HUMAN RESOURCES ADMINISTRATOR
REPORTING THuman Resources Manager
PURPOSE OF THE JOB:
The Human Resources Administrator is responsible for providing effective administrative and operational support to the Human Resources department in relation to recruitment, employee records, payroll administration, employee relations, onboarding, training coordination, and HR compliance. The role ensures accurate HR documentation, efficient processing of employee information, and the smooth implementation of HR policies, procedures, and systems to support overall business operations.
KEY PERFORMANCE AREAS:
RECRUITMENT
- Support recruitment: screening CVs, scheduling interviews and conducting references.
- Prepare offer letters and contracts of employment in accordance with instructions and approvals provided by the Human Resources Manager.
- Prepare employment contracts, offer letters, and new employee documentation in accordance with company policies and Human Resources requirements.
- Verify completeness of new starter documentation.
EMPLOYMENT EQUITY
- Assist with Employment Equity (EE) tracking, committee coordination, and reporting (EEA2, EEA 4).
PAYROLL
- Ensure proper file management and timely submission of payroll to the Human Resources Manager for approval.
- Respond to employee queries related to payroll.
TIME AND ATTENDANCE
- Monitor and administer employee time and attendance records.
- Ensure accurate capturing of clocking, attendance, overtime, absenteeism, and leave information.
- Ensure compliance with company attendance policies and working hour regulations.
- Investigate and resolve time and attendance discrepancies and queries and escalate to Human Resources Manager and IT Executive Manager.
- Escalate attendance-related matters to line manager and Human Resources Manager.
- Support payroll processing by ensuring all time and attendance information is accurate and up to date.
LEAVE ADMINISTRATION
- Manage leave applications on the SAGE ESS system.
- Review, approve, reject, or escalate leave requests in accordance with company policy.
- Communicate with employees and managers regarding leave balances, approvals, and queries.
DISCIPLINARY & INDUSTRIAL RELATIONS (IR)
- Coordinate and arrange disciplinary hearings, including liaising with external chairpersons, in accordance with the Human Resources Manager’s approval and instructions.
- Assist Human Resources Manager with compiling case files.
ONBOARDING & OFFBOARDING
- Assist with the onboarding and offboarding processes.
- Process terminations, including UIF, provident fund withdrawals, and final documentation.
- Coordinate employee onboarding and induction processes.
TRAINING AND DEVELOPMENT ADMINISTRATION
- Coordinate training sessions, workshops, and employee development programmes.
- Maintain training records and certificates.
- Assist with skills development and training reporting requirements.
- Draft and manage employee training agreements based on approved training requests.
HEALTH AND SAFETY
- Assist with submissions of IOD claims and IOD reports.
- Promote and maintain a safe working environment for employees and visitors.
- Participate in health and safety meetings, training, and awareness programmes.
MANAGEMENT SUPPORT
- Serve as the HR champion by promoting HR initiatives, policies, procedures, and best practices across the organisation.
- Ensure HR operations and administrative processes are conducted in compliance with legislation and company policies.
- Assist with HR audits, compliance checks, and reporting.
GENERAL ADMINISTRATION
- Respond to employee HR-related queries professionally and timeously.
- Draft confirmation of employment letters.
- Manage maternity and paternity leave documentation.
- Maintain and update employee records and personnel files (digital and physical).
- Full administrative support across all HR functions.
- Process provident fund withdrawals and liaise with service providers.
- Record and process disciplinary and IR-related documentation.
- Maintain organised, accurate, and confidential HR filing systems and employee records in accordance with company policies and data protection requirements.
- Support compliance with audits, labour inspections, and statutory reporting.

REQUIREMENTS:
- Matric + Diploma or Degree in Human Resources or related field
- 2–3 years’ experience in similar HR role within Logistics Industry/ Freight/Courier/ Transport or any other industry
- Strong payroll admin background, including Sage VIP
- Proficient in Microsoft Office
- Driver’s license
- Knowledge of BCEA, LRA, EEA, NBCRLI Main Agreement
- Clear credit and criminal record

IT SUPPORT TECHNICIAN
REPORTING TO IT Executive Manager
PURPOSE OF THE JOB:
The IT Support Technician will support the company’s IT infrastructure, ensuring systems availability and reliability, provide End-User support, administer mobile devices, perform software and hardware installations, administer the Office 365 platform, provide field support and manage the company’s assets
KEY PERFORMANCE AREAS:
IT Infrastructure Support
- Monitor the IT infrastructure and promptly respond to system alerts
- Ensure backups have completed successfully and resolve failed backups
- Schedule and perform hardware and software maintenance
- Configure, administer and maintain the company’s network including all branches
- Configure, administer and maintain servers according to best practices
- Schedule and perform backup restore tests
- Schedule and perform disaster recovery tests
- Ensure all incidents are logged and communicated to the business
- Complete the Root Cause Analysis report in the case of systems failures
Systems Administration
- Administer the Office 365 platform which includes managing mailboxes, configuring email policies, reviewing quarantined emails, and reviewing and implanting configuration implementations.
- Monitor the EDR (Endpoint Detection and Response) dashboard and respond to risks reported by the system
- Monitor the server replication system and ensure replication failures and delays are resolved
- Administer and support mobile devices used by drivers
- Administer and provide support for applications used within the organization
End-User Support
- Provide support to users through the ticket logging system
- Ensure support requests are resolved within SLA
- Provide training to users whenever required
- Perform hardware instalments and replacements on workstations and notebooks where necessary
Documentation
- Document software installation procedures to ensure they are standardized
- Maintain all documents used by the IT department and ensure they are up to date
Change Management
- Ensure all changes are logged and approved prior to implementation
- Schedule CAB (Change Approval Board) meetings
- Monitor logged changes and ensure they are closed
Software License Management
- Maintain an inventory of all software licenses used within the organization
- Ensure license renewal dates are tracked to ensure proper planning for renewals
- Ensure unused licenses are revoked where applicable
Asset Management
- Ensure all new assets are recorded on the asset register
- Ensure all changes are updated on the asset register
- Ensure usable idling assets are kept safe
- Dispose redundant assets according to the procedures defined

REQUIREMENTS:
QUALIFICATIONS & EXPERIENCE
- 1–2 years’ work experience
- Diploma in Information Technology
- Windows Server Hybrid Administrator Associate or related Microsoft certification will be advantageous
- A driver’s license is essential
- Clear credit and criminal record
