PARALEGAL SECRETARY
PERMANENT POSITION

1. DEPARTMENT: Group Legal and Contracts
BRANCH: Office of the Group Head
DESIGNATION: Paralegal Secretary
REMUNERATION: R417 426.17 (Annual Package)
LOCATION: 158 Civic Boulevard, Metro Centre Braamfontein.
MINIMUM REQUIREMENTS
• National Diploma in Public Management and Administration or related field National Diploma at NQF Level 6
• Code 08 Driving License
• 2 - 3 years’ operating at a secretarial and Administrative Level with a Government or Private Sector environment.
• The Position requires Office Administration and Documentation Management.
PRIMARY FUNCTIION: To Provide information, administrative, logistical and facilitation support services to the office of the Head Group : Group Legal and Contracts for effective and efficient management of delivery of the Departments service to clients, while acting as a formal channel of communication between Office of Group Head : Group Legal and Contracts and those of Municipal courts , Office of the City Manager , Executive Mayor, The MMC’S, Municipal owned entities and other Departments and Organization’s.
KEY PERFOMANNCE AREAS:
• Provide executive administration support and related duties for the Group Head. Render effective Litigation Management to all critical Stakeholders in the Office of Group Head: Group Legal and Contracts.
• Manage all meetings and related Logistics for the Group Head: Group Legal and Contracts.
• Maintaining the correspondences, Information and record keeping system and access records of discussion, instructions and correspondence for the Group Head: Group Legal and Contracts.
LEADING COMPETEMCIES:
• Knowledge of Government environment, Legislation as well as Knowledge Standard Operational Procedures and Protocols.
• Knowledge of Document Handling and quality inspection.
CORE COMPETENCIES:
• Good administration skills with attention to detail
• High Level interpersonal skills including good communication (verbal, written and reporting) skills
• Problem solving skills
• Good planning and organizing skills
• Excellent Litigation management skills and ability to manage documents and files

MINIMUM REQUIREMENTS
• Matric/ Grade 12 plus
• Degree in Public Administration, Business Administration, Business Management or Equivalent NQF Level 7 Qualifications
• 5 - 7 Years in experience in Secretarial, Administration and Office Management environment.
• Must have a valid driver’s license.
PRIMARY FUNCTIION: To Provide Management support to the business performance directorate at both operational and strategic levels within the department of Group Legal and Contracts. To assist the Directorate in delivering its mandate effectively by Providing high level administration, Analytical and human resource support. To enhance the Performance of the Department and its resource by implementing Policies, Procedures and decisions within a specific timeframe. Exercising initiative and independent judgement in managing the Directors schedule including arranging meetings, handling information and daily Office activities. The incumbent has recurring contact with senior administrators as well as public and private officials. As result this position, is private and confidential Information.
KEY PERFOMANNCE AREAS:
• Manage and control the key Performance Indicators and outcomes of Personnel within the Department. Human Capital Management.
• Provide Executive administrative and Management support.
• Undertake the provision of specific administration services and duties associated with the department to ensure that internal and external stakeholders receive effective and efficient services.
• Ensure sound relations and communications with both internal and external.
• Manage and Monitor assets and resources own directorate and the department as a whole. Control, Consolidate and Analyse all relevant information and provide Quality reports on the functions and Performance of the Directorate which are factual and accurate and complete, timely and contributes to support overall requirements of the Department.
• To comply with all relevant Legislative frameworks including the City’s Code of Ethics manage and mitigate risk effectively.
LEADING COMPETEMCIES:
• Require Knowledge of City’s Policies, Procedures and Operations regarding the Provisions of Services in the area of authority and responsibility.
• Strong understanding of Human Resource Policies and administration Process.
• Strong Analytical abilities.
• Effective communication both verbal and written.

• Client Service: Ability to work with clients professionally from multiple industries and background, providing excellent service support.
• Self-starter and Team Player: Ability to solve problems and tackle assignments independently but also work across multiple teams to accomplish goals.
