APPOINTMENT TYPE: Fixed Term Contract- 12 Months
Job Purpose Statement
The successful incumbent will manage at regional level, all office administration, and related aspects according to relevant policies and procedures the legislative regulations. To manage ad-hoc resource needs and maintain internal and external customer and stakeholder relations.
Organization Structure
Minimum requirements
• A National Diploma or related tertiary qualification.
• At least 10 years relevant experience

Duties and Accountability
Staff/Admin Management
Management and coordination of facilities and administration staff.
• Ensure required time and attendance of administration and facilities staff
• Facilitate monthly Admin staff meetings to co-ordinate duties
Compile and perform annual and bi-annual performance assessments on admin and facilities staff.
• Ensure that admin staff’s objectives and goals are aligned to the overall objectives of the company and that these goals are met
• Compile individual development plans for each admin staff member
• Ensure that performance assessments are done timeously
• Provide feedback to Regional Manager about Performance Assessment.
• Mentor and coach junior administrative staff
Administration Management
Office Management
• Ensure the general upkeep of the office by liaison and interaction with facilities manager.
• Ensure that stationery and consumables and office furniture stocks are maintained in sufficient supply.
• Ensure that the staff adhere to all office controls that are in place.
Registry Management
• Manage the controls and implementation of systems that allow easy accessibility and retrieval of files
• Ensure the integrity and control of information and files i.e. the safe-keeping and distribution of files, incoming mail, tenders, and payment certificates.
• Collection of postage from Post Box / Office
• Ensure an effective and efficient archiving and waste-management system (including recycling)
• Manage and Liaise with long term filing storage regarding the storage, retrieval, or disposal of certain documents
• Ensure that Registry officer partakes in focus group activities and meetings, conditioners, electrical, plumbing
Risk Management
• In liaison with Facilities Manager ensure that staff comply to the organization’s policies and procedures relating to safety and security.
• In liaison with Facilities Manager, ensure 24hr availability/contact with the security service provider regard to afterhours incidents
• Participate in the development and regulate update of the regional Business Continuity Plan.
• Report stolen goods to the SA Police Services and complete the necessary paperwork required for an insurance claim.
• Liaise with relevant insurance company regarding the processing and payment of claims relating to staff and the facility.
Regional Events Co-ordination
• Partner with the Regional Communications and Stakeholder Engagement Coordinator to manage and coordinate all Regional marketing activities
• Manage submissions of marketing material in the region and SANRAL events.
• Attend Communication/ Marketing Focus Group meetings
• Management, Coordination of distribution and safe keeping of marketing items.
• In consultation with the Stakeholder Engagement Coordinator Collate information regionally for information in the annual report, Internal Magazines and other marketing or communication projects
Management of regional exhibitions and conferences
• IN liaison with Stakeholder Engagement coordinator and SANRAL Marketing and Comms, Ensure and coordinate the setting up of exhibitions company branding at regional events
• Be a brand ambassador and represent the organization in a professional manner at all events
• Plan and coordinate events regionally e.g., road openings or other events that involve high ranking officials
Public Relations
• Follow the necessary protocol for the events
• Liaise with SANRAL Portfolio Manager for PR c regarding the branding and printing booklets or pamphlets for events
• Liaise with Project Managers and head Office regarding print and radio media (assist with press releases, print of road construction activities and incidents)
