MAIN PURPOSE OF POSITION
To Manage, Control and supervise head office site relating to the buildings, machinery, equipment and associated safety incorporating the official appointment of supervisor of machinery.
KEY ACCOUNTABILITIES
DEVELOPMENT OF OPERATIONAL PLAN
- Contribute towards the development of and Implement the overall Real Estate and Logistics strategy.
- Monitor and manage departmental inputs and outputs to ensure maximum efficiencies and regularly report progress.
- Develop and monitor the implementation of the operational plans.
BUSINESS OPERATIONAL EFFICIENCY
- Manage property maintenance, both electrical and mechanical and building, to retain asset values and appearances.
- Manage and Negotiate maintenance and utility contract annually.
- Develop a preventative maintenance plan and re-active maintenance plans.
- Manage and oversee efficient, effective maintenance of all buildings and facilities.
- Conduct regular inspections in order to ensure efficient, effective and timeous maintenance and repairs.
- Develop, implement and maintain the organisation property services long term maintenance plan.
- Review and Report on the achievement of business unit’s objectives. (Weekly, monthly and quarterly).
FINANCIAL MANAGEMENT
- Prepare the annual budgets, (OPEX and CAPEX), for the Business Unit.
- Cost effectively control and manage the business unit budget.
- Proper utilization of the budget by monitoring & reporting expenditure.
- Continuous monitoring and evaluation of processes, procedures and operations to identify and manage operational and financial risk.
GOVERNANCE, RISK AND COMPLIANCE
- Ensure adherence to policies and procedures and proper corporate governance.
- Develop and Monitor the implementation of Standard Operating Procedures, (SOPs).
- Develop and Monitor the implementation of relevant Policies.
- Monitor compliance and adherence in line with risks identified.
- Provide report to the lie manager on the progress and non-compliance of risk management within business unit.
- Adhere and reporting on Occupational Health and Safety Compliance.
STAKEHOLDER MANAGEMENT
- Create and maintain cross functional communication with Procurement & Legal departments.
- Liaise with External Service Providers.
- Manage and negotiate maintenance and utility contracts annually.
- Manage the Service level agreement.
LEADERSHIP AND PEOPLE MANAGEMENT
- Effective contracting and evaluation of Performance Management.
- Effective management of Employment Relations issues within the Business Unit.
- Effective briefing and communication with departmental staff
- Personnel Development Plans (PDP) for all staff members.
- Provide direction on the attraction and retention of staff.
- Ensure the relevant Job profiles are prepared and are available for the Business Unit.
QUALIFICATIONS & EXPERIENCE
- Bachelor’s Degree in Property management, real estate or mechanical or equivalent qualification
- Government Certificate of Competency – factories, Mechanical or Electrical.
- 6 years’ experience in property management and maintenance of which 3 years should be on Supervisory level.
