Personal/Executive Assistant to the CEO

Business Unit: Office of the CEO
Purpose of the job: To provide professional executive assistance to the Chief Executive Officer of the Gauteng Partnership Fund.
Core Responsibilities:
A. Ensure a professional image and relations with internal and external stakeholders
Ensure a professional image is projected to all internal and external stakeholders
Ensure all correspondence is professionally prepared and checked prior to submission
Professionally interact and communicate with all stakeholders at all levels
Distribute all action items appropriately
Ensure the office of the CEO remains effective in the absence of the CEO
Delegate the responsibilities of the executives as per the CEO instructions
B. Provide office management services to the CEO
Prepare correspondence, memos, presentations and status reports for the CEO
Receive external and internal documentation and execute accordingly
Proof read all documentation prior to submission
Summarise reports and documentation as required
Prioritise work load accordingly and monitor CEO priorities
Collation and capturing of data as required
Draft responses to letters, email requests and memos on behalf of the CEO
Maintain a dedicated register and filing system for all correspondence within the CEO’s office
Manage and coordinate the CEO’s diary
Arrange internal and external meetings and workshops for the office of the CEO
Prepare and request meeting agendas for all meetings with the CEO
Distribute all meeting documentation timeously
Provide and maintain detailed, accurate minutes of meetings
Schedule all CEO travel arrangements
Schedule and coordinate the implementation of performance agreements and assessments with all incumbents to the CEO
Provide personal administrative support to the CEO
Monitor and escalate all outstanding and pending submissions and responses to the CEO
Manage all office supply requirements for the CEO
Ensure strict confidentiality of all information within the CEO’s office
Develop relevant systems and controls for the efficient and effective management of the office of the CEO

Requirements:
Secretarial Diploma / Degree in Business Administration will be an added advantage
Valid driver's license
Minimum of 3 years’ experience as Executive Assistant/ PA to the CEO
Good organizational, administration and planning skills and ability to work effectively under pressure without immediate supervision
