PERSONAL ASSISTANT TO EXECUTIVE: INFRASTRUCTURE AND INFORMATION SYSTEMS (IIS)

Job Summary
The Personal Assistant, under the supervision of the Executive Infrastructure and Information Systems within the South African Weather Service (SAWS) assists in the tasks of recording, organising storing and retrieval of information and performs administrative functions related to the work environment within IIS division and other divisions within the organisation. He/she manages the diary and prioritise the meeting (s) and appointments of the Executive: IIS.
Key performance areas
• The candidate will be required to provide secretarial, administrative and support duties to the Executive.
• Organise and co-ordinate Divisional meetings, workshops and conferences.
• Take minutes at meetings and ability to write comprehensive reports.
• Provide administrative support to the Infrastructure and Information Systems Division on daily operational activities, ensuring efficiency of the Division.
• Control documentation to ensure easy access, traceability and comprehensive record keeping of all documentation.
• Managing the diary and travel arrangements.
• Ability to multitask and solve problems.
• Assist the executive in other matters as and when required to do so.
Requirements:
• The ideal candidate must have an appropriate 3 (three) year tertiary qualification in administration or recognized secretarial qualification.
• Minimum 5 (five) years relevant experience in a dynamic office environment in Senior Management Support.
• Knowledge and experience related to Board submissions and administration support will also be an added advantage.
• He/she must have interpersonal skills, strong administrative capabilities and computer literacy (MS Excel, PowerPoint and MS Word).
• Experience in an organization with ISO Standards or that is compliance regulated, will be an added advantage.
• Exposure to Supply Chain Management will be an added advantage.
• Good communication skills both written and verbal.
• Ability to work in a team and under high pressure.
• Problem solving and decision-making skills.
• Willingness to work outside normal working hours, should circumstances require so.

NETWORK ADMINISTRATOR

Job Summary
The Network Administrator is essentially responsible for the monitoring and support of the national and international data communication systems, maintenance and support of specialised remote sensing and satellite communication systems and the support and maintenance of computer systems (hardware and software) for the operational meteorological functions. The effective maintenance, installation, and upkeep of communication networks for the South African weather service.
Key performance areas
• Monitor all telecommunication networks (WAN, GTS and Internet) and report faulty lines to Service Provider Advertisement
• Monitor the data communication systems (Weatherman, Metserv, FTP and AFD server).
Repair faults and request or repeat data transmissions if necessary.
• Monitor the internal data flow to operational applications and external clients.
- Restore faulty data flow processes
- Re-transmit data when necessary
• Monitor the International exchange of data. Report faulty lines and support colleagues in the other countries.
• Monitor and maintain all network components e.g. switches, firewalls, routers, WiFi
• Maintain the network security and domain name servers.
• Monitor all operational meteorological systems.
• Maintain system hardware – identify faults and fix or report to maintenance contractor or liaise with product support or developer where needed.
• Backup and archiving of data and output if required.
• Monitor Environmental management system for computer room, (e.g. Air conditioners, Generator and UPS regularly. Identify and report faults immediately.)
• Operate the Helpdesk and log calls.
• Interact with third parties when required for logistical, support or administration purposes
• Keep management well informed on system performance.
• Participate in projects as assigned.
• Update technical skills as required.
Requirements:
• National Diploma qualification in IT/Electronic Communications and Networking
• Relevant certifications such as MCSE, A+, N+ and Linux+ (internationally certified) will be an added advantage.
• 5 years’ experience in an IT environment performing network administration, hardware and software support.
• Code EB or Code 08 (without endorsements)
• Will be required to work shifts on rotation, all days of the week, including Sundays and public holidays.
