KEY RESPONSIBILITIES
Provide administrative support the Office of the Deputy City Manager: Community Services;
Manage and coordinate the Deputy City Manager’s diary;
Administer and monitor financial processes;
Ensure that relevant policies and standard operating procedures (or advertisements) are up to date;
Build, support and maintain healthy, diverse internal and external relationships to ensure the achievement of organisational goals implement remedial actions where required;
Monitoring and reporting on departmental adherence to timeframes and quality levels prescribed for performance contracting and periodic (quarterly/ bi annual) performance appraisal;
Prepare letters, reports, memoranda, presentation and other relevant documentation.

Proficiency in ICDL will be advantageous;

A valid Code B driver’s licence will be advantageous;

COMPETENCY REQUIREMENTS
Good communication skills
Knowledge of traffic contravention management system;
Attention to detail.
KEY RESPONSIBILITIES
Capturing section 341 and Section 56 notices as per documentation received from Traffic Officers;
Co-ordinate and control the administrative data processing, notification and reporting requirements related to road traffic control;
Capturing daily timesheets and overtime for officers;
Perform public relations and administrative activities related to summons, notices and representations issued, to ensure an effective and efficient service to the public;
Printing of computer-generated reports of upcoming court cases
Compile court rolls and relevant documentation and send documents to court.

Distribute memoranda and notices;
Arrange meetings as requested, book venues and inform all stakeholders accordingly (Amakhosi, governmental departments, parastatals, businesses and NGO’s etc);
Prepare the draft agenda, compile and distribute minutes of all meetings;
Ensure resolutions for the unit are attended to;
Assist the Chief Administrative Officer in coordinating the asset management system;
Provide general administrative support to the unit.

KEY RESPONSIBILITIES
· Assist in compiling information for submission of monthly returns and reports to National Treasury;
· Preparation and processing of journals;
· Preparation, receipt and processing of budget transfers;
· Providing support in the preparation of information required for audits;
· Processing shopping carts;
· Handles related queries and runs reports.
