PURPOSE STATEMENT
To implement preventative, corrective and breakdown maintenance to the physical assets within scope of responsibility according to the required trade, best engineering practices and other legislative and compliance standards.
 

Minimum Requirements
QUALIFICATIONS AND SPECIAL CERTIFICATIONS/REGISTRATION
  • National Diploma / Diploma in Engineering: Electrical or Mechanical, Air Conditioning and Refrigeration or a related field (NQF Level 6)
  • Completed Trade Test Certificate (HVAC) is mandatory.
 
EXPERIENCE
  • 3 Years relevant work experience in installation and maintenance of various HVAC equipment i.e. freezers, fridges, aircon units, humidifiers and dehumidifiers post successful trade test.

Duties and Responsibilities
Functional Management
  • Assess assigned and new equipment for comprehensiveness of planned and unplanned preventative, corrective and breakdown maintenance aimed at complying to regulations governing engineering equipment, maintaining its condition and functional performance to minimise downtime.
  • Execute the chosen preventative corrective and breakdown maintenance approach with its required quality and safety precautions, execution tasks or activities and people and physical resource requirements as an example.
  • Assess assigned tasks for adequacy of problem definition and resolution, and initiate further investigative work if required.
  • Assess assigned tasks for most efficient and effective method to maintain or restore to functional requirements.
  • Assess assigned maintenance and quantify the physical resource requirements regarding tools, equipment, parts and consumables.
  • Assess assigned maintenance and quantify people or skill resource requirements necessary and notably where other disciplines are required and escalate any requirements.
  • Assess assigned maintenance for safety and health precautions including mechanical equipment isolations, execution method, risk assessment and mitigation as examples.
  • Ensure that all allocated tools of trade including but not limited to spanners, screwdrivers, hammers, cell phone, electrical equipment etc, are safe for use and correctly used.
  • Verify that all resource requirements are available for the maintenance execution and if not, redirect to resource providers.
  • Verify that all health, safety and environmental precautions have been taken or are in place prior to execution and if not ensure these are implemented.
  • Execute required engineering maintenance (i.e. isolate, inspect, overhaul, test, calibrate, acceptance test, repair, install, replace etc.) without supervision to the required trade standards, original equipment manufacturer specifications and other good practices, standards and applicable legislation.
  • Continually and comprehensively perform quality control throughout the maintenance procedure and upon completion of trade work.
  • Comprehensively record as required the resources consumed, tasks executed and other defined failure and repair data on the facilities management system.
Risk and Compliance Management
  • Assist in identifying and adhering to fraud controls, risk prevention principles, sound governance and compliance processes, and tools to identify and manage risks.
  • Support and provide evidence to all internal and external audit and regulatory requirements.
  • Maintain quality risk management standards in line with ISO and regulatory requirements.
  • Maintain and enforce all related Service Level Agreements to minimise business risk and ensure business continuity.
  • Adhere to all relevant laws, policies and Standard Operating Procedures throughout the organisation.
Stakeholder Management
  • Build and maintain effective internal and external stakeholder relationships for the purpose of expectations management, knowledge sharing and integration, and to manage the organisation’s reputation.
  • Represent and participate in the organisation’s committees and task teams when required.
  • Convene and attend meetings and present relevant information to stakeholders when required.
  • Ensure efficient communication to all auditors and other finance team members.
  • Ensure the provision of excellent customer service.
  • Resolve queries and problems within span of control and within agreed time frames.
  • Follow up on unresolved queries and complaints where required.
  • Liaise with relevant stakeholders regarding follow-up of information, as required.

