Job Description
  • Providing administrative support to both external and internal clients.
  • Documents and administrative control according to standards.
  • Housekeeping of the office.
  • Ensuring adherence to internal business processes, procedure and policies.
  • Assist with general administrative tasks.
  • Operating of Reception and Switchboard.
 
Job Requirements
  • Grade 12 or equivalent qualification.
  • A minimum of 3 years administrative experience.
  • Proficiency in Microsoft, Excel and Outlook.
  • Certificate in Computer Training would be advantageous.
  • Previous experience/exposure to PPECB processes will be an advantage.

FINANCE BUSINESS PARTNER AND MASTER DATA CONTROLLER - (968)

JOB PURPOSE
To partner with business as the Finance Representative for any system related items and maintain master data, which include the management, clean-up, reviewing, updating and repairing of all master data or records for the PPECB.
 
 HIGH LEVEL JOB OBJECTIVES
  • Master Data Control: To ensure master data integrity and uniformity through an ongoing and periodic updating and maintenance of all master data.
  • Internal Training: To prepare and ensure training of all financial systems' users.
  • Standard operating procedures and policies: To review and document existing processes and make recommendations on improvements where necessary ensuring the PPECB’s Finance Standard Operating Procedures are up to date.
  • Fixed Assets Control: To provide assurance that fixed assets and the movement of fixed assets are recorded in the register, timely updated, and physical existence is verified.
  • Contracts Control: To monitor the status of all supplier contracts to ensure that all contracts are recorded in the contract register, payments are made as per contractual terms and conditions, the supplier’s performance is appropriately evaluated by the contract manager and timely renewed/advertised to continuously support the business.
  • Identify and Evaluate Risks and Controls: To Identify and evaluate ERP risks and controls.
  • Finance Business Partner: To engage and collaborate with internal stakeholders on the design, development, training, guidance and support of Finance solutions.
  • Oversight and Reporting: To provide oversight and relevant reports, including exception reports.

OPERATIONS SYSTEM SUPPORT - (967)

Purpose:
To provide operational and systems support to internal and external clients to ensure the successful implementation of TITAN 2.0, ERP and other applicable business systems and processes.
 
High Level Objectives:
  • To ensure skills transfer on new and existing systems with internal and external stakeholders within their sphere of operation (Inspections and/ Cold Chain).
  • To ensure effective management and continues improvement and enhancement of operational systems and process.
  • To ensure relevant risks are identified and mitigated.
  • To ensure completeness of income and compliance to PPECB policies and procedures.
 
Scope of Responsibility:
  • Deliver support services to internal and external clients
  • Provide input and support in compiling system requirements
  • Communicate technical system requirements to internal clients
  • Continually look for process improvement areas within system to automate process or improve efficiency
  • Transfer skills to other staff and develop training content for end-users
  • Provide system support to end-users
  • Adhere to support policies; processes and business SLAs
  • Ensure ICT processes are followed
  • Use of ICT tools, e.g. service desk for all support calls
  • Provide end-users (external and internal) with telephonic or on-site assistance in problem determination and resolution
  • Provide guidance to users on processes
  • Participate in standby as per agreed upon standby roster
  • Maintain and support system administration
  • Escalate any unresolved support issues through relevant channels.
  • Recommendations for improvements to support ICT and business
  • Submit weekly/ monthly reports on assigned metrics
  • PPECB brand ambassador and change agent
  • Contribute to SME grouping meetings
  • Successful implementation of TITAN 2.0 ®
  • Ensure adequate cost control
  • Daily planning of allocated duties
  • Conclude issues on Exception reports in consultation with regions.
 
Job Requirements
Qualifications:
  • A Tertiary Qualification or a National Diploma/Degree in Information Technology / Science OR Agriculture in the following disciplines:
  • Agricultural management/Crop production
  • Horticulture
  • Environmental Health or
  • Food Technology
 
Knowledge:
  • Knowledge of different applications used within PPECB.
  • Knowledge of the Perishable export industry and relevant role-players
  • Knowledge of Inspection processes and activities (internal and external)
  • Knowledge of ISO document management processes
  • Knowledge of Inspection data-capturing processes
  • Finance and Info system knowledge (ERP)
  • Knowledge of basic computer applications
