As our Junior Fleet Administrator, your core responsibilities will include, but are not limited to:

  • Vehicle Lifecycle Management: Assisting with the entire vehicle lifecycle, from acquisition and registration to disposal, ensuring all documentation is accurately maintained.
  • Maintenance Coordination: Scheduling and monitoring vehicle maintenance, repairs, and servicing to minimize downtime and ensure optimal vehicle performance and safety.

About the Role

Role Description

The Health and Safety Administrator plays a critical support role in ensuring the organisation maintains full compliance with the Occupational Health and Safety Act, Construction Regulations, and COID Act. What You'll Do

Key Responsibilities

  • Debtors Management: Maintain and reconcile debtor accounts, ensuring the accurate allocation of receipts and the resolution of account discrepancies.
  • Invoicing & Documentation: Prepare, process, and verify monthly invoices, statements, and credit notes; ensure proper record-keeping and document dissemination.
  • Collections & Arrear Control: Conduct structured follow-ups on overdue accounts, liaising with clients to ensure timeous payment and adherence to agreed credit terms.
  • Payment Processing: Review and post receipts, debit orders, and electronic transfers; ensure accuracy between client payments and system records**.**
  • Reconciliations: Perform monthly reconciliations of accounts between the general ledger, debtor’s ledger, and bank statements.
  • Reporting: Generate and analyse debtor age analysis reports; escalate long-outstanding accounts to management with corrective recommendations.
  • System Accuracy: Validate data integrity across ERP systems (e.g., IQ Retail, or Sage); identify and correct mismatches.
  • Customer Service: Respond professionally to client billing queries and account adjustments; ensure consistent and accurate communication.
  • Compliance & Controls: Adhere to internal control standards, financial policies, and relevant accounting regulations**.**
  • Process Improvement: Identify inefficiencies in debtor processes and propose enhancements for improved accuracy and turnaround time.

Working Conditions

  • Office-based, Monday to Friday.
  • May occasionally require extended hours during month-end or audit periods.
  • High-volume transactional environment requiring sustained attention to detail.

 

What You'll Bring to the Company

Minimum Requirements

Education:

  • Grade 12 (Matric) with Accounting essential.
  • National Diploma or Certificate in Accounting, Finance, or Bookkeeping (NQF Level 5–6) advantageous.

Experience:

  • Minimum 5 years’ experience in a full-function debtors or accounts receivable role.
  • At least 2 years in a senior or supervisory capacity, preferably within a fast-paced commercial or telecommunications environment.

Technical Skills

  • Strong proficiency in IQ Retail or Sage Evolution.
  • Advanced Excel skills (pivot tables, lookups, reconciliations).
  • Sound understanding of accounting principles and reconciliations.
