STORES OFFICER

Minimum Requirements: 
  • Grade 12. Post matric qualification in Accounting/Logistics 
  • Relevant Administrative experience – actively involved in the process – 1 year 
  • Code B Driving Licence 
  • Basic knowledge of system-based inventory management system. 
 
Key Responsibilities: 
  • Check the supplier documentation against physical items and verify quantity and specifications prior to acknowledging receipt or recording short delivery/ damages on the documentation 
  • Code stock received in accordance with control procedures and positions items in the appropriate location. 
  • Monitor stock levels against established safety stock levels, identify slow moving/ aged items and seek approval on changes to stack control guidelines. 
  • Conduct stock counting sequences, apply control procedures using specific coding/ labels to indicate counted stock and quantities. 
  • Receive and refer to approved transactional documentation to identify requirements, access specific items and check quantities prior to the issue. 
  • Collate and verify transactional documentation (requisitions, delivery notes, etc.) and forward for further processing and/or resolving of queries on pricing /discounts, etc. 
  • Prepare stock schedules detailing the quantity of stock on hand detailing reason for specific variances and the need for stock adjustments and forward for perusal, processing and approval. 
  • Update stock registers and control sheets, reflecting opening balances, movement and stock on hand. 
  • Update and maintain records and file transactional, instructional and procedural documentation in alpha-numeric sequence to facilitate retrieval.

BILLING OFFICER

Minimum Requirements: 
  • National Diploma in Financial Management/ Accounting (NQF 6) 
  • 2 years of experience in billing or accounts related role 
 
Key Responsibilities: 
  • Control and co-ordinate sequences associated with the verification and provision of information related to Revenue transactions in order to ensure reporting requirements and information explaining and detailing income sequences and trends are co-ordinated and disseminated to support planning and procedural evaluation process. 
  • Monitor revenue collection and receipt and process, referring to information detailed in supporting transactional documentation and resolve deviations from procedures. 
  • Attend to the consolidation of Debtors Accounts, extracting and submitting reports detailing amounts payable for approval prior to generating and forwarding Consumer Billing Statements. 
  • Prepare statistical reports depicting short to medium term cash flow trends inclusive of explanations to support specific deviations. 
  • Interact with the internal/external auditors and make available information, supporting documentation and proofs of approval guiding specific recordings, adjustments and allocation of Account receivable transactions. 
  • Control the key performance areas and critical outputs of personnel within the Section in order to ensure acceptable performance levels are sustained and adequate direction provided enabling the Section to accomplish laid down objectives. 
  • Provide guidance/ guidelines to personnel in accordance with municipal procedures. 
  • Implement remedial measures/ correctives action to align performance and output with agreed standards. 
  • Appraise performance levels, set objectives and measure accomplishment or establish reasons for non-compliance. 
  • Institute disciplinary action for serious non-conformance and provide details of serious breaches to terms and conditions of employment/ codes of conduct to the immediate superior for attention and execution of disciplinary procedure. 
  • Co-ordinate the recording and processing procedures of income transactions against services rendered. 
  • Balance cash receipts against entries recorded in receipt books and prepare the schedule categorising income received for according to services and prepare bank deposit notifications. 
  • Process and verify debtor transactions against system reports and summarise and, seek approval on adjustments to entries for specific accounts. 
  • Reconcile Debtor Accounts and proceed with the posting and balancing of ledger accounts. 
  • Capturing the direct deposits on the system. 
  • Generate Debtor Age Analysis reports and check the status of accounts with a view to referring arrear/ overdue accounts for further action. 
  • Generate reminder notifications for circulation to overdue debtors and/or communicate, calculate and establish payment terms and conditions with defaulters. 
  • Provide information on the status of payments and specific procedural applications in order to ensure accurate information is made available and Service Providers/ suppliers understand the Municipality’s financial and procurement procedures and policies. 
  • Attend to queries related to the calculation of settlement discounts and outstanding payments. 
  • Advise consumers in procedures in respect of payment and/ or request the completion of the necessary documentation to facilitate payments of accounts. 
  • Provide copies of transactional documentation and/or prepare and seek approval prior to forwarding response to correspondence pertaining to claims on outstanding amounts.

Key Responsibilities: 
  • Performing administrative duties, such as maintaining employee databases and sorting emails for the HR department. 
  • Maintaining proper records of employee attendance and leave to assist with payroll duties. 
  • Assisting the Senior Human Resources Management Officer in policy formulation, hiring and salary administration. 
  • Assisting with the shortlisting of candidates and scheduling job interviews 
  • Coordinating orientation and training sessions for new employees. 
  • Serving as a point of contact, providing smooth communication with employees and timely resolution to their queries. 
  • Managing and coordinating schedules for the HR department, including meetings and events. 
  • Ensuring compliance with employment and labour laws. 
  • The incumbent will render general clerical support service: Record, organize, store, capture and retrieve correspondence and data in terms of Disciplinary cases, Grievances, Dispute resolution, training provided and update registers. 
  • The incumbent will be dealing will Labour Relation cases, Disciplinary cases etc. 
  • Conducting skills audits, developing Workplace Skills Plans (WSPs) and Annual Training Reports (ATRs), and ensuring alignment with SETA requirements and quality assurance.

Minimum Requirements: 
  • Grade 12 Certificate. Post-matric qualification and experience in Financial Management and Accounting will be an added advantage 
  • At least 1-2 years of experience in an accounts-related role (debtor/creditor processing). 
 
Key Responsibilities: 
  • The processing and updating of transactional information with respect to specific Creditor Accounts in order to ensure transactions are accurately processed and verified and accounts reconciled to reflect the status of specific creditor accounts to facilitate payment decisions in accordance with agreed terms and deadlines. 
  • Source payment documentation is checked and verified against receipts/ delivery notes.
  • Query and resolve deviations with respect to quantity supplied and unit charges with internal departments/ personnel or supplier. 
  • Process entries and / or approved adjustments and post to specific ledger accounts. 
  • Reconcile general and statutory account balances against statements and generate reports detailing the status of creditor accounts for analysis purposes. 
  • Check compliance before payment can be captured. 
  • Perform monthly and weekly creditors reconciliations 
  • Ensuring that all payment batches are stored in electronic format 
  • Ensuring that all completed payment batches are timeously transferred to records management in its original format for safe storage 
  • Assisting the creditors officer to maintain the creditors ledger 
  • Perform other reasonable ad hoc functions inherent to the position of a creditors clerk

  • Perform any other duties within waste management section as may be delegated by the supervisor/ manager. 
  • Collect and remove waste from designated areas, including streets, public spaces, and buildings. 
  • Assist with the disposal of waste at landfills or transfer stations. 
  • Cleaning up spills and ensuring proper disposal of any discarded waste. 
  • Maintaining the cleanliness and organization of waste management facilities, including landfill sites, transfer stations, and other related areas. 
  • Clean and maintain equipment, including vehicles, tools, and machinery. 
  • Perform general upkeep of the facility and surrounding areas. 
  • Adhere to safety regulations and guidelines to ensure a safe working environment. 
  • Report any incidents, accidents, or safety concerns to the supervisor. 
  • Ensuring proper storage and care of cleaning tools and equipment.
