COMPLIANCE AND AUDITING ASSISTANT ADMINISTRATOR X2 (FIXED TERM CONTRACT FOR SIX MONTHS) (GAUTENG)

Description
KEY PERFORMANCE AREAS 
1. Customer Relations

1.1 Support to internal and external stakeholders;
1.2 Liaising with other operational team members to ensure that reports, presentations and other ad hoc deliverables are completed;
1.3 Provincial linkages and participation ( Career Expo`s; Job Fairs; Industry Related Expo`s;
1.4 Attend and participate in workshops targeting relevant stakeholders;
1.5 Effective relationships management through ad hoc telephonic and electronic queries from learners and stakeholders (internal & external) in a professional manner;
1.6 Keep stakeholders informed of new development in TETA (charge in legislations, processes, procedures and policies);
1.7 Assist to prepare SD and LP Unit inputs for internal and external audits.

2 Mandatory Grants
2.1 Assist stakeholders and chambers with system changes;
2.2 Assist the Practitioner with the WSP and ATR report that must be submitted to relevant structures for approval;
2.3 Assist compliance with the assessment of WSP and ATR;
2.4 Assist the Practitioner with the extension and appeals report that must be submitted to relevant structures for approval;
2.5 Assisting with the compliance audit for Mandatory Grants.

3 Discretionary Grant
3.1 Assist with the compliance audit for chamber DG recommendations;
3.2 Assist with the consolidation/correction of the DG Recommendation Schedule.

4. Auditing and Compliance 
4.1 Relay auditor’s requests to relevant chambers/units;
4.2 Assist with the Internal and External Audit steering committee meeting in terms of sending out invitations and drafting minutes.

5. Skills Development Facilitator, Mandatory and Discretionary Grants Roadshows
5.1. Assist with the advertisement for Roadshows and publish it on the website;
5.2. Liaise with stakeholders and send out communications to inform them about the planned Roadshows;
5.3. Assist with the development and administration of the RSVP process;
5.4. Assist with the booking of venues, accommodation, transport and other logistics.

6. General Administration 
6.1. Ensuring effective implementation of filing system and information management within the unit;
6.2. Keep records of all submissions to different departments in relevant reporting template and on the document register.



Requirements

MINIMUM REQUIREMENTS
1. Experience and Qualification

   • Minimum of a National Diploma (NQFL 6 or N6) qualification;
   • Minimum of 1 year administration experience;
   • Experience of working with contracts and financial aspects will be an added advantage;
   • Training and Development Environment experience will be an added advantage;
   • Willing to travel and work overtime. 

2. Knowledge and Skills
2.1 Knowledge and Understanding of:

   • Knowledge of SDLA, NQF, SAQA and PFMA;
   • Knowledge and understanding of the SETA’s;
   • Strong knowledge of computer fundamentals which includes MS Word, MS Excel, MS PowerPoint, MS Outlook;
   • Knowledge of filing systems and record management;
   • Stakeholder Relations Management;
   • Standard office procedures.

 2.2 Skills
   • Analytical, problem solving and critical thinking;
   • Consultation and facilitating;
   • Planning, monitoring and reporting;
   • Presentation, communication and writing;
   • Project management;
   • Ability to support continuous improvement of compliance and audit processes;
   • Able to organise and priorities own work with minimal supervision.
