The National Lotteries Commission (NLC), a Scheduled 3A entity in terms of the Public Finance Management Act (PFMA), is a statutory body established in terms of the Lotteries Act (Act 57 of 1997), as amended with the purpose of regulating South African Lotteries and administering the National Lottery Distribution Trust Fund (NLDTF). Suitably qualified prospective candidates who are South African citizens are invited to submit their applications to fill the position listed below. LEGAL SERVICES DIVISION

EXECUTIVE ASSISTANT
PURPOSE OF THE JOB
The role is required to provide administrative support to the Executive Manager: Legal Services to ensure the effective and efficient running of the office and to assist in providing key support to the division in the execution of the overall Legal strategy.
SALARY SCALE: Remuneration package ranges from R278 600 - R387 400
REQUIRED QUALIFICATION
National Diploma in Office Management / Business Administration or equivalent
REQUIRED EXPERIENCE
- Must have at least 3 years’ relevant work experience in Executive Administration within a corporate environment
- Proven track record in executing executive and / or executive level administrative functions
- Proven track record in report writing and presentation formatting
KEY DELIVERABLES
- Manage the office, diaries and logistical arrangements in the office of the Executive Manager
- Manage overall travel arrangements for the Executive Manager
- Liaise with the internal and external stakeholders on various matters related to the duties of the Executive Manager
- Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the Executive and other stakeholders
- Plan, organise coordinate and control all administrative and operational procedures, activities and documentation for the Executive Manager
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the Executive’s behalf
- Maintaining comprehensive and accurate records
- Replenish office materials such as snacks, printer supplies, paper, office supplies, etc.
- Provide event management support when requested
- Provide hospitality to all guests and help to create a welcoming environment
- Coordinate all Legal Division Team meetings and retreats and assist with staff meetings and events as needed

- Advanced knowledge and experience of MS Suite / Extensive computer literacy

ADMINISTRATIVE ASSISTANT
PURPOSE OF THE JOB
The role of Administrative Assistant will play an important role in organising, managing, and keeping the Legal Services Division running. The Administrative Assistant will be responsible for all clerical and organisational tasks like file organising, scheduling appointments, assisting other staff members, and drafting correspondences.
SALARY SCALE: Remuneration package ranges from R174 200 - R240 600
REQUIRED QUALIFICATION
- National Diploma in Office Management / Business Administration or equivalent
REQUIRED EXPERIENCE
- Must have at least 3 years’ experience as an Administrative Assistant or equivalent within a corporate environment
KEY DELIVERABLES
- Responsible for clerical and organisational tasks like file organising, scheduling appointments and assisting other staff
- Screen phone calls and redirect them to the relevant team members
- Responsible for receiving deliveries and sorting and distributing them to the designated departments or individuals
- Perform different clerical duties, such as typing, photocopying, printing, scanning and binding documents
- Maintain office supplies by checking stock to determine inventory levels and anticipating required items
- Perform other administrative ad hoc duties that staff members request
- Make travel arrangements, such as booking flights and shuttles and making hotel and restaurant reservations.
- Prepare the necessary documents for meetings and a travel itinerary for the staff that are travelling
- Organise and schedule meetings and appointments for their supervisors or managers.
- Manage these team members' calendars and provide real-time scheduling support to prevent conflicts
- Improve the effectiveness of meetings, prepare agendas and schedules
- Maintain equipment inventories and oversee maintenance requirements
- Developing, manage and maintaining electronic and hard copy filing systems

- Proficient in English and possess strong business writing skills to create presentations and reports that are free of grammatical, spelling and punctuation inaccuracies

LEGAL OFFICERS X2
PURPOSE OF THE JOB
The role is required to assist in the effective and efficient management of the legal affairs of the organization, provision of legal advisory services, and ensuring effective management of legal and contractual risks.
SALARY SCALE: Remuneration package ranges from R375 300 – R537 900
REQUIRED QUALIFICATION
- LLB Degree (Bachelor of Law Degree) or equivalent qualification
- Admission as an Attorney or Advocate of the High Court of South Africa shall be an added advantage
REQUIRED EXPERIENCE
- A minimum of three (3) years’ experience in a legal environment / Legal Services Division in a public or private institution.
KEY DELIVERABLES
• Provide legal services as required by the organisation.
• Assist in the provision of proactive legal advice and support to all the NLC’s operation.
• Research and, interpret the law for practical application to business issues
• Prepare briefing files.
• Assist in drafting of organisational policies.
• Draft and review contracts in line with the NLC’s regulatory framework.
• Assist with Legal Risk Management.
• Maintain an accurate and updated filing and document management system.
• Knowledge of applicable laws applicable in public entities (e.g. PFMA, PPPFA, Treasury Regulations, PAIA, PAJA, POPIA, etc)
