​DEPARTMENT: CORPORATE SERVICES

 
 
1 X SENIOR MANAGER TO THE SPEAKER (HEAD OFFICE) (POSITION IS LINKED TO THE TERM OF THE CURRENT SPEAKER) CORP/HO/00S/001 
 
REQUIREMENTS AND COMPETENCIES: Grade 12 PLUS B Degree (NQF Level 07) in Local Government Administration/Organisational Communication/Management with strong Administrative and Performance Management with at least 5 years’ experience at Management level preferably in a local government environment. 
 
RESPONSIBILITIES: Manage and deal with all administrative correspondence in the office of the Speaker. Ensure that all queries in the office of the Speaker are attended to. Follow up on all instructions given by the Speaker to obtain responses. Ensure that all correspondences (internally and Externally) are attended to. Scrutinise letters and memorandums in relation to adequacy and compliance. Advise the Speaker on key strategic matters in the office of the Speaker. Deal with any other matter delegated by the Speaker. Prepare reports and memorandums in the office of the Speaker. Coordinate and attend meetings with the Speaker. Follow-up on the implementation of Council resolutions and other related matters. Ensure effective functioning of the Speaker’s office. 
 
SALARY SCALE: R974, 405.00– R1,264,866.20 per annum (TASK GRADE 17) 
 
 
 
 
 
 
1 X PERSONAL ASSISTANT TO THE SPEAKER (POSITION IS LINKED TO THE TERM OF THE CURRENT SPEAKER) REF: CORP/HO/OOS/003 
 
REQUIREMENTS & COMPETENCIES: Grade 12 PLUS National Diploma (NQF Level 06) in Office Administration or equivalent qualification, plus 3-4 years’ experience in a related field. Computer literacy in Ms Office. Knowledge of governance administrative processes and activities. A team player capable of handling a wide variety of tasks. Financial Management skills. Hands-on corporate governance experience. Willingness to work extra-ordinary hours. Good communication skills (both written and verbal. Ability to prepare speech and good negotiation skills. 
 
RESPONSIBILITIES: Update and advise the Speaker with the current issues affecting Local governance. Assist in preparing the Speakers speeches. Responsible for accounts and Budgets. Arranging travel and accommodation and, occasionally, travelling with the Speaker to take notes during meetings or to provide general assistance during presentations. Producing documents, briefing papers, reports and presentations. Devising and maintaining office systems, including data management, filing etc. Screening telephone calls, enquiries and requests, and handling them when appropriate. Organising and maintaining diaries and making appointments. 
 
SALARY SCALE: R 715,886.16 - R 929,248.19 per annum (TASK GRADE 15) 
 
 
 
 
 
1 X PERSONAL ASSISTANT TO THE CHIEF WHIP) (POSITION IS LINKED TO THE TERM OF THE CURRENT CHIEF WHIP) CORP/HO/OCW/001 
 
REQUIREMENTS AND COMPETENCIES: Grade 12 PLUS National Diploma (NQF Level 06) in Office Administration or equivalent qualification, plus 3-4 years’ experience in a related field. Computer literacy in Ms Office. Knowledge of governance administrative processes and activities. A team player capable of handling a wide variety of tasks. Financial Management skills. Hands-on corporate governance experience. Willingness to work extra-ordinary hours. Good communication skills both written and verbally. Ability to prepare speech and good negotiation skills. 
 
RESPONSIBILITIES: Maintain and manage the diary of the Chief Whip. Manage the support staff in the Office of the Chief Whip. Ensure that world class executive secretarial support is provided to the Chief Whip, thereby enabling excellence and leading the municipality to greater heights of leadership excellence, service delivery and development. Assist the Chief Whip in institutionalising partnership arrangements with relevant government, business, civil society and academic and research agencies. Liaison with appropriate offices and stakeholders in respect of governance matters, as per the Municipality’s policy objectives and imperatives of the city’s governing structures. Assist the Chief Whip in institutionalising administrative oversight strategies and mechanism as well as implementation thereof. Sound internal and external relations 
 
SALARY SCALE: R 715,886.16 - R 929,248.19 per annum (TASK GRADE 15) 
 
 
 
 
 
 
1 X ADMIN ASSISTANT TO THE CHIEF WHIP (HEAD OFFICE) (POSITION IS LINKED 
TO THE TERM OF THE CURRENT CHIEF WHIP) CORP/HO/OCW/003 
 
REQUIREMENTS & COMPETENCIES: Grade 12 PLUS National Diploma (NQF Level 06) in Office Administration or equivalent with at least 2 years administration experience, Computer literacy in Ms Office, Good communication and interpersonal skills. Strong sense of responsibility, preciseness and accuracy. Work well and stay focused under pressure. 
 
RESPONSIBILITIES: Handle all reception responsibilities that may include receiving visitors, answering telephone and taking messages. Receive and distribute correspondence. Manage telephone and diary of the Chief Whip. Arrange appointments, meetings and functions as required for the Chief Whip. Keep minutes of meetings. Maintain Budget and account records by obtaining quotations. Coordinate enquiries and correspondence that require input from more than one section. Facilitate all other admin duties that may arise from time to time.
 
SALARY SCALE: R414,904.06 - 538,554.51 per annum (TASK GRADE 11)

1 x ADMIN ASSISTANT: MMC- STRATEGIC MANAGEMENT SERVICES. (POSITION 
IS LINKED TO THE TERM OF THE CURRENT MMC) STR/HO/MS/012 
 
REQUIREMENTS & COMPETENCIES: Grade 12 plus National Diploma (NQF level 06) in Office Administration or Secretarial with at least 2 years relevant experience. Computer literacy in Ms Office. Good communication and interpersonal skills. Strong sense of responsibility, preciseness and accuracy. Work well and stay focused under pressure. 
 
RESPONSIBILITIES: Handle all reception responsibilities that may include receiving visitors, answering telephone and taking messages. Receive and distribute correspondence. Manage telephone and diary of the MMC. Arrange appointments, meetings and functions as required for the MMC. Keep minutes of meetings. Maintain Budget and account records by obtaining quotations.
