EXECUTIVE ASSISTANT TO THE CEO
SALARY: R20 633.73 - R27 157.85 PER MONTH BASIC (excluding benefits)
 
JOB PURPOSE
To provide secretarial and personal support to the CEO on all and any business, administration or client issues. To ensure the smooth and efficient running of the CEO's office operations.
 
 
DUTIES AND RESPONSIBILITIES
Management of the CEO's diary and appointments. Help CEO manage output, workflow and office deadlines. Travel and accommodation management locally and internationally, (booking of flights, accommodation, forex, vehicle hire). Managing of client complaints / queries and telephone calls; by screening calls and providing solutions or directing calls to the appropriate persons. Assist Company Secretariat with preparation of Board packs and other support requirements. Coordination of CEO's correspondence/ engagements with other CEOs, MMC's office, Board of Directors, City Manager and other key stakeholders. Collect and open all mail addressed to the CEO and route accordingly for attention to relevant executives. Take minutes of all meetings as directed. Draft, type and dispatch all the CEO's correspondence. Maintain a comprehensive filing system for the office. Ensure effective support to the CEO to ensure shareholders, board members and other role players' needs are met on various projects and campaigns. Assist in the preparation of presentations / discussion material.
 
 
TECHNICAL SKILLS:
• Competency in Microsoft Office.
• Strong Proficiency in Microsoft Word, Excel and PowerPoint.
• Solid computer skills.
• An understanding of reporting requirements and an ability to formulate reports.
• Software installation and an understanding of basic software tools.
• Excellent communication skills - verbal and written,
• Personal presentation skills using PowerPoint and other presentation applications.
 
QUALIFICATION AND EXPERIENCE:
• Matric plus Diploma in Office Administration/ Business Studies
• +3 years relevant experience as a secretary to an executive
 
ADDITIONAL REQUIREMENTS (ADDED ADVANTAGES)
• Project Management skill will be an advantage
• Willingness to work late hours and weekends when necessary.
