PRIMARY OBJECTIVE(S) OF THE JOB
Handle the reception, switchboard and perform administrative functions
POSITION VALUES
This position professionally interacts with internal and external stakeholders in a professional and courteous manner whilst providing administrative tasks. The job incumbent has to manage the reception, stakeholders and switchboard with pride, dignity and demonstrate MDDA’s value statement of Ubuntu and must execute duties with efficiency, pride and dignity. The incumbent is the face of MDDA
KEY DUTIES AND RESPONSIBILITIES.
Stakeholder Management
- Service all stakeholders
- Receive all incoming and outgoing calls
- Take and relate messages from the switchboard
- Promptly answer and transfer calls to respective officials
- Handle and/or direct client queries and/or complaints
- Accurately record messages
Administration
- Service all departments within MDDA
- Assist with faxing, copying and scanning as directed
- Facilitate posting of goods and documents
- Record all courier documents
- Assist in providing and managing secretarial services office support
- Assist with office document management, knowledge and archival system for the office in line with the National Archives Act
- Receive all guests and direct them to the relevant office
- Manage logistics of MDDA guests

Grade 12. Receptionist/Secretarial/Administration Qualification an advantage
Minimum of 3 years as Reception or Switchboard experience
