SUPPLY CHAIN MANAGEMENT CLERK
Location: Head Office Pretoria
Reference: PPSA 02/05/2025
Basic Salary: R228, 321.00 per annum plus benefits
Role Overview:
Supply Chain Management Clerk: SCM Clerk reports to SCM practitioner and will be required to undertake the supply management processes in accordance with the PFMA and Treasury regulations.
Qualifications and Experience:
A three (3) year tertiary qualification (NQF level 6) in Finance, Logistics, Supply Chain Management, Purchasing Management or equivalent qualification • A minimum of 0 -1 year relevant experience in Supply Chain Management • Knowledge of SAP or equivalent Procurement system• Proven knowledge of Supply Chain Management processes and procedures, Treasury Regulations, PFMA, PPPFA and B-BBEE (Practice notes and code of conduct for SCM Practitioners) • Computer literacy (MS Word, MS Excel and Outlook).

Duties and responsibilities
Capturing requisitions • Source quotations for goods and services from suppliers listed on the National Treasury Central Database (CSD) • Assist with generating purchase orders • Capture Goods Receipts Notes (GRN) • Assist with administering and reconciling all accounts including travel account • Assist with administering activities pertaining to bid administration • Prepare payments documents • Perform general SCM duties.

Note: All appointments will be done in terms of the Public Protector Act and a 12 month probation period which may be extended to 18 months will be applicable. The successful candidates will be expected to sign the secrecy declaration form and a performance agreement within 2 months of accepting the position.

Role Overview:
Supply Chain Management Practitioner: reports to the Assistant Manager: SCM and will be required to undertake the supply management processes through sourcing quotations and processing of bids in accordance with the PFMA and Treasury regulations.

• Be involved in the administrative process of demand, acquisition and logistics management
• Capture requisitions
• Compile weekly reports on requisitions
• Source quotations for goods and services from suppliers listed on the National Treasury Central Database (CSD)

• Administer activities pertaining to bid administration
• Render administrative support to the Bid Committees
• Regularly update the contract register (Contract administration)
• File and keep documents safe
• Provide supervision and guidance to SCM admin clerks.

ADMIN ASSISTANT: FACILITIES MANAGEMENT & LOGISTICS

Role Overview: The incumbent will report to the Manager: Facilities Management. The role will assist the business by providing facilities and records management services within PPSA.
Requirements and Experience: A three-year qualification in Public Administration/Public Management/ Business Management and Office Management. A minimum of 0-1 year relevant experience. Proficiency in Microsoft Office is essential.

Key Responsibilities and Duties
Facilitate and coordinate building maintenance in all PPSA buildings:
• Assist in compilation of head office inspection report monthly (Informed by weekly inspections).
• Update PPSA accommodation lease register and parking lease register
• Conduct building inspections.
Coordinate OHS issues:
• Conduct inspections and reports for all PPSA buildings for compliance
• Assist with incidents, emergency, and evacuation drills to ensure compliance with Health and safety regulations
• Assist in Compilation OHS inspection reports and submit.
• Coordinate quarterly OHS meetings and reporting, produce minutes of the meetings.
Handle basic administration duties in the Facilities and Logistics Management Unit:
• Coordinate and manage all incoming and outgoing correspondence.
• Administer acquisition and maintenance of telecommunications services (landline, extension numbers, pin codes etc).
Submission of landline expenditure report
• Assist with allocation of pool vehicles on request.
• Ensure proper recording of invoices and documents for payments
• Process and follow up on requests and repairs
• Monitor and report performance of service providers on the following services, photocopiers, scanners, telephone landline
• Drafting of specifications, meetings, report writing and filing of documents.
