Description
KEY PERFORMANCE AREAS
  1. Coordinate Travel Bookings in the Organization
1.1    Assist the Travel Coordinator with the arrangement of travel (domestic and international) for TETA employees and       
        Board members (flights, car and accommodation);
1.2   Assist with the provision of support to travellers;
1.3   Assist with the provision of support to employees and Board members during official trips;
1.4   Assist with ensuring proper management of international trips;
1.5   Assist the Travel Desk in ensuring that Units submit their monthly Travel itineraries on time. 
  1. Manage the Relationship Between TETA and Travel Agent
2.1   Attend weekly/quarterly meetings with Travel Agency on behalf of TETA;
2.2   Submit Travel itinerary to the Travel Agency on time;
2.3   Communicate booking changes with the Travel Agent on time.
  1. Monitor Compliance with Policies and Procedures
3.1   Keep abreast of the changes in policies, procedures and legislation for timely communication to employees and board members.
  1. Administer Travel Plan and Cost
4.1   Ensure that Travel Estimates are reasonable enough to avoid over expenditure on Purchase Orders;
4.2   Assist the Travel Desk in researching trends in the hospitality and recommend best practices; 
4.3   Promote trips coordination for travelers to the same destinations.
  1. Invoice Management
5.1   Assist with the maintenance of an Electronic Invoice Control Register;
5.2   Reconciliation of Invoices to Pos;
5.3   Invoice Capture. 
  1. Monthly Reporting
6.1   Assist the Travel Coordinator in ensuring compliance with legislated monthly reporting.
  1. Personal growth and Reporting
        7.1    Completion of performance appraisals timeously.
 
Requirements
 MINIMUM REQUIREMENTS
  1. Qualification and Experience
  2. M + 3 qualification in Travel and Tourism or equivalent tertiary qualification;
  3. 2 years’ experience in travel administration and coordination, 1 year of which should be working experience in booking systems e.g. Galileo, Amadeus, Fidelio and etc. 
     2Knowledge and Skills
     2.1 Knowledge and Understanding of
  • Legislation – knowledge and understanding of the PFMA, PPPFA, BBBEE, Treasury Regulations and etc;
  • Relationship Management knowledge;
  • Risk Management;
  • Travel Management knowledge. 
     2.2 Skills
  • Analytical, attention to detail, problem solving and critical thinking skills;
  • communication and writing skills.

Description
KEY PERFORMANCE AREAS
  1. Support to Stakeholders
1.1. Provide HR support to Unit and Chambers;
1.2. Resolve HR related queries;
1.3. Communicate changes in legislations and policies to staff;
1.4. Advise staff on various issues;
1.5. Advise line managers on HR related matters, policies and legislations.
    2. Coordinate HR performance management and rewards
2.1.  Promote performance management culture and competence;
2.2.  Sourcing and monitor and ensure employee performance agreement development;
2.3.   Initiate, schedule and support employee performance assessment and reviews;
2.4.   Educate senior management on the implementation of performance management system;
2.5.   Moderation of performance appraisals.
    3. Employment Equity
 3.1. Coordinate EE activities in the organisation;
 3.2. Submission of EEA2 and EEA4 DOL reports;  
 3.3. Conduct organisational culture and climate survey programmes based on diversity, mutual respect and values management.
      4. Payroll supervision and Leave Management
4.1.  Assist in the processing of payroll;
4.2. Respond to Payroll Audits;
4.3. Assist in the management of Leave in the organisation;
4.4.  Resolve payroll related queries;
4.5. Check payroll/Salaries.
    5. Employee Wellness
5.1. Keep employees informed about health and wellness;
5.2. Coordinate wellness related trainings, events and workshops;
5.3. Assist employees with all wellness related queries;
5.4. Liaise with the Employee Wellness Service provider to provide the best service to employees.
   6. Health and Safety
6.1. Coordinate the activities of the Health and Safety Committee;
6.2.  Ensure compliance to Health and Safety regulations;
6.3. Draft and send out health and safety communications and updates as necessary.
7. Induction and on boarding of new staff
7.1. Planning and coordination of the Induction Programme and reviewing of past material;
7.2. Facilitation of the Induction program.
   8. Leadership Development Programs
8.1. Draft terms of reference for procurement of an institution to deliver the programs;
8.2. Draft service level agreements with the appointed institution and ensure they are signed by both parties;
8.3. Coordinate the advertisement, recruitment, and selection of delegates on the program together with the institution;
8.4. Draft contracts for candidates and ensure they have submitted all documents required for audit;
8.5. Prepare and submit all tranche payments according to the contract.
  9. Reporting
9.1. Prepare monthly report for submission to HR Manager;
9.2. Prepare reports for FINHR submission;
9.3. Prepare HR Component of Corporate Services annual report.
 
Requirements
MINIMUM REQUIREMENTS
1. Experience and qualification
  • National Diploma in HRM/IR/HRD and/or post graduate qualification;
  • 3 years of experience in human resources management environment, 2 years of which should be working experience in performance management, Employment Equity, Health and Safety and Payroll function using Sage 300;
  • Exposure to various HR practices and experience in the public sector;
  •  Sage 300, ESS.
