Committee Officer (X1) Permanent
Remuneration: R19,374.40 — R25,500.33

Job Purpose: To provide efficient and effective company secretarial service to the Board, its subcommittees and other Governance Structures of JCPZ and to ensure compliance with the governance and statutory requirements.

 
Minimum Requirements: • Diploma or relevant qualification in Administration or Secretarial. • 2 years' experience working with Boards and relevant Committees in an administration /secretariat role. • Computer literate - Advance proficiency in MS Word, Excel and Outlook. - Written and oral communication skills. • Driver's License.
 
Key Performance Areas: The Committee Officer will be responsible for the following: • Ensure that the Governance Structures meet in line with the JCPZ Corporate Governance Annual Plan at all times. • Co-ordinating and facilitating of Committee meetings, including timeous circulation of meeting packs and meeting agendas and all other logistics to ensure the smooth running of Committee meetings. • Where necessary the Committee Officer will conduct quality assurance ore information that is disseminated to venous Committees and liaise with the Author of the report or relevant Executive to ensure that the report responds to the resolutions taken by the Committee. 


​• Communicating with the Chairperson of the Committee and other Committee Members to establish items for inclusion on the agenda and the submission of reports and/or proposals in support of agenda items. • Recording minutes of meetings and ensuring their accuracy. Timeous distribution of minutes to Committee members. • Archiving of inter alia all Committee Minutes in line with good practice, JCPZ Records Management Policy and relevant legislation (Manually and Electronically). • Ensuring that confidential information is not disclosed to any third party. • Compiling Action Logs emanating from the meetings, circulation of same and follow up or liaise with management regarding the status thereof. • Liaising with Committee Members on all matters pertaining to the Committee. • Executing all related duties relevant to his/her role, • The Committee Officer may be required to work extra hours outside of normal working hours.



Knowledge & Skills: • Knowledge of King IV report on Corporate Governance for South Africa 2016. • Knowledge of Local Government and relevant legislations. • Applied knowledge of committee/meeting protocol. • Record keeping and file management skills. • High level of communication skills, written and spoken. • Excellent interpersonal skills. • Planning and organising skills. • Dealing with Senior Management and External Stakeholders. • Ability to work independently and in a team. • Ability to handle pressure. • Time Management. • Accuracy and attention to detail. • Equable temperament and professional demeanour.
