PERSONAL ASSISTANT TO CFO

The Personal Assistant provide support to the Chief Financial Officer and undertake various company administrative duties to enable smooth running of the Finance department and other departments
Main Responsibilities: Provide secretarial and administrative support by coordinating all arrangements for meetings* Take and distribute minutes timeously * Open new files, file and ensure documents are easily retrievable * Ensure that documents are processed to and from the CFO timeously * Follow up on pertinent matters across different departments *Take messages as necessary *Coordination of OBP Insurance annually. * Process all claims in respect of car accidents, theft, breakdowns and all insurance related claims *Ensure that all insurance documentation is compiled and completed before submission for claims* Liaise with the insurance assessor to arrange appointment times for inspection of insured items * Management of Petty Cash * Manage and issue petty cash against the necessary signed forms * Arrange delivery of petty cash and ensure adherence to signing procedures * Balance petty cash on a monthly basis ensuring that all supporting documentation and reconciliations have been submitted *Submit monthly payments for services i.e travel and accommodation, AGSA. *Review payment batch banking details *Administer cellular phone contracts * Manage travel arrangements (flights, accommodation etc) for the company * Management of company vehicles * Maintain a list of kilometres travelled per car and schedule services as necessary (3-5 cars) * Ensure that vehicles are licenced and sent for service at the correct service intervals * Ensure that authorisation forms are completed and signed should staff require a hired vehicle * Management of petrol cards and credit card* Ensure vehicles have appropriate tools and equipment, e.g. GPS, telephone. ** * Assist in administrative coordination of year end audits of OBP across all departments. Maintain Finance Policy register to ensure policies are reviewed timeously.
Minimum Requirements: Grade 12 * Higher Certificate in Accounting or Finance or related field NQF level 5 *Computer literate (Full MS Office Suite) * 3 years Executive secretarial and/or administrative experience * Experience gained working in an accounting department/environment would be advantageous * Strong Excel skills * Sound knowledge and understanding of the Financial Policies and Procedures and the impact on the operations of the business * The ability to utilise the correct computer software and the relevant functionality applicable to the outcomes required * Competent in calculations needed to cope with the requirements of the position * The ability to maintain confidentiality at all times when dealing with situations * The ability to plan, organise, and control staff in the work environment to achieve the business objectives * The ability to forecast occurrences and implement the necessary actions to overcome the occurrence. The Financial Manager is responsible for the provision of Financial Management services to OBP. The role involves financial and asset management, accounts receivables and payables management, cost and management accounting and financial reporting. COST AND MANAGEMENT ACCOUNTANT

The cost and Management Accountant will be responsible to maximise profit by managing revenue and expenses. By implementing, maintaining, and utilising standard operating procedures to ensure that all revenue and expenses are accurately and timeously accounted for. Management accounts that are compiled are accurate, complete, and timeously submitted for review by the FM for submission to relevant stakeholders.
Main Responsibilities include: Review month end GL reconciliations including the revenue reconciliation file. Reviewing of general ledger accounts monthly for cost classification, accuracy, and completeness of expenses. Prepare month end GL reconciliations for inventory, deferred tax and forex gains or losses. Reviewing of cost information for use in controlling expenditures and assist in month end close of the general ledger ensuring correct classification of costs and expenses * Ensure all journals, inventory adjustments and costs related adjustments are properly described, calculated, and signed off by authorised personnel *Analyse and collect data to determine costs of business activity such as raw material purchases, inventory, labour and production * Responsible for the full costing function, including BOM’s, WIP’s, project costing, system implementation as well as price negotiations * Analyse changes in product design, raw materials, manufacturing methods or services provided to determine effects on cost * Analyse actual manufacturing costs and prepare periodic reports comparing standard costs to actual production costs * Analyse audits of costs and prepare reports * Make estimates of new and proposed product costs * Report on stock GP% on a fully absorbed basis, broken down to direct and indirect costs, overheads and present monthly reports * Develop and provide reports specifying and comparing factors affecting prices and profitability of products or services * Adhere to all SOP's, policies and procedures * Actively involved in the preparation of budgets including itemising budgets within departments, relevant forecasting of projects and ad hoc financial analysis * Perform investigations regarding effectiveness and or efficiencies within the costs departments and formulate proposals for improvement * Assist in the efficient management and implementation of the costing and pricing of products. * Reconcile finished goods and raw material inventories to physical stock counts. Coach non‐financial/ cost managers on interpreting and communicating financial data and costing data * Contribute to short-, medium- and long-term business planning * Aid other departments and staff regarding general budgeting and financial reporting needs, including business plans, costing and pricing proposals, etc * Engaging with all relevant stakeholders including suppliers where necessary * Follow up on claims and rebates, margin recovery and deals with suppliers *Prepare monthly departmental reports on excel, and quarterly or annual reports on CaseWare.
Minimum Requirements: Relevant finance qualifications- BCom Accounting/ Cost Management Accounting or equivalent * CIMA qualification, or currently studying towards a CIMA qualification advantageous * +/- 3 years’ experience in a similar position within a Financial Department * Advance excel skills * Manufacturing industry experience beneficial * Understanding of the vaccine or pharmaceutical industry in South Africa beneficial * Proficiency in CaseWare. *Navision experience beneficial.

Reporting to the Chief Operating Officer, the successful candidate will be responsible for supporting the strategic objectives of OBP by ensuring safe, efficient and reliable machinery, equipment and facilities.
Main Responsibilities include: Develop and implement an asset maintenance strategy that includes the equipment registers and the planned maintenance plan which is aligned to the corporate strategy *Develop implementation plans and a schedule of planned preventative maintenance and calibrations* Ensure implementation, continuous maintenance and updating of the computerised maintenance management system (CMMS) as part of the Enterprise Resource Planning (ERP) system* * Ensure availability of utilities to allow for the production plan to be met.
