Introduction
A position has become available for a Facilities Officer to join our dynamic team.
Background:
The Engineering Council of South Africa (ECSA) is a statutory body charged with the mandate to regulate the engineering profession in accordance with the Engineering Profession Act 46 of 2000.
Position Summary:
The Facilities Officer has become available. This position is responsible for ensuring a conducive and safe environment for staff members whilst also maintaining adequate management of the organisation’s assets and operational support of facilities management services contracts. The successful candidate will report to the Manager: SCM and Facilities.
Duties & Responsibilities
- Ensure work environment is always clean and professional
- Ensure that the facilities are fully operational with all utilities functioning properly
- Perform daily inspections and identify and address issues to ensure a clean and safe work environment for staff members
- Ensure proper maintenance of the organisation’s assets (cars, properties, office appliances, equipment etc)
- Coordinate and schedule equipment and building repairs, installations, and maintenance work with vendors and appropriate in-house staff
- Manage unplanned maintenance, repair and recovery for the facilities as required within the shortest possible time
- Follow-up on timelines to ensure periodic services such as generator servicing etc
- Assist with and coordinate internal office and furniture moves
- Assist with special projects related to office facilities, including office construction and refurbishments and vendor biding processes
- Manage staff parking inside and outside the office premises as allowed by the Body Corporate
- Maintain and update electronic version of floor plan and seat arrangement
- Maintain and update fire safety policy as well as Health and Safety policies which are to be communicated to staff and new employees at all times
- Manage and ensure routine fumigation of offices
- Prepare weekly report of facility activities
- Ensure distribution/ management / purchase of office supplies or items
- Keep up-to-date database of the organisation’s contacts
- Manage an updated list of vendors, price negotiations and agreements
- Monitor and ensure that agreed work by staff or contactors are completed satisfactorily and follow up on any deficiencies
- Process vendor invoices
- Supervise facilities staff
- Assist with driving duties
- Perform other duties as assigned
Desired Experience & Qualification
- National Diploma/Bachelor’s degree in Facilities Management or related field
- Minimum of five (5) years’ experience with two (2) years in facilities management or building services
- A valid driver’s licence
- Computer Literacy: MS Office, and SAGE Evolution
- SAGE Evolution experience is desirable
- Attention to detail

- Innovative, proactive and ability to troubleshoot
- Strong customer service orientation
- Conflict management skills
- Project management skills
- Written and verbal communication skills, including report writing

Introduction
The Engineering Council of South Africa (ECSA) is a statutory body charged with the mandate to regulate the engineering profession in accordance with the Engineering Profession Act 46 of 2000.
Position Summary: The Project Coordinator: Research, Policy & Standards position has become available. The position will be responsible for coordinating assigned project-related activities which will include the development and management of key business projects and resources. The successful candidate will report to the Manager: Research, Policy and Standards.
Duties & Responsibilities
- Co-ordinate projects within the Regulatory Instruments Development Business Unit;
- Co-ordinate webinars, consultation sessions, workshops etc.;
- Compile consultation reports by both ECSA and project partners;
- Manage information on projects including operationalisation of related MoUs (dashboards, updates);
- Work closely with project partners and internal partners in coordination of projects (Stakeholder Management BU, Regulatory Functions etc.);
- Liaise with identified stakeholders and conducted gap analysis to inform capacity initiatives;
- Compile Project Plans for review and approval by the Manager;
- Keep track of project status for the Business Unit;
- Disseminate information between/among all the stakeholders as directed by the Manager;
- Ensure compliance with the requirements of the QMS;
Desired Experience & Qualification
- Minimum of NQF Level 7 qualification in Business/Public Administration or equivalent;
- Minimum 4 years previous work experience in an administrative role and at least 1-2 years in project management;
- Registration with Project Management Body is essential;
- Proficiency in Microsoft Projects and Office tools;
- In-depth knowledge of project management and development procedures;
- Excellent organisational and time-management skills;
- Outstanding communication, interpersonal and leadership skills;
- Attention to details;
- Proactive problem solver.
