Purpose of the Job: Legal Secretary (High Court) is responsible to provide administrative support to the Legal Services and to ensure the day-to-day functioning of the office.
Key Performance Areas
Legal secretarial administration
• Prepare court statements and forms that Attorneys will need in court.
• Dictate Attorney’s audio files and written notes.
• Transcribe and proofread legal documents.
• Index and update pleadings and discovery binders.
• Collect and deliver documents.
• Supporting legal research for cases and communicating with vendors, experts, attorneys, opposing counsel and other staff.
Standard, process and procedure maintenance
• Ensure a strategy framework is maintained by required standards.
• Keep abreast of internal standards and business goals to ensure adherence to sound internal control.
• Provide administrative support to the strategy and reporting office by RAF policies and procedures.
Quality assurance activities
• Maintain up-to-date written documentation and policies related to organisation’s business activities.
Office management
• Maintain correspondence, filling, telephonic queries and provide general administration support to the office.
• Maintain strict confidentiality in all matters relating to the office.
• Make follow-ups on outstanding matters on behalf of the Legal Services department in the office.
• Ensure all office requests are handled and responded to within set timelines.
• Ensure availability of stationery within the department.
Meeting and diary management
• Arrange meetings on behalf of the Legal Service Department.
• Take minutes and distribute these in accordance to set governance standards.
• Maintain follow-up plan on meeting resolutions and matters outstanding.
• Ensure confirmation of meetings and management of team diaries.
• Schedule appointments with internal and external stakeholders as and when required.
Document control
• Ensure that the filling system is always up-to-date and functional.
• Collate court rolls received from the Registrar for the responsible court divisions, update references and distribute to state attorneys.
• Manage the retrieval of information at all times as requested in the office.
• Ensure confidentiality of all documents under control and that documentation reaches the intended recipients.
• Acknowledge the receipt of documentation, apply a file number allocation, record data onto the computer system and file appropriately.
• Collate all the court directives and update on the court directives database.
• Maintain status update and records of all high value foreign national records for re-insurance purposes and report regularly.
Qualifications and Experience
• National Diploma in Business Administration / Law related qualification.
• Relevant 2 years’ experience in a business / Law administration related environment.

Note: THIS IS AN EIGHTEEN (18) MONTHS FIXED TERM CONTRACT
Purpose of the role:The MANAGER is responsible for the overall proceedings of the litigation portion of an MVA claim. They must also handle budgeting and review legal documents. He/she must manage a team working under them and advise them on effective trial strategy, legal questioning and litigation management. He/she must also have significant input in the hiring and terminating of employees. Additionally, He/she must review the overall litigation department of a region and make improvements to help it function more effectively. On occasion He/ She will need to attend court settlements. He/she may also help RAF to avoid protracted litigation process before it gets to an advanced stage. In such cases, the Senior Manager: Claims should be consulted on decisions that could potentially give rise to more legal costs. He/she can help the region evaluate the risk that the decision entails and determine the chances of the potential cost in the event litigation is pursued to its fullest. He/she can also provide guidance, counseling and advice on other decisions the region could make or ways in which the RAF could prevent or minimize the chances of litigation.
Key Performance Areas
Develop and implement departmental policies, procedures and operational plans.
- Provide assistance to Senior Claims Manager in formulating and implementing strategic direction of claims management.
- Ensure that work is carried out according to approved policies and procedures.
- Manage the mapping and standardization of departmental processes.
Ensure that Summons , court processes, special pleas ,exchange of pleadings, preparation of trials, tenders, trials ,trial outcomes, appeals are accurately and efficiently processed in a timely manner and in accordance with RAF policies, processes and procedures and relevant court rules and Practice Notes.
- Assume responsibility and accountability in the management of the regional claims litigation in his/her jurisdiction.
- Recommend policies and procedures and directives to lessen the negative impact of the adverse judgments.
- Publish and circulate positive judgments outcomes and document lessons learnt for sustainability of good and positive litigation strategies.
- Attend high court / magistrate’s court Case flow management Meetings.
Ensure that litigated claims are dealt with in terms of the appropriate legal requirements and payments in respect of Capital, Legal Costs and Writs are made timeously
- Ensure that case flow management is adhered to.
- Ensure that diligent financial controls are put in place and adhered to.
Ensure that all claims are dealt with and finalized according to set quality standards to avoid unnecessary complaints from the claimants and service providers.

Management of resources (human, finance and equipment) to ensure smooth running of the department.

Reporting

Qualification
- Four (4) year Degree in Law or equivalent.
- Admission as an Attorney of the High Court or Advocate.
- NQF 8 (Post graduate Diploma/Honours Degree/Professional Qualification Degree) adventageous.
Experience
- Relevant 6-8 years’ experience in claims environment of which two (2) years must have been on management/supervisory level/area of expertise.
