COMPANY SECRETARY ADMINSITRATOR (TG 7) SIX MONTHS FIXED-TERM CONTRACT
MONTHLY SALARY: MIN R15 213.33 MAX R25 972.00

The organisation is calling for suitable candidates to apply for the position of Company Secretary Administrator. The incumbent will be required to provide administrative support to the Company Secretary by facilitating administrative processes and controls to ensure the effective and expedient workings of the Board and other related functions. The incumbent will report directly to the Company Secretary
QUALIFICATIONS, EXPERIENCE & COMPETENCIES
Minimum Qualifications
Grade 12
Office Management/Business Administration/ or related field of study
Experience and knowledge required
Minimum of 2-3 years’ experience in a similar role/environment
Good understanding of office procedures.
Experience with office management systems.
Good administration skills
Good communication skills (via phone, email and in-person).
Good writing skills
Experience in exercising discretion and confidentiality with sensitive company information.
An understanding of governance and legal requirements and/or procedures.
Interpretations and applying statutory and regulatory requirements will be an advantage.
Technical Competencies
Proficiency in MS Office (MS Word, Ms Excel, MS Excel and MS Outlook)
Experience with Adobe Pro
Experience with the JD Edwards system would be an added advantage
Time management skills
Good listening and communication skills
Good verbal and written communications skills
Good Interpersonal skills
An overall good command for the English language

KEY PERFORMANCE / MAIN ACTIVITIES OF THIS ROLE
Point of contact between the various Departments and the Company Secretary.
Compilation of hard and soft copy Board and Committee Meeting packs
Attending to logistical requirements of Board and Committee Meetings
Assisting with tracking of the Office’s Budgets on a monthly and quarterly basis
Assisting with quarterly and monthly reporting required from the Company Secretary
Attend to Board member attendance reports
Attend to Board Member Training schedules, obtaining of quotes and compilation of training packs as well as co-ordination of all training logistical requirements
Maintaining of Board and Committee Resolution Registers
Assisting Company Secretary will all aspects relating to Board Member Induction
Book meeting venues
Recording of minutes
Sourcing of office supplies
Communicate Board travel requirements to the Executive Assistant of the CEO
Processing of purchase orders
Ensure timeous payment of supplier and board member invoices
Produce reports, presentations, research and briefs
Devise and maintain the office filing system
Attending to all other company secretarial admin
