Introduction
The Engineering Council of South Africa (ECSA) is a statutory body charged with the mandate to regulate the engineering profession in accordance with the Engineering Profession Act 46 of 2000.
 
Position Summary: The Executive Assistant: Strategy and Growth has become available. The successful candidate will report to the Executive: Strategy and Growth and will be responsible for providing executive and administrative support to the Strategy and Growth Division.
 
Duties & Responsibilities
  • Act as a first point of contact dealing with correspondence and phone calls;
  • Manage and coordinate the diary of the Executive by prioritising and arranging internal and external meetings;
  • Plan and organise travel and accommodation when required;
  • Maintain effective filling and data storage including emails and retrieval systems ensuring the needs of the Executive  are met;
  • Provide full personal assistant support by dealing with all correspondence and calls, drafting routine letters to a high standard, minute meetings, taking messages and other administrative tasks as required to support the Executive;
  • Provide support for Council meetings by ensuring meetings are properly arranged and serviced. This will include drafting agendas, collating documents and reports, taking minutes and following up action points;
  • Support the Executive to keep the Council informed about the work of the organisation;
  • Service meetings of the Executive Team by drafting and collating papers and reports, preparing manageable agendas, taking minutes and following up on actions points;
  • Plan and manage Executive office-led organisational events such as Staff Meetings, Management Meetings and Executives Meetings and others as required;
  • Participate and contribute to organisational/team meetings as required;
  • Provide reports for the Executive as required;
  • Carry out all the duties with complete discretion and a high regard for confidentiality;
  • Ensure that work is carried out in accordance with ECSA’s values, policies and procedures;
  • Any other duties relevant to the needs of the organisation and as directed.
 
Desired Experience & Qualification
  • Minimum three (3) years Diploma in Office Administration / Management;
  • Ten (10) years experience in office management with five (5) years at an executive management/board/council support level;
  • Excellent communication skills;
  • Strong writing skills and presentation skills;
  • Excellent planning, organisational and interpersonal skills;
  • Ability to make sound decisions;
  • Advanced use of Microsoft Office suite.
