DEPUTY DIRECTOR: RECORDS AND ARCHIVES

Job Primary Purpose
The primary role of this position is to manage the records and archives systems of the university. The incumbent will provide guidance and support on records management systems and records management requirements and ensure continuous service delivery of staff and students at the university. The incumbent will chair of all operational committees with regard to records, archives, filling, security of personal information and access to information.

  • Manage the records  and archives management systems.
  • Ensure the availability and maintenance of the records and archives infrastructure.
  • Provide guidance and support on records management systems and the record keeping requirements for various Divisions/Faculties in the University.

  • Manage the financial resources and assets.
  • Liaise with internal and external stakeholders.
  • Ensure compliance with relevant legislation and regulations.
 
Minimum Requirements:
  • Must be in possession of M+4  qualification(s).
  • At least 8 years experience in Records and Archives,  with a minimum of 5 years experience in records and archives management in higher education or any acceptable combination of both the qualifications and/or experience would be regarded as ideal.
  • Demonstrated track record of managing Records Systems portfolio, running a unit of a reasonable size.
  • Knowledge of the South African Higher Education Sector.
  • Must have the ability to work under pressure.
  • Accreditation by or membership of the Archives and Records Association (ARA) would be an added advantage.

MANAGER: PAYROLL AND BUDGETS

Job Primary Purpose
The primary role of this position is to accurately and timely process monthly payroll transactions to ensure compliance with IFRS Acts, Legislation and Laws applicable to the payroll environment. As well as prepare, capture and monitor budgets.
Key Performance Areas:
  • Accurate and timely processing of monthly payroll transactions.
  • Precisely update the payroll processing software to ensure compliance with Legislation, Acts, and Laws.
  • Comply with IFRS and Income Tax Act, Labour Relations Act, and other relevant legislation.
  • Prepare and submit monthly reconciliation of salary expense and control accounts in compliance with IFRS.
  • Maintain manual and electronic document management systems.

Minimum Requirements:
  • M+3, Degree with Accounting and Taxation as a major subject.
  • Minimum six (6) years’ experience in a payroll environment with three years payroll management role.
  • Minimum six (6) years' experience using a payroll management system.
  • Experience in the Integrated Tertiary System (ITS) Payroll subsystem will be an advantage.

ICT SERVICE DESK ASSISTANT

Job Primary Purpose
The core purpose of this position is to ensure proper desktop operation so that end users can accomplish business tasks. This includes receiving, prioritizing, documenting, and actively resolving end user help requests. The incumbent will provide professional administration including assisting with the administrations of student’s laptops and ICT equipment stock control.
 
Key Performance Areas:
  • To log all customer problem calls and e-mails, documents desk-side support, and updates status information into the Service Desk System.
  • To assist with first line ICT software, hardware and network support to Students, Staff and Guests through Service Desk.
  • To provide ICT Equipment Asset administration.
  • To log calls with vendors and suppliers for the repair and servicing of hardware and software.

AUDIO VISUAL SPECIALIST

Job Primary Purpose
The core purpose of this position is to provide timely audio-visual problem-solving support to the ICT user communities at UMP and to assist them in using audio-visual equipment and solutions at the university.
 
Key Performance Areas:
  • To provide support and maintain all Audio-Visual equipment on campus.
  • Audio Visual equipment fault diagnosis.
  • To provide end-user training and assistance where required. 
  • To liaise with external stakeholders or service providers with regards to software, hardware and network issues.
  • To assist in managing Audio Visual-related projects. 

Minimum Requirements:
  • IT technical qualification (M+3) or equivalent.
  • 5 years relevant IT and Audio-Visual experience in a similar user support role. 
  • Industry specific certifications (Extron, etc.).

  • Knowledge of and experience in video and graphic editing software packages such as Adobe Illustrator, InDesign, Photoshop, After Effects, Dreamweaver and Animate CC, Apple Final Cut Pro X and Articulate Studio 360.

SERVER ADMINISTRATOR

Job Primary Purpose
The purpose of this position is to perform tasks such as installing, configuring, maintaining, and optimizing the servers within the University's infrastructure including Microsoft Azure. Responsibilities include software and hardware installation, patch management, backup and recovery, monitoring, capacity planning, documentation, customer service, and technical analysis to ensure service availability in alignment with Service Level Agreements. This position holds a leadership role in the technical domain, often requiring a comprehensive evaluation of technical architecture at the enterprise level.
 
Key Performance Areas:
  • To perform server administration and application deployment tasks 
  • To perform Microsoft Azure cloud services tasks.
  • To provide Second or third-level support to ICT team in resolving domain or server related issues.
  • To liaise with internal stakeholders and service providers with regards UMP Server issues and assist with managing ICT Server related projects.
  • To perform routine and scheduled audits of all systems, including backups.
  • To ensure that all systems remain patched & upgraded.
  • To manage the security and risks related to the ICT infrastructure including information security.
 
Minimum Requirements:
  • IT technical qualification (M+3) Diploma or Degree.
  • At least 6 years' relevant server enterprise working experience.
  • Microsoft Certified Systems Administrator (MCSA).
  • Microsoft Certified Azure Virtual Desktop Speciality would be an added advantage.
  • Microsoft Certified: Windows Server Hybrid Administrator Associate Microsoft would be an added advantage.
  • ITIL Certification required.
