Mayibuye Transport Corporation is a provincial public entity under the jurisdiction of the Department of Transport – Eastern Cape whose objective is to provide and maintain the highest possible standards in the provision of an effective, efficient and safe passenger transport service to the Eastern Cape communities on selected routes.
 
Applications from suitable candidates are hereby invited for the position of:
 
EXECUTIVE ASSISTANT TO THE CEO - : PATERSON GRADE C2
 
PURPOSE • To provide quality, effective and proactive personal, administrative and secretarial support to the Chief Executive Officer, Manage the CEOs diary and arrange meetings whilst acting as the Office of the CEO’s first point of contact from both inside and outside MTC.
 
KEY PERFOMANCE AREA
• Devise and maintain office systems, including data management and filing.
• Arrange travel, visas and accommodation and, occasionally, travel with the CEO to take notes or dictation at meetings or to provide general assistance during presentations.
• Ensuring that all appointments are made in an efficient manner.
• Assisting the CEO to organize time effectively; and
• Prepare travel itinerary for the CEO.
• Screen phone calls, enquiries and requests, and handle them when appropriate.
• Deal with incoming email, faxes and post, often corresponding on behalf of the CEO.
• Carry out background research on behalf of the CEO and present findings.
• Produce and/or compile documents, briefing papers, reports and presentations as requested by the CEO.
• Organize the CEO’s meetings and attending (when required) - ensuring that the CEO is well prepared for meetings.
• Constantly liaise with the Executive Manager in the Office of the CEO to ensure harmony in the support to the CEO.
• Liaise with the CEO’s clients, suppliers and other staff.
• Resolve basic queries and problems which fall within own scope of authority and discretion.
• Provide service as the first point of contact for the Office of the CEO.
 
JOB COMPETENCIES
• Knowledge of the corporation’s filing system.
• Possess exceptional organizing skills.
• Thorough knowledge of travel protocol (both locally and nationally.
• Exceptional minute-taking abilities.
• Excellent computer (MS Office) and Dictaphone skills.
• Thorough knowledge of Secretarial Practice.
• Advanced time and diary management skills and the ability to prioritise.
• Knowledge of the Corporation’s Administration and Travel Policies and practice.
• Thorough knowledge of MTC protocol, hierarchy and the corporations functional structure
(Who does what within MTC?)
• Exceptional mail and correspondence handling abilities.
• Operational desktop research abilities.
• Advanced knowledge of report writing and use of business language and protocol.
• Advance word-processing skills and the ability to use Microsoft Office (inclusive of Word, Excel, PowerPoint, etc.)
• Advanced knowledge of meeting procedures, protocol, taking of minutes and follow-up;.
• Good communication and active listening skills.
• Exceptional organizing skills;
• Willingness to travel with the CEO (when required

QUALIFICATIONS AND EXPERIENCE REQUIRED:
• Matric + Secretarial/ Office Administration qualification or equivalent
• A qualification in Public Relations an added advantage
• Excellent computer skills
• Two years’ experience as an Executive Secretary or Personal Assistant at senior level

DEPOT MANAGER - KOMANI DEPOT AND REESTON DEPOT: SALARY PACKAGE
BASED ON THE TOTAL COST TO COMPANY - JOB GRADE D2.
 
PURPOSE
• To oversee the operations and management of all personnel at depot level and ensure that depot operations run smoothly and contribute to the strategic intent of the company. This position provides leadership and direction to the Depot Operations. Responsibility includes Bus Transportation, Bus Maintenance, Bus Route Operations
 
KEY PERFOMANCE AREAS
 
Bus Operations
• Monitoring the smooth management and control of a depot
• Checking the depot and operational area daily to ensure that it is safe, clean and neat
• Evaluate driver behaviour and implement corrective measures where applicable
• Effecting regular checks of routes and roads
• Reviewing route reports on a daily basis and submit reports to Senior Manager for evaluation
• Collaborate with the Commercial Manager in determining casual fares and updating fare grids regularly
• Reviewing, updating and amendment of time schedules and rosters where required.
• Manage and monitor the functionality of Ticketing System and Fare Evasion systems
Outputs
• Adherence to Bus Service SLAs
• Updated Bus operations and Driver Schedules
 
Bus Maintenance
• Planning the servicing and preventative maintenance of vehicles Collaborate with Commercial Manager in reporting of adverse road conditions to the relevant local government department to reduce adverse exposure of the company’s vehicles.
Output
• Bus Maintenance schedule
 
Health and Safety
• Oversee Health and Safety Audits and provide recommendations to MTC management for improvements.
• Ensure that MTC buses adhere to the Road traffic regulations and passenger safety
Reviewing of vehicles to ensure that they are neat, clean and roadworthy

• Periodic Health and Safety Audits
• Vehicle Roadworthy reports
• Accident reports
 
Contracted Services and service development
• Promoting private hiring of vehicles during off peak periods and weekends to increase utilization and revenue
• Managing service level agreements with external service providers to ensure that services rendered are of the quality that meets company expectations

• Adhering to private hire revenue targets
• Adherence to private hire SLAs
 
Stakeholder Management
• Productive relationships with internal and external stakeholders.
• Establish and maintain effective working relationships with internal and external stakeholders to promote MTC’s image.

Reporting
• Provide concise reporting of statistics, deliverables and institutional programmes in the MTC’s Annual Report.

• Provide oversight to the development of reports/ policies/ procedures and guide the process through the alignment of these documents to the overall MTC’s Strategy.
• Ensure regular and periodic reports are prepared and submitted as and when required to provide progress updates and/or inform management decisions.

QUALIFICATIONS AND EXPERIENCE REQUIRED:
• NQF 7 (Bachelor’s Degree or Advanced Diploma) qualification Operations Management or Transportation Management.
• Minimum of 5-7 years’ experience in Operations or Transportation Management of which 4 years’ experience at management/supervisory level.
• Heavy Duty Motor Vehicle Drivers’ License
• Experience in management of large-scale transport operations which include contracted services
• Proficiency in Ms Office
• Knowledge of fare evasion and ticketing systems
• Knowledge of Labour Relations Legislation
• Highly developed communication skills, both written and oral with the ability to establish and maintain effective relationships with public officials, subordinates, peers and the general public.
• Extensive knowledge of transport operations, principles and practices.
• Knowledge of labour and employee relations techniques and procedures.
• The ability to confidently influence and persuade at all levels to achieve results.
• A strong service orientation, high energy levels and a strong sense of urgency.
