Reporting to: Chief Executive Officer

Brief Outline of Duties:
To provide administrative and personal assistance to the Chief Executive Officer and Executive Management, which involves contact with senior level internal and external stakeholders and regular exposure to confidential information.
KEY PERFORMANCE AREAS (Among others)
- Diary management
- Office management
- Organisational policy and procedural compliance
- Secretariate for Executive and Management committees
JOB SPECIFICATION
Educational and /or Technical Competencies:
- A bachelor’s degree in Public/Business Administration or related qualification is essential.
Experience:
- Must have 3 years relevant experience as Personal Assistant or Executive Secretary or Office Administrator.
PROFESSIONAL COMPETENCIES
- Good office etiquette
- Good understanding organisational performance management
- Organisational and planning skills
- Good communication skills
- Ability to work in a diverse environment and resolve conflicts
- Good record-keeping skills
- Ability to work under pressure and meet deadlines
- Ability to maintain a high level of confidentiality

To provide administrative support to the Knowledge Management unit as well as secretarial support to the Executive Manager.
KEY PERFORMANCE AREAS (Among others)
- Schedule and coordinate Unit meetings for the Executive Manager
- Collate the unit’s performance information for reporting
- Coordinate travel and hotel arrangements
- Coordinate logistics for missions/seminars/workshops
- General administrative support
JOB SPECIFICATION
Educational and /or Technical Competencies:
- National Diploma in Office Administration
Experience:
- 3 years secretarial or administrative experience
PROFESSIONAL COMPETENCIES
- Business language proficiency
- General office practices
- Organisational and planning skills
- Computer literate at an intermediate level
- Good office etiquette
- Excellent typing skills
- Minute taking
- High quality presentation skills
- Good interpersonal skills
