ROLE OVERVIEW
Reporting to the Manager: Strategic Support and Analytics (Senior Manager: Operational Performance Monitoring), this role provides high-level administrative, operational, and office management support. The Portfolio Administrator will ensure seamless coordination of activities, effective workflow management, and compliance with organizational standards to enhance overall efficiency of the Operations Cluster and contribute to the organization’s success.

QUALIFICATIONS AND EXPERIENCE
Senior Certificate or equivalent (Studies towards administrative/ secretarial qualifications essential);
A Valid Code 08 drivers’ licence;
2-3 years’ experience in administrative/ secretarial capacity;
Ability to maintain high-level of accuracy and confidentiality is essential;
Understanding of the internal Scientrix System will be an added advantage
KEY PORTFOLIO AND PERFORMANCE FOCUS AREAS
Secretarial & Office Management Services: Efficiently manage office operations, including workflow, correspondence, and inter-unit communication. Coordinate and manage meetings, ensuring effective scheduling, agenda preparation, minute-taking, and follow-ups on action items. Maintain an organized and updated diary management system for unit Heads . Arrange travel and accommodation logistics, ensuring cost-effectiveness and compliance with policies. Plan, coordinate, and execute events, workshops, and training sessions within the cluster. Provide budget administration support, including tracking expenditure, processing requisitions, and ensuring alignment with financial policies.
Cluster-Wide Administrative & Secretariat Support: Support all unit Heads by providing shared administrative and secretarial services across the Cluster. Act as a strategic and operational interface between units, ensuring smooth coordination and integration of activities. Serve as a central point of contact for administrative queries, ensuring timely responses and issue resolution. Develop and maintain filing and document management systems for easy retrieval and record-keeping.
Monitoring, Evaluation & Performance Support: Engage with all units within the cluster to interpret and analyze performance progress information. Label, package, and upload evidence in line with defined quality standards and compliance requirements. Identify and flag gaps in reporting, ensuring corrective actions are taken before submission deadlines. Support the development of performance reports by consolidating, verifying, and structuring data effectively. Ensure adherence to M&E frameworks, policies, and reporting timelines.
