be responsible for reconciliations, General ledger and Vendor reconciliations, preparing and processing of journals, effect payments on Business On-Line CATS and supervise creation of new supplier details on the SAP system (Vendor master creations).
Key Responsibilities
• Accuracy of payments to suppliers including validation and authorisation based on supporting documentation from business units.
• Verify accuracy of VAT indicator on invoices to ensure compliance with VAT act requirements. Incorrect VAT claimed can lead to penalties and interest.
• If documentation is not checked diligently for delegation unauthorised expenditure can be incurred (PFMA). Ensure that all invoices are pre-audited. Check report that invoices are parked and posted.
• Time management to ensure all invoices that need to be paid and are correct, are included in the correct payment run (Suppliers paid on time). (Adhere to SLA).
• Accuracy and completeness of reconciliations. Overpayments and problems are identified through the reconciliation. If these are not done properly these will not be identified and resolved timeously. All un-cleared items must be investigated.
• Training and development of sub-ordinates
• Arrange for foreign currency payments. Important to ensure that all documentation are signed according to delegation and that the transactions are recorded in SAP after payment was effected, to prevent duplicate payment to suppliers

• Review Goods received and Invoices Received (GRIR) account to ensure invoices processed for goods received and that old items are resolved. Verify completeness and accuracy of processing and follow up of GRIR with different BU and procurement.
• Effect payments to suppliers and other recipients through the EFT system. Control over payment run, creation of payment run, releasing of payment run and verification of EFT payments on CATS. Reversal of rejected items by the bank to the correct vendors.
• Responsible for preparing and / or arranging adjustments for unpaid items
• Ensure that all vendor applications adhere to policies before vendor is created and that vendors are created timeously, on a national basis. Maintain all vendor masters.
• Uploading of regular contract payments (e.g. rent, postal and delivery agents, car rentals, petrol cards)
• Action by doing and/or reviewing all GL and vendor reconciliations are completed monthly as per policy, and follow-ups are completed on outstanding items
• Submission of Key Performance Indicators (KPI’s) information relating to clerical activities, Payment Runs, Special Payments and Duplicate Payment and Blocked Payment to Senior Manager
Minimum Requirements
• National Diploma (NQF Level 6) in Accounting or equivalent
• Bachelor’s degree in Accounting or Business Administration will be an added advantage
• At least 3 years in the accounts payable environment, of which 1 to 2 years in a supervisory role
Knowledge and understanding of:
• SAP Creditors module knowledge
• Thorough understanding of accounts payable functions
• Thorough knowledge of applicable statutory requirements, e.g. VAT Act, Usury Act and PFMA.
Skills and Attributes
• Excellent accounting skills, Excellent verbal and written communication skills, Proficient in accounting software and Microsoft Office Suite or related software, Excellent Excel and Word skills, Analytical and attention to detail / accuracy, Supervisory skills, Assertiveness, Motivational skills, Conflict management/ Diplomacy, Planning and monitoring skills, Organising skills.
