ADMINISTRATION OFFICER  
Administration Officer (Permanent) (NCT24/AO-001)
Position Reports to: Chief Information Officer
Remuneration: R488 530.05TCTC
Job Purpose: To provide logistical and general administrative services and support to the ICT Unit.
 
Requirements:
  • A National Diploma in Business Management / Office Administration or ICT.
  • 1 – 2 years working experience.
  • Computer Literacy, specifically Microsoft Office (Word, PowerPoint, Excel & Outlook).
  • Excellent (verbal and written) communication, planning, organisation, computer, and time management
  • Accurate, proactive, goal–orientated, high sense of accountability, attention to detail,
  • Must be able to work in a team with minimal supervision.
  • Able to maintain confidentiality concerning NCT data.
 
Key Responsibilities:
  • Provide an ICT administrative service to staff, clients and the general public, and follow-up with all stakeholders on behalf of the CIO.
  • Field numerous telephone enquiries and capture detailed messages in the CIO’s diary.
  • Attend to e-mailing, copying, and dispatching of correspondence and documents.
  • Ensure proper recording of documentation in appropriate registers. Maintain an effective filing system for the CIO, ensuring that documents are filed in line with the Records Management Policy and Filing plan.
  • General word processing, including typing of correspondence, letters, speeches, presentations, memos, opinions etc.
  • Participate in the monthly ICT assets verification process.
  • Take Minutes for all meetings/sessions, distribute minutes, and follow up on matters that arise.
  • Maintain a calendar for timelines on all critical submission dates and alert the CIO of upcoming due dates.
  • Track the ICT procurement register and highlight contracts that need to be renewed three months prior.
  • Arrange meetings with internal and external stakeholders.
  • Prepare and distribute the agenda and meeting packs for meetings and events.
  • Ensure catering has been arranged as and when needed and that the venue has been set up correctly before external stakeholders arrive.
  • Facilitate all stationery requests for the ICT unit.
  • Track calls and assist with fielding and resolving user-related ICT problems on the NCT Incident Management System. Report on statistical information and manage updating of call status on the NCT incident management system.
  • Train new external users to register and file applications using the Case Management system.
  • Facilitate the courier arrangements for the unit.
  • Ongoing collation of the ICT unit’s performance management information.
  • Arrange all travel and accommodation arrangements within the required timeframe.
  • Assist with consolidating information on the unit into EXCO, quarterly, annual and other reports required by the unit.
Assist the unit with all ad-hoc administrative requirements.
