Requirements

  • Grade 12;
  • National N Diploma in Supply Chain Management/ Logistics / Public Management;
  • 3 – 5 years’ experience in Supply Chain Management or related;

Duties

  • Rendering a bidding administration function for the College Bid Committees;
  • Provide secretariat services to the Bid Evaluation Committee and Bid Adjudication Committee (including obtaining approval);
  • Administer the procurement of goods and services through effective and efficient demand management services;
  • Ensure sourcing of quotations from accredited suppliers through college database;
  • Provide an effective contract management service to the college;
  • Develop contracts / Service Level Agreements (SLAs) in accordance with the stipulated conditions:
  • Administer logistical and disposal services;
  • Ensure the processing of requisitions for goods and services;
  • Ensure the provision of asset management services to the college;
  • Administer the College asset register;
  • Management of human and financial resources in the unit;
  • Supervise and guide staff, manage the development and performance of the staff, allocate and ensure quality work.

Duties and Responsibilities

  • Capturing students onto the QCTO portal;
  • Capturing student’s marks and attendance registers on ITS version 4.1.;
  • Assisting with issuing results, certificates and diplomas to learners;
  • Resetting login pins for students to access results, progress reports, financial statements and proof of registration via the student portal;
  • Managing online registration, ensuring all documents are uploaded and filed;
  • Distributing permits for final examinations;
  • Transferring term marks into mark sheets for NCV final examinations;
  • Printing proof of registrations for student signatures during registration;
  • Scanning student registration documents and forwarding them to Head Office;
  • Printing class lists and registers for all departments;
  • Verifying NCV final examination marks at the marking centre;
  • Printing results and academic records for students;
  • Capturing attendance records for all registered students;
  • Ensuring students are allocated to the correct class groups;
  • Managing student admissions and registrations;
  • Capturing and updating student records and data;
  • Handling correspondence, emails and telephone enquiries;
  • Assisting with examination administration and invigilation schedules;
