Purpose of the Job: The Officer: Asset Management is responsible for the implementation of all asset management cycle and activities within the RAF.

 

Key Performance Areas

 

Provide Administrative Facilities Support

  • Liaise with maintenance regarding repair required.
  • Conduct building inspections as per schedule.
  • Ensure that the board room bookings for meetings and functions are allocated as per the requests and that the setup is in line with the required standard.
  • Ensure all offices are fully furnished and equipped in line with the approved set guidelines.
  • Attend to task, calls and monitor completion.
  • Maintain hygiene levels to the required standards.
  • Administer and ensure that service providers adhere to service level agreements and contracts, schedules and inspection sheets completed.
  • Coordinate the ordering of specified items and monitor the receipt thereof.

 

Provide space and Parking Management

  • Coordinate parking requests and escalate the Senior officer.
  • Administer and reconcile parking with the number of parking bays and head count and contract.
  • Audit the allocated parking and ensure compliance.
  • Conduct office churning and provide advice and support.

 

Accounts payment on SAP

  • Consolidate and quality assure all invoices for the payment of rent and other FM related services.
  • Follow up with landlords / managing agents on outstanding invoices before month end.
  • Compare all invoices with the amounts agreed in contract.
  • Submit all the invoices and payment to the Senior Officer for authorization and verification.
  • Create SAP requisitions and follow up on the release thereof.

 

Reporting

  • Provide monthly report for all activities in the Facilities services section.
  • Provide updates of requisitions created and the status thereof to the Senior Officer.
  • Report on identified concerns noted during the walkabouts e.g. (OHS, electrical, non-electrical, plumbing etc).

  

Qualifications

  • Bachelor’s Degree/ Advanced Diploma in Facilities Management related qualification.
  • Drivers License.

 

Experience

  • Relevant 3 years’ experience in Facilities Management environment.
  • Experience in SAP will be added as an advantage.

Purpose of the Job: Reporting to the Senior Manager: Platforms Engineering, the successful incumbent is accountable to plan, coordinate, and supervise all activities related to the design, development, and implementation of organisational information systems and software applications. The incumbent is also accountable to ensure that new applications or systems are developed or enhanced by enforcing agreed upon standards of software development, documentation on new systems. Ensure that RAF systems are on the latest technology.

 

Key Performance Areas

 

Application Development

  • Manage the entire software development lifecycle (requirements gathering, designing the solution, implementing, testing and deployment) for new applications, enhancements to existing applications.
  • Manage development, design, and implementation of new applications and changes to existing computer systems and software packages.
  • Coordinate feasibility studies for software and system products under consideration for purchase, and give advice based on findings.
  • Ensure that any new software integration into company systems meets functional requirements, system compliance, and interface specifications.
  • Manage development, design, and implementation of new applications and changes to existing computer systems and software packages.
  • Manage development, review, and certification of all backup and disaster recovery procedures and plans.
  • Manage development of a plan to implement key initiatives (application systems) and obtain sign-off from the Head.
  • Define, plan and manage releases of technology updates.
  • Ensure that technology is correctly licensed.

  

Policy Review and Implementation

  • Contribute to the development and implementation of departmental policy, standards & procedures and processes.
  • Keep up to date with effective policy and practice execution strategies.

 

Reporting

  • Prepare and submit regulation reports as required to provide progress updates and inform management decisions.
  • Develop reports or policies or standards and procedures and guide the process through the alignment of the documents to the overall RAF’s Strategy.
  • Develop functional reporting systems for management, projects, or performance reporting.

 

Stakeholder Management

  • Facilitate and manage communication with relevant internal and external stakeholders in relation and proactively and progressively manage the relationships.
  • Communicate with all levels of stakeholder contact.

 

People Management

  • Ensure the sourcing, development and retention of a high-performance team.
  • Manage staff in the department to ensure that they achieve their objectives in line with the strategic objectives of the RAF.
  • Manage the implementation of people managment processes and procedures to control or regulate workplace conflict and/or institute corrective measures and consultation processes to address deviations from standards.
  • Allocate, direct, motivate and evaluate subordinates to help them achieve their individual goals.

 

Qualifications and Experience

  • Bachelor’s Degree/ Advanced Diploma in Information Technology or Computer Science related qualification. 
  • Postgraduate in Information Technology or Computer Science related qualification will be an added advantage.
  • Relevant 6 - 8 years’ experience in Information Technology or software development or a programming design and systems management related environment of which 2 years must have been on a management or supervisory level.
