Requirement Overview
The role is responsible for the planning, coordination, implementation and reporting of learning. The coordinator will manage the relationship with internal and external stakeholders, AGSA learning professionals’ team and any other defined stakeholders. The coordinator will also be responsible for the end-to-end administration and coordination of the e-Library.
Roles & Responsibilities
Strategic Function
• Scan and back-scan of all AGSA audit reports and heritage resources for posterity
• Storing the scanned reports on the resource centre server
• Assist with the development of procedures for the receipt and circulation of AGSA reports and document delivery to ensure resources are accessible to users and stakeholders
• Provide copies of AGSA reports on request (hard copies and electronic copies)
• Assist in providing current awareness service of Library resources (journal articles)
• Ensure adherence to copyright legislation
• Act as an induction and onboarding programme coordinator
• Act as Three-year organisation learning plan coordinator
• Provide Leadership Development Academy programme coordination and administration
• Provide LinkedIn learning and learner management system administration
• Conduct centralised learning programmes coordination and administration
• Coordinate learning and leadership development events
• Coordinate learning and leadership development programme surveys
• Manage Centre email address and calendar including the learning and leadership development centre newsletter
• Receive copies of all AGSA reports from other AGSA sources and add to electronic database
• Shelve library items according to accepted library standards and procedures
• Update and amend loose leaf volumes periodically
• Book and schedule induction and onboarding programmes, book and coordinate resources for pre-induction, organisation induction and onboarding programme
• Manage the internal learner management system and LinkedIn learning management system including monthly management of user licenses and technical aspects of the system
• Coordinate all monthly learning programmes for the centre, inviting targeted delegates to virtual, classroom-based or hybrid training as per the scope of the programme
• Monitor and report on the attendance of training plan interventions
• Capture, consolidate and report on learning interventions
• Coordinate learning and development events
• Send out evaluations of learning impact at the end of every learning intervention
• Respond to all emails sent to the learning and leadership development centre email address
• Administrate and coordinate all e-library services
• Administrate legal deposit act for AGSA – collection and distribution of AGSA published reports to all legal deposit libraries in compliance with the act
• Manage and maintain the eLibrary platform and catalogue
• Create site pages and convert old/ paper library forms to electronic forms
• Upload and update eLibrary information content
• Manage the eLibrary employee termination process
• Orient and build awareness of eLibrary information resources
• Assist in the arrangement of webinars and podcasts
• Assist with eLibrary ICT functions
• Assist in compiling eLibrary reports
• Contribute to articles on eLibrary platform
Stakeholder Management
• Assist with professional and personal service to all AGSA personnel in answering enquiries, locating information, and other basic library duties
• Source facilitators for internal and external learning interventions
• Send out monthly email reminders to delegates line managers advising them of training programmes planned for the month
• Send out monthly calendar invites to delegates for learning and leadership development programmes
• Share calendar of learning and leadership development programmes with centre Senior Manager and Learning Partners and signoff on learning interventions that we will be presented by the centre
• Assist leadership with registrations and navigation of eNewspapers portals including access (e.g., news24 and arena holdings)
• Source learning material from internal and external facilitators of the training interventions
People Management
• Manage own development and performance as per the generic competency plan, training plan and individual performance contract
• Comply with the necessary training regulations, applicable policies and other training initiatives
• Participate in the BUs transformation, culture, diversity and employment equity initiatives
Financial Management
• Ensure compliance with AGSA policies and procedures
• Ensure compliance with internal processes and procedures
• Manage supply chain processes within scope of work
• Assist in providing information on payments to suppliers and service providers

Skills, Experience & Education

JOB PURPOSE
The purpose of this role is to oversee the end-to-end account’s payable function, ensuring timely and accurate processing of supplier invoices, payments, and compliance with internal controls and public sector financial regulations. This include providing support and managing all the payment processes of the AGSA, both internal payments (payroll expenses) and external payments (creditors, statutory etc.).

- Oversee the AGSA wide accounts payable function
- Participate in the implementation of the BSC initiatives within the BU
- Manage the full accounts payable cycle, including invoice verification, payment processing, and vendor reconciliations
- Ensure all Accounts Payable reconciliations are performed monthly, and discrepancies are resolved
- Ensure compliance to accounts payable internal controls, company policies and, regulatory requirements
- Review and approve payment batches, ensuring proper authorization and documentation
- Support month-end and year-end close processes, including accruals and audit schedules
- Drive process improvements, automation initiatives, and internal control enhancements
- Ensure timely submission of regulatory and financial reporting requirements related to payable accounts
- Monitor and maintain SAP accounts payable modules, ensuring data accuracy and system integrity
- Liaise with suppliers and internal departments to resolve payment queries and disputes
- Prepare accounts payable reports for internal stakeholders and external auditors
- Regularly update the SM and Leadership within the portfolio on the financial status updates on

Requirement Overview
The purpose of the role is to support the governance committees and their subcommittees fulfil their statutory duties and obligations as per corporate governance requirements as specified by the Public Audit Act (PAA) and corporate governance principles (eg King IV requirements). This role plays an advisory function with regards to governance structures and mechanisms as well as compliance with regulatory requirements.
Roles & Responsibilities
Strategic Function
- Contribute to the management of IT projects in the AGSA’s operating environment through governance support.
- Contribute to the formulation, implementation and monitoring of the GVCS Unit Balance Score Card.
- Revise the organisation delegation of authority (management approval framework).
- Contribute to the drafting of all organisational reports, including the internal quarterly reports and the integrated annual report.
- Review of remuneration of external committee members.
- Oversee AGSA governance structures.
- Ensure defined governance and secretariat processes are in line with best practice in the field and meet all legislative and regulatory requirements.
- Provide secretariat support for all governance structures outlined in the governance framework including additional strategic steering committees i.e. drafting of terms of reference and related governance documents and ensure approval by DAG.
- Ensure the execution and compliance to governance structures and processes.
- Contribute to the formulation and implementation AGSA governance framework in line with the PAA and the constitution.
- Draft governance articles to be distributed to the organisation.
- Develop and review the draft corporate calendar for approval by Exco.
- Develop a membership profile and procedure for the recruitment and appointment of members in line with current governance practice.
- Develop and review the effectiveness of the terms of reference of the relevant committees.
- Prepare the work plan and process-taking cognisance of various statutory timelines and deadlines, in conjunction with the chairpersons of the structures.
- Identify training requirements for committee members and to ensure that there is ongoing training to capacitate them.
- Keep abreast and monitor legislative developments, corporate governance standards and best practises and advise committee on the developments.
- Ensure that the newly appointed committee members are inducted in line with their duties and responsibilities and are provided with an information pack relating to the committees appointed to serve in.
- Ensure that members receive/ attend continuous development workshop at least annually.
- Ensure that chairperson, members and the committee as a whole is evaluated annually on their performance in order to ensure that the committee has discharged its duties as delegated by the DAG.

- Draft/ Review agenda and circulate to all impacted SME’s for inputs.
