CREDITORS CLERK (C2)
(Position based in Pretoria, NPC)
Reports to: Creditors Supervisor
 
Summation
Responsible for reconciliations, preparing and capturing of invoices from suppliers and handling of internal and external queries
 
Key Responsibilities
• Pre-audit and capturing (Park and Post) of creditor invoices including Tax invoice, funeral claims, settlements from risk management for authorisation approval including budget check and overrun, signature of all parties
• Creation of vendor master records on SAP after checking for completeness and correctness.
• Returning invoices that cannot be paid to the relevant Business Units and advice why they could not be processed and handling all queries in respect thereof.
• Ensure the capturing of invoices, credit notes, and goods received notes also relevant supporting documentation
• Handling and resolving internal and external queries
• Assisting the supervisor to preparing and capturing of journals
• Preparing of vendor reconciliation as per vendor statement of account
• Matching of invoices to supporting documentation (Goods Received Note and/or Order)
• Responding to ad hoc requests from supervisor/manager
• Prepare general ledger reconciliations and follow up on outstanding items over benchmark.
• Reversal of duplicate invoices
• Submission of Key Performance Indicators (KPI’s) information relating to invoices received, invoices processed and queried to Supervisor
• Assist in drawing documentation on special requests from forensic/ investigations
• General administrative duties (via receipt and distribution of invoices, flight tickets, filing, photocopying, open mail, etc.)
 
Minimum Requirements
• National Diploma (NQF Level 6) in Accounting or equivalent
• Bachelor’s degree in Accounting or equivalent will be an added advantage
• At least 1 to 3 years’ experience in a similar position
• SAP Creditors module experience
 
Knowledge and understanding of:
• Understanding of basic bookkeeping and accounting payable principles
• Thorough knowledge of applicable statutory requirements, e.g. VAT Act and PFMA
• Thorough understanding of accounts payable functions.
 
Skills and Attributes

Reports to
Manager: Analysis & Business Processes
 
Summation
Understand and document the business needs and requirements of a client. Gather and document all required information through a process of requirements engineering. Compile and maintain all requirements specifications, business process specifications and related documentation (requirement specification).
 
Key Responsibilities
Administrative
• Conduct research and keep up to date with developments/trends, etc
• Manage time
Business Analysis and Modelling
• Conduct requirements engineering
• Conduct business process analysis and re-engineering
• Conduct cost-benefit analysis
• Document requirements and business processes
• Liaise with the developer or design team to interpret the requirements
• Verify and validate requirements against the developed software/solution
• Maintain requirements and business process specifications and related documents (including reports)
• Model requirements using appropriate tools and standards
• Participate in projects and meet project deadlines
• Present results
• Determine and document quality attributes and measurement criteria
 
QUALIFICATIONS AND EXPERIENCE
• Relevant Degree in Information Technology (NQF Level 7) e.g. BSC, B Tech, etc
• Would be an advantage:
  • MS or other supplier (Certified) S/W,
  • Management tools] (supplier courses or equivalent),
  • Business analysis
• 3 years in Business/System Analysis environment (preferable) or in a Technical or IT Support role
• Business or systems analysis experience
 
• Ability to analyse of software systems, applications, databases and software environments
• Ability to determine the best methods to apply for analysis, select appropriate criteria and evaluation options
• Ability to identify risks and to objectively select appropriate courses of action
• Ability to present findings and to persuade and obtain willing co-operation from others
• Ability to apply and adhere to quality standards
• Ability to plan workload
• Understand and apply UML
• Understand systems engineering would be an advantage
• Project management, business process analysis, design and re-engineering skills
• Computer literacy (MS Office and Visio)
• Problem solving skills
• Facilitation skills
• Interpersonal and communication (verbal and written) skills
• Negotiation skills
