PROJECT MANAGER: Documentary Heritage Assets
(Three-year contract)

The objectives of the National Library of South Africa (NLSA) are to contribute to socio-economic, cultural, educational, scientific and innovative development by collecting, recording, preserving and making available the national documentary heritage and promoting an awareness and appreciation thereof, by fostering information literacy, and by facilitating access to the world’s information resources.
The NLSA holds a national documentary heritage of over 2 million library materials in various formats including books; manuscripts; maps; posters; photographs; etc. Some of these collections are over 200 years old and most of them are classified as documentary heritage assets. The NLSA is required to comply with the GRAP 103 requirements for the management of documentary heritage assets. The purpose of this position is to ensure that the NLSA’s documentary heritage collections comply with GRAP103 requirements for documentary heritage assets.
The NLSA invites applications from suitably qualified persons for appointment to the position of Project Manager: Documentary Heritage Assets on a three-year contract to assist the NLSA to comply with GRAP 103 requirements. The successful individual will be based at the Pretoria Campus of the National Library of South Africa but will work across both the Pretoria and Cape Town Campuses.
KEY PERFORMANCE AREAS
Develop a project plan for management of documentary heritage assets in line with GRAP 103 and ensure implementation thereof
Develop a complete electronic list of the NLSA’s documentary heritage assets in line with GRAP103
Ensure the valuation of the documentary heritage assets
Implement a maintenance plan for the asset register and ensure compliance by all Departments working with heritage assets
Ensure that all heritage assets are secured
Review related policies and procedures and provide recommended changes in line with best practice
Prepare and present reports on project performance to Board, Audit Committee and respective management committee meetings
Assist with necessary information and responses to auditors
Develop, monitor and report on related operational and strategic risks
Keep abreast of library trends, issues, technology and developments in the professional field in relation to management of documentary heritage assets
Manage the performance of all direct reports
MINIMUM EDUCATIONAL QUALIFICATIONS AND EXPERIANCE
NQF 6 qualification in Library and Information Science, Project Management, Accounting Practice or equivalent qualification. A higher qualification will be an added advantage.
Five years of experience in the Library and Information Services (LIS) environment in a supervisory / managerial position. Experience leading projects in the LIS sector will be an added advantage.
At least two years of proven experience in implementing the GRAP Standards.
Understanding standard tools for creating catalogue records will be an added advantage
Advanced project management skills
High degree of computer literacy, knowledge of library related and other computer application programmes
Ability to organise work effectively, conceptualise and prioritise objectives and exercise independent judgment based on an understanding of organisational policies and procedures
High degree of writing, communication and presentation skills
Knowledge of relevant national legislation, GRAP Standards of generally recognised accounting practice
Attention to detail
Valid driver’s license
Problem solving and decision making skills
Policy development and implementation skills
Knowledge of budgeting and financial procedures
Advanced interpersonal and organisational skills
Excellent time management skills
High level strategic management skills