Duties and Responsibilities
Functional Management
  • Oversee and conduct manual or automated tests and generate results as required.
  • Receive and record all samples from clients before testing.
  • Plan and prepare to conduct tests.
  • Analyse recorded or generated test results.
  • Compile and verify the technical correctness and completeness of the test reports.
  • Conduct quality verification on all test reports generated in the laboratory.
  • Interpret test standards and methods and generate reports.
  • Develop and coordinate testing schedules with the team.
  • Research, develop and validate new testing methods.
  • Conduct witness testing for internal and external clients to demonstrate and verify testing processes.
  • Conduct proficiency testing for industry benchmark purposes as and when required.
  • Prepare and apply calibration and maintenance procedures and ensure that all equipment is calibrated and maintained.
  • Conduct root cause analysis within laboratory and ensure the effective implementation of corrective and preventative measures.
  • Apply appropriate maintenance and basic trouble shooting requirements.
  • Calibrate and verify test equipment.
  • Ensure all Laboratory assets are accounted for in area of control and participate in asset verification.
  • Ensure that commissioning reports of equipment are compiled and asset registration and capitalization is done timeously as per SABS policies.
  • Process samples and participate in proficiency schemes (including intra and inter Laboratory comparisons).
  • Participate in in-house test validations as required to confirm the results.
  • Conduct all activities assigned to maintain the Quality Management System and Accreditation and participate in the maintenance of the quality management system in accordance with the Quality Manual and the laboratory’s accreditation to the relevant technical standards.
  • Prepare for internal audits and maintain alignment to audit processes.
  • Provide advocacy and assist with technical specifications and requirements to generate quotations.
  • Analyse customer requirements and check alignment with technical(testing) specifications
  • Provide customer advice on interpretation and application of technical(testing) specifications
  • Conduct training on equipment used for testing to stakeholders as and when its required.
  • Document and alert Standard Writers on identified errors in the specifications or Standard documents.
  • Conduct training and coaching sessions for other Test Officers and mentor them (Test Officers) who are in the process of acquiring Technical Signatory status.
  • Maintain a safe working environment by adhering to all safety principles and procedures.
  • Keep abreast of all the changes in Occupational Health and Safety requirements.
  • Keep abreast with developments in the technical committees, working groups and industry trends.
  • Complete the Competence Development Ladder (CDP) for the next level.
Risk and Compliance Management

Qualifications

Work Experiance
  • 3 years relevant work experience in billing or revenue management

Duties and Responsibilities

  • Assist with the accurate processing of the billing and related finance activities in the revenue cycle to ensure credit notes issued due to incorrect billing are minimised.
  • Investigate all billing related issues, engage with laboratory officers and ICT where applicable for system issues and facilitate timeous resolution of the identified issues.
  • Verify that all the applicable supporting documentation is received to open the sales order.
  • Perform the opening and closing of jobs activities for allocated areas as and when required.
  • Validate sales orders for completeness and accuracy.
  • Facilitate timeous resolution of customer queries and provide required documentation where necessary
  • Facilitate customer requests regarding payments for refunds and compile the refund requests to be reviewed by the Finance clerk
  • Capture journal requests for both internal and external revenue as well as correcting journals for review and approval by BU Head.
  • Assist Clerk: Finance in following up on reconciling items appearing on balance sheet accounts
  • Monitor exception reports daily for allocated areas with assistance of Finance clerks to identify discrepancies, investigate and resolve where possible or escalate if no resolution is possible
  • Review pre-payments to identify instanced where completed work has not been billed to ensure that customers are billed on time for all work that is complete.
  • Verifying customer payments on cash customer accounts before commencing with the work.
  • Ensure and maintain proper record keeping of all Revenue Management documentation
  • Ensure adherence to set timelines within the Business Unit and Division.
  • Support the Finance clerks in ensuring that monthly reconciliations are performed and balanced within the required timeframes on the revenue in advance and expired revenue balance sheet accounts for both SABS and SABS Commercial.
  • Compile and report customers with special billing processes and/or requirements, including where necessary contacting external service providers to obtain relevant supporting documentation. 
  • Monitor Work in Progress (WIP) for allocated areas ensuring that all long outstanding items are resolved and all invalid transactions are timeously removed.
  • Attend to billing related matters.
  • Assist with compiling and providing documentation for audit purposes
  • Perform any ad hoc billing-related activities as required.
  • Assist with clearing billing backlogs in business units promptly.
  • Assist in compiling weekly, monthly, etc. reports as may be determined from time to time regarding Revenue Management activities.
  • Assist in the implementation of effective Revenue Management processes to ensure correctness of revenue in terms of IFRS requirements.
