ETQA Administrator (Monitoring & Evaluation)

Employment: Permanent: Employment Contract is limited to the licence duration of the SETA.

Purpose
To administer and monitor students / leaners progress on learning programmes in line with stipulated requirements of FoodBev Seta ETQA policies and procedures
Roles and Responsibilities:
Administration of External Moderations
Advises Training Providers to apply for moderation.
Captures Request for Moderator (RFM) from Training Providers for moderation (at different intervals) e.g. for induction, interval and exit moderation.
Ensures that system automatically generates emails to Moderators to gauge their availability.
Link RFM to the Request for Purchase (RFP) on system for management approval.
Ensures that system generates appointment letter and Purchase Order (PO).
Receives moderation reports, invoices and statements of account and captures GRV for goods received.
Submits to Supply Chain Management (SCM) department for processing of invoice.
Monitoring of Learner Progress
Monitors learner progress and advises companies to apply for extensions
Captures learner terminations
Ensures proof of training is received for all learner terminations
Advises coordinator and specialist regarding grant recovery
Conducts site visits and collate reports on all learning programmes.
Submits weekly termination and extension requests to the Grants Specialist to update the Commitment Register
Checks Commitment Register and inform companies that are not complying with agreements to either deliver on learning programmes or terminate projects
Administration
Provides adhoc administrative support as and when needed.
Ensures the database (MIS) is updated
Assists Auditors by supplying requested documentation for audit purposes Essential Requirements
Matric
A qualification in Administration (NQF 6) or equivalent
1-3 years’ experience in Administration within a Similar Environment
Experience in the public sector/ Institution
Knowledge of Skills Development Act
Knowledge of Skills Development Levies Act
Knowledge of SAQA and the National Qualifications Framework (Qualifications and Unit Standards)
Knowledge of the OFO Code Framework
Understanding of Record Management systems and archival best practices
A valid SA driver’s license (recommended)
